AI Appointment Setter for Cal.com

Leads from chat or email are qualified, then booked through Cal.com event types without anyone sending a link by hand.

Pasting a booking link into every conversation slows things down and lets unqualified leads straight onto your reps' calendars. This edition qualifies leads over chat or email against your criteria and books those who pass through your Cal.com event types, using a native two-way connection to availability and bookings. Each outcome lands in your CRM, so the pipeline stays accurate.

  • Leads qualified before any Cal.com booking is made
  • Bookings created through your existing Cal.com event types
  • Every qualification outcome recorded in your CRM

What it is

AI Appointment Setter for Cal.com qualifies leads over chat or email against your criteria and books those who pass through your Cal.com event types, with a native two-way connection that reads and updates event types, availability and bookings. Each outcome lands in your CRM. Reschedules stay in step.

Why businesses buy it

Cal.com gives you full control over event types, hosts and availability, but it cannot decide who deserves a meeting. Without qualification, reps waste hours on poor-fit calls, and with manual qualification, good leads wait. This edition handles the conversation and the booking together, so every meeting on the calendar has a reason to be there. The written scope covers the Cal.com connection and field mapping, one more system such as your CRM, and the workflows before you order, so the build fits your setup.

Problems this solves

Open Cal.com links let anyone book, whether qualified or not

The setter qualifies each lead on chat or email against your criteria before offering a slot. Only leads who pass are booked into the matching Cal.com event type.

Leads have questions before booking and nobody is there to answer

The setter holds the qualifying conversation and answers from your documents, up to 100 of them. When the lead passes, it books the Cal.com event straight away.

Bookings and changes are not reflected in the CRM

Through a two-way connection, bookings, availability changes and reschedules stay in step. Each outcome lands in your CRM, so your reporting matches what actually happened with every lead.

A good fit if

Your team schedules through Cal.com, and today a rep pastes a booking link into every promising conversation.
Leads who are not a fit still book themselves into reps' Cal.com availability, and those meetings get cancelled later.
Leads often ask to move or cancel, and you want that handled against the existing booking rather than by a rep.
Someone can generate a Cal.com API key and give 30 minutes to a setup call.

Not the right fit if

You use Calendly instead of Cal.com. See AI Appointment Setter for Calendly.
Reps book directly in Outlook without a scheduling tool. See AI Appointment Setter for Outlook Calendar.
You want leads phoned and booked rather than messaged. See AI Voice Appointment Setter.
Your real gap is leads that went quiet before booking anything. See AI Follow-Up Engine.

How it works

  1. Your Cal.com admin generates an API key, and a 30-minute setup call agrees which event types the setter may book and which qualifying answers travel with each booking.
  2. That agreement becomes the documented field mapping for event types, availability and bookings, plus the link to your CRM record.
  3. On the one channel in scope, chat or email, the setter reads the lead's CRM stage, owner and history, then works through your qualifying questions.
  4. A qualified lead is offered open times from the matching Cal.com event type and booked once they choose, with the booking written back to the CRM.
  5. Requests to move or cancel are handled against the existing Cal.com booking inside your rules, and anything unusual is held for a person.
  6. 50 documented scenarios, run on live sandbox or test records, cover new bookings, moves, cancellations and disqualified leads before launch.

Good-fit meetings
Have reps mark each meeting as a fit in the CRM, and compare the share before and after launch.
Leads booked after a conversation
Compare Cal.com bookings with leads who started a conversation, over matching four-week periods.
Cal.com and CRM match
Compare Cal.com bookings and reschedules with CRM-logged meetings for the same month.

Before you start: Record last month's Cal.com bookings and how many reps considered poor fits. Note any bookings missing from the CRM.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid for once. Running it is roughly $50 to $250 a month for AI model usage and hosting, paid in your own accounts on top of your CRM plan. Cal.com licenses and plan upgrades are outside this build.

AI usage during build and testing is billed to your accounts too.

Custom requirements

If you need custom Cal.com objects beyond the mapping, a third system, or more than six workflows, add a note at checkout for a written Change Quote. Only an accepted quote starts work. Larger or bespoke projects go through the Custom AI request form.

Request a custom version

Keep it running

We recommend monthly maintenance: monitoring, fixes and a monthly allowance of change hours, for things such as remapping a renamed Cal.com event type or adding a new one. It starts after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What can the setter do with our Cal.com API key?

Read and update event types, availability and bookings, limited to the field mapping agreed on the setup call. It books qualified leads, moves or cancels their bookings inside your rules, and reads existing bookings. Custom Cal.com objects beyond the mapping are excluded, and the key is handled through intake, never by email.

Can the setter move or cancel a Cal.com booking?

Yes, within your rules. When a lead asks to change a meeting, the setter reads current availability and updates the existing booking instead of creating another. Requests outside your rules, such as a same-day move you do not allow, are held for a person, and every change is logged in the CRM.

What happens if we rename or add a Cal.com event type later?

The field mapping needs a small update so the setter books the right one. That kind of change fits inside the monthly change hours that come with maintenance. Adding a whole new booking workflow is the Additional Workflow add-on, or a Change Quote.

Which systems can sit next to Cal.com in this build?

One more system is included, usually a CRM such as HubSpot, Salesforce, Zoho CRM or Pipedrive, where qualification outcomes and bookings are logged. A second calendar platform can be added with the Additional Calendar Integration add-on, at standard delivery, bought with this build or later.

How long does the Cal.com edition take to deliver?

The standard delivery time is fixed and shown next to this page before you order, with express and rush options available. The clock starts once the API key, the setup call and your criteria are in place, all due within 72 hours of ordering. The scope is identical at every speed.

What does the setter cost to run alongside Cal.com?

Roughly $50 to $250 a month in your own accounts for AI model usage and hosting, plus your CRM plan. Cal.com remains on your current plan. Monthly maintenance is optional. It starts after the post-launch support period and covers monitoring, fixes and change hours, for example remapping a renamed Cal.com event type or adding a new one.
