Outreach

AI Outreach Sequencer

Multi-step outbound sequences that send on schedule, read every reply, and branch the next touch automatically.

Most outbound sequences treat a curious reply, an objection and an out-of-office the same way. This sequencer reads every reply and chooses the next step to match, so prospects get a conversation instead of a script. It sends on the schedule you set, inside your approval rules, and keeps your CRM current so reps always know where each lead stands.

  • Sequences that branch on what each prospect actually replies
  • Sends on your schedule, inside the approval rules you set
  • Sequence stage and replies visible on every CRM record

What it is

AI Outreach Sequencer builds multi-step outbound sequences across email and your chosen channel, then reads every reply and branches the next touch instead of running the same script on everyone. It connects to your CRM, so reps can see each lead's sequence stage and reply history at a glance.

Why businesses buy it

Rigid sequences waste good leads. A prospect who asks a question gets the next canned email anyway, and someone who said not now gets chased next week. Reps then spend hours untangling threads by hand. A sequencer that reads replies keeps every prospect on a sensible path and frees your team for the conversations that need a person. The written scope fixes the channel, the number of sequences and the connected systems before you order, so you know exactly what will be built and tested.

Problems this solves

Every prospect gets the same script whatever they replied

The sequencer reads every reply and branches the next touch, instead of running the same script on everyone. Interested, not-now and wrong-person replies can each follow their own path.

Outreach runs only on email when prospects prefer another channel

Sequences are built across email and one other channel you choose. Touches are spread across both channels, following the workflows and approval rules you set during setup.

Reps cannot see where a lead is in the sequence

It connects to your CRM, so each lead's sequence stage and reply history are visible at a glance. Reps pick up conversations without digging through sent folders.

A good fit if

You run outbound campaigns to lists of prospects and currently write each follow-up touch by hand.
Your reply rates differ by segment, and you want the next touch to change based on what a prospect actually says, not a fixed day count.
You already send outreach through email or one other channel and keep prospects in a CRM such as HubSpot, Salesforce, Zoho CRM or Pipedrive.
You want reps to see sequence stage and reply history in the CRM without exporting spreadsheets.

Not the right fit if

Your leads already went quiet mid-conversation and you need something to chase existing threads rather than start new sequences. See AI Follow-Up Engine.
Your bottleneck is turning an interested reply into a booked call, not writing the sequence itself. See AI Meeting Booking Agent.
You want AI-drafted replies you personally review and send one at a time, not an automated multi-touch cadence. See AI Sales Email Agent.
You need more than six workflows or more than one outbound channel. Add a note at checkout for a written Change Quote, or use the Custom AI request form for larger or bespoke projects.

How it works

  1. We load your ideal customer profile, playbook and sample emails, then map your prospect list into the segments your sequences will target.
  2. We build up to six sequences with branching logic: the touch a prospect receives next depends on whether they open, click, reply positively, object or go silent.
  3. Each touch sends on the schedule you set, in the channel you approved, using language drawn from your playbook rather than a generic script.
  4. Replies are read and classified as interested, not interested, out of office, referral or objection, and the sequence branches accordingly.
  5. Anything outside your approval rules, such as a reply that needs judgment, is held for a person before anything is sent.
  6. Every send, reply and branch decision is logged against the lead in your CRM, so reps see sequence stage without leaving their normal view.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to the systems we connect, sandbox or test records if you have them.
  • Authenticated sending domains (SPF, DKIM and DMARC) and warmed mailboxes before launch, with daily sending caps set per mailbox. If you do not have these yet, see Cold Email Infrastructure Setup.
  • Your opt-out wording and suppression list, so every message carries an opt-out line and opted-out contacts are never contacted again.
  • Your qualification criteria and outreach playbook, including any approval limits on what the sequence can send without a person checking first.
  • Ten real sample conversations or emails so the tone matches how your team actually writes.
  • The name of the person who approves messages that need a human decision.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can sign off on the sequence logic and approval rules before we build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The AI Outreach Sequencer, running multi-step sequences across email and one chosen channel
  • Up to six sequence workflows with reply branching and your approval rules
  • A CRM connection showing sequence stage and reply history, plus up to one more system
  • A test report covering the documented test scenarios
  • An admin guide and recorded handoff session

Expected benefits and how to measure them

  • Can make follow-up touches fit what each prospect said
  • Helps you reach prospects on more than one channel
  • Makes sequence progress visible to the whole team
Positive reply rate
Compare positive replies in your CRM from branched sequences with your earlier fixed sequences.
Meetings booked from sequences
Report on meetings by source in your CRM, for the quarter before launch and the quarter after.
Replies left without a next step
Count replied leads with no follow-up logged, before and after launch.

Before you start: Record reply rates and meetings booked from your current sequences. Note how many replies sat without a next step last month.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid for once. Running the sequences costs roughly $50 to $250 a month in AI model usage and hosting, on top of the CRM and email or channel plan you already pay for. Cost moves with send volume: a list of a few hundred prospects a month sits at the low end, a busier outbound motion with more branches and reply handling sits higher.

AI usage during the build and testing is billed to your own accounts too, so every provider relationship stays yours.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order keeps its delivery date either way. Larger or bespoke projects go through the Custom AI request form instead.

Questions about this product

How much does the AI Outreach Sequencer cost?

One fixed price, shown in the price panel next to this page before you order. It covers every sequence, workflow and connected system listed on the Scope Card, plus testing, two rounds of changes and the recorded handoff. Faster delivery options are shown in the same place. There are no setup fees and no per-send charges from us.

What does it cost to run the Outreach Sequencer each month?

Roughly $50 to $250 a month, covering AI model usage and hosting, billed in your own accounts. You also keep paying for your existing CRM and email or channel subscriptions. We charge nothing extra per send, and cost scales with how many prospects are actively moving through a sequence each month.

Does it send messages without anyone checking them first?

No. Anything outside the approval rules you set is held for a person before it sends. You define the limits during intake, covering which replies need a human decision, and those rules apply to every sequence we build, not just the first one you launch.

Can it run more than six sequences?

Not inside this price. Six sequences with your approval rules are included, which covers most single-team outbound motions. Add a note at checkout for a written Change Quote on extra sequences, or start from the Custom AI enquiry form for a larger project.

What access do you need to build this?

Admin or API access to your CRM and outbound channel, your playbook and approval rules, and ten sample emails or conversations so the tone matches your team. Credentials are shared by adding our team as a user or creating a key you control, never by email, and we can work from sandbox or test records if you have them.

Can I change the sequences after launch?

Yes. Two rounds of changes are included before launch, so most adjustments happen before you go live. After that, optional monthly maintenance covers ongoing edits such as new segments, updated copy or a changed approval rule. It also includes monitoring, fixes and a monthly health report, starts after included support, and can be cancelled any month.

What happens if a lead goes quiet mid-sequence?

The sequence pauses that lead rather than guessing at a new approach, and flags it on the CRM record so a rep can decide what happens next. If you also want quiet leads chased with context from the earlier conversation, that is the specific job of AI Follow-Up Engine, a separate build designed for exactly that situation.

Who owns the sequences and the data?

You do. Everything runs in your own CRM and channel accounts, so the sequences, the prospect data, the reply history and the AI provider relationships all stay in your name, not locked inside a platform we control or tied to an ongoing contract.

Stop writing the same follow-up by hand.

Order the AI Outreach Sequencer and every prospect gets a next step that fits their reply, sent on schedule inside the rules you approve.
