AI Tenant & Maintenance Agent for Property Managers

Tenant questions get answered, repairs get triaged by urgency, and work orders reach your property software.

Repair messages and tenant questions can take over a property management office, and emergencies after hours are easy to miss. This edition answers tenant questions from your own policies and takes repair requests with photos. It triages each issue by urgency, creates a work order in your property software and keeps the tenant updated. Real emergencies go to your on-call contact.

  • Repairs triaged across your issue types and urgency levels
  • Work orders created in your property-management system
  • After-hours emergencies escalated to your on-call contact

What it is

AI Tenant & Maintenance Agent for Property Managers answers tenant questions from your own policies and takes maintenance requests with photos. It triages each issue by type and urgency, creates a work order in your property-management system and updates the tenant. After-hours emergencies go to your on-call contact. It is an edition of AI Real Estate Support.

Why businesses buy it

Every repair call that reaches the office takes staff away from leasing, inspections and owners. Requests also arrive missing the details a contractor needs, so someone calls the tenant back. This edition gathers the right details and photos the first time. It sorts urgent issues from routine ones and puts the work order where your team already works. Tenants hear back without waiting for office hours. The Scope Card fixes the channel, system, issue types and testing in writing before you order.

Problems this solves

Tenant repair calls and messages flood the office every day

The agent takes maintenance requests on one channel, asks the right questions for each issue type and collects photos. Tenant FAQs are answered from your own policies.

Emergencies reported after hours wait until the next morning

Triage rules sort every request across up to fifteen issue types and three urgency levels. Emergencies after hours are escalated straight to your on-call contact.

Staff re-type repair requests into the property software

Work orders are created in one property-management system, such as AppFolio, Buildium, Rentvine or Arthur. Tenants then get status updates without staff having to send them by hand.

A good fit if

Tenant calls and messages about repairs fill your office's day.
Emergencies reported after hours are sometimes missed until the next morning.
Staff re-type maintenance requests into AppFolio, Buildium, Rentvine or Arthur by hand.
You manage a residential portfolio of roughly a hundred to a few thousand units under one brand.

Not the right fit if

You mainly need answers for buyers and sellers during a sale. See AI Real Estate Support.
You want tenants and prospects to reach an AI receptionist by phone. See AI Voice Receptionist for Real Estate, or add the Voice Channel Add-on.
You need contact and deal records kept up to date for sales and lettings. See AI Real Estate CRM Agent.
You run several brands or need vendors dispatched and paid automatically. That needs a Change Quote first.

How it works

  1. Tenants message on one channel, such as your website, SMS or WhatsApp, and get answers from your own policies and FAQs.
  2. For a repair, the agent asks the right questions for the issue type and collects photos.
  3. It sorts the request into one of up to fifteen issue types and three urgency levels, using your emergency definitions.
  4. A work order is created in your property-management system, and the tenant gets status updates.
  5. After hours, an emergency such as an active leak is escalated straight to your on-call contact.
  6. Before launch we run fifty documented property management scenarios and share the results in a test report.

What you provide within 72 hours

  • On-call contacts and your after-hours rules.
  • A channel account in your name, for example Twilio or WhatsApp Business.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who approves the triage rules.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.

Expected benefits and how to measure them

  • Can reduce repair calls reaching office staff
  • Helps emergencies reach the on-call contact sooner
  • Makes work orders arrive with the details contractors need
Maintenance calls handled by office staff
Compare weekly maintenance call counts from your phone system for a month before launch and a month after.
Time from emergency report to on-call response
Compare emergency report and response times from work-order records before launch with those after.
Work orders needing a call-back for details
Ask coordinators to tally call-backs on a sample of work orders before launch and after.

Before you start: Record weekly repair call volume, how after-hours emergencies are handled now, and how work orders are entered.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running it means AI model usage, hosting and per-message SMS or WhatsApp fees in your own accounts. Your property software plan stays as it is.

The cost rises with the number of tenant conversations. We charge nothing per unit or per work order.

Questions about this product

Which property-management systems can it create work orders in?

One system, chosen at intake, for example AppFolio, Buildium, Rentvine or Arthur. Work orders are created through the platform's API, so creation depends on that platform's API terms and your plan. We confirm access during intake, before building. A second system is outside this build and needs a Change Quote.

How does the agent decide what counts as a maintenance emergency?

It follows your rules. You give us your emergency definitions, such as an active leak, no heat in winter or a security risk. We turn them into triage rules across up to fifteen issue types and three urgency levels. The Property Management template is the starting point, and you approve the rules before launch.

What happens when a tenant reports an emergency at night?

The agent collects the details and photos and marks the request as an emergency. It then escalates it to your on-call contact using your after-hours rules. It also creates the work order and tells the tenant what happens next. Your on-call person makes the decision about sending a contractor.

Does the agent dispatch or pay maintenance vendors?

No. It creates the work order in your system and keeps the tenant updated. Choosing, dispatching and paying vendors stays with your team. The agent also does not handle rent collection, arrears action or tenant screening decisions, which stay with your staff.

Which channels can tenants use to reach the agent?

One channel, chosen at intake: your website, SMS or WhatsApp. SMS and WhatsApp use an account in your name, such as Twilio or WhatsApp Business. If tenants mostly phone, the Voice Channel Add-on lets the agent answer calls with the same triage rules.

What does the tenant agent cost to run each month?

AI model usage, hosting and per-message SMS or WhatsApp fees, all billed to your own accounts, plus your existing property software plan. The amount rises with the number of tenant conversations. We charge nothing per unit or work order. Optional monthly maintenance is available after the support period.

Can we update tenant policies after the agent is live?

Yes. Your admin can update FAQs and policy documents, and the admin guide shows how. Changes to triage rules, such as a new issue type or on-call rota, fit within the change hours of optional maintenance. Larger changes go through a Change Quote.
