WhatsApp AI Lead Qualification for Salesforce

WhatsApp conversations feed Salesforce Leads with qualifying answers and a logged activity, so assignment rules work as they already do.

Salesforce works best when every lead arrives complete and goes through the routing you already trust. WhatsApp leads usually do not. This agent asks your qualifying questions, matches existing contacts and accounts, and creates a Salesforce Lead with mapped fields and a logged activity. Your assignment rules pick the owner, and qualified prospects get a follow-up Task for that rep.

  • WhatsApp leads created in Salesforce with mapped fields
  • Your existing assignment rules still choose the owner
  • Qualified prospects get a follow-up Task and logged activity

What it is

WhatsApp AI Lead Qualification for Salesforce questions inbound WhatsApp leads, scores the replies, and records everything in Salesforce: a Lead with mapped fields, a logged activity, and a follow-up Task for qualified prospects. Existing accounts and contacts are matched first.

Why businesses buy it

Teams that run on Salesforce have invested in clean data and careful routing, and WhatsApp enquiries tend to bypass both. They sit in someone's phone, get typed in late, or never reach a rep. This build brings them in properly: qualified in the chat, matched against existing records and routed through your own assignment rules. Testing runs in a sandbox, and the field mapping is written and agreed before go-live, so your admin knows exactly what the connected app can touch.

Problems this solves

Existing customers messaging on WhatsApp get created as duplicate leads

Before creating anything, the agent checks Salesforce for a matching account or contact. Known customers are recognized, so your org avoids duplicate leads and reps see the full history together.

Qualifying chats happen on reps' phones and never get logged

Each WhatsApp conversation is logged as an activity in Salesforce, with answers written to mapped Lead fields. Managers can review what was asked and answered without chasing reps for notes.

Qualified prospects wait because nobody owns the next step

When replies meet your qualifying rules, the agent creates a follow-up Task in Salesforce. The task has an owner, so the next step appears in their own task list.

Reps cannot tell which WhatsApp leads deserve attention first

The agent scores each set of replies against the criteria you agree. The score sits on the Lead record, so list views and reports can rank WhatsApp leads by fit.

A good fit if

Salesforce is your system of record and your lead assignment rules, queues and reports already depend on clean Lead fields.
WhatsApp enquiries come from markets or campaigns where prospects will not fill in a web form but will send a message.
You want a WhatsApp lead from an existing Account recognized and attached to that Account's Contact instead of duplicated.
A Salesforce admin can set up a connected app with an API-enabled user and take a 30-minute call on field mapping.

Not the right fit if

Your team works in HubSpot. See WhatsApp AI Lead Qualification for HubSpot.
Your team works in Zoho CRM. See WhatsApp AI Lead Qualification for Zoho CRM.
You need inbound leads from every channel scored inside Salesforce, not WhatsApp alone. See AI Lead Qualification Agent for Salesforce.
You want outbound WhatsApp messages sent to a list of Salesforce contacts. See WhatsApp AI Campaign Agent.

How it works

  1. Your Salesforce admin creates a connected app tied to an API-enabled user, and a 30-minute call fixes which Lead, Contact, Account, Opportunity and Task fields are in the mapping.
  2. A WhatsApp message arrives. The agent searches Salesforce Leads and Contacts by phone number so a known person or Account is recognized before any question is asked.
  3. Your qualifying questions run in order. Answers are written to mapped Lead fields, or to the Contact when the person already exists.
  4. The score and its reasoning are saved, and the conversation summary is logged to the record's activity history.
  5. A qualified lead gets a Task for its owner, and your own Salesforce assignment rules still decide who that owner is.
  6. An unqualified lead keeps its reason in Salesforce, and an approved template can re-open the chat once the 24-hour window has passed.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Salesforce connected app with an API-enabled user, shared securely in the way we agree, never by email.

  • A Salesforce sandbox or test records we can run the forty test conversations against.
  • Admin access to your WhatsApp Business Platform account, the verified Meta Business account and the number.
  • Your qualifying questions, scoring criteria and the score that counts as qualified.
  • Approved template wording, the handoff owner or queue, and one person who approves the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Reps can see WhatsApp conversations next to the rest of the account history.
  • Duplicate records become less likely, which helps keep Salesforce reports clean.
  • Qualified prospects can get a named owner and a next step sooner.
Time to first follow-up on qualified leads
In a Salesforce report, compare Lead created date with Task completed date, four weeks before launch versus four weeks after.
Duplicate lead count
Run your Salesforce duplicate or matching report monthly and compare WhatsApp-sourced records before and after launch.
WhatsApp lead conversion
Track converted Leads with WhatsApp as the source in a Salesforce report, compared month by month.

Before you start: Record how many WhatsApp enquiries reach Salesforce today and how long qualified ones wait for a first task. A Lead report by source and status is enough.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running costs sit in your own accounts: WhatsApp conversation fees charged by Meta, plus about $30 to $150 a month for AI usage and hosting. Salesforce licenses and editions are not affected or included.

Any AI usage while we build and test is billed to you directly, so the connected app and every provider account belong to your organization.

Custom requirements

Custom Salesforce objects beyond the agreed mapping, Flow or Apex changes, or more than one record type for new Leads can be quoted. Add a checkout note and a written Change Quote follows.

Keep it running

After the 30 days of support, optional monthly maintenance covers monitoring, fixes, model, WhatsApp and Salesforce updates and a monthly health report. Change hours handle small changes, like a reworded question or a new Lead field in the mapping. Bigger changes need a Change Quote. Cancel any month.

Questions about this product

Why does the Salesforce WhatsApp edition cost more than the HubSpot one?

Because the Salesforce connection covers more objects and more testing. It maps leads, contacts, accounts, opportunities, tasks and activity history, works alongside your existing assignment rules, and runs the forty test conversations in a sandbox or on marked test records. You can compare both fixed prices in the price and delivery panel on each product page.

Do our Salesforce lead assignment rules still apply to WhatsApp leads?

Yes. New Leads are created so your existing assignment rules decide the owner, just as they do for web-to-lead. The agent then adds a Task for whoever was assigned when the lead qualifies. It does not replace your routing logic or move Leads between queues on its own.

Can a qualified WhatsApp lead create a Salesforce Opportunity?

It can, if you want it to and opportunities are in the mapping. The usual setup stops at a Task for the owner, so a rep converts the Lead. Automatic Opportunity creation above a chosen score is a rule we can set at intake and test in your sandbox.

Does it need a Salesforce sandbox for testing?

A sandbox is preferred. The forty test conversations write real records, so running them in a sandbox or on clearly marked test records keeps production data clean. If you have no sandbox, we agree a test record type or naming rule with your admin on the setup call.

Where is the WhatsApp chat summary saved in Salesforce?

In the activity history of the Lead or Contact, as a logged activity. Qualifying answers go to the mapped fields, and the score with its reasoning goes to the fields you choose. The full message history stays in your WhatsApp Business Platform account unless you ask for it copied.

Which Salesforce user does the WhatsApp agent act as?

The API-enabled user attached to the connected app your admin creates. Its profile and permission sets control what it can touch, so you can limit it to the objects and fields in the mapping. Records it creates show that user, which makes WhatsApp activity easy to audit.
