AI Client Intake for Accounting & Tax Firms
Collects, checks and chases client documents, then files them to the right client folder; an edition of AI Client Intake adapted for…
Client health, satisfaction signals and renewal risk are combined into one score, with early warnings before a client leaves.
Clients rarely announce they are unhappy. The signs show up earlier: fewer meetings, slower replies, late payments. AI Client Success System reads your CRM, helpdesk and billing data, read-only, and combines those signals into one health score for each client. Partners get an account review dashboard and alerts before renewal dates, and they decide how to respond.

AI Client Success System combines engagement activity, communication sentiment and billing or payment patterns into one client health score, flagging renewal risk and satisfaction problems before a client raises them or walks away. Partners see every account in one review dashboard, with alerts ahead of key renewal dates.
Losing a long-standing client hurts twice: the revenue goes, and so does the referral you were counting on. Firms often learn a client is at risk when the renewal conversation goes badly, which is too late to fix anything. AI Client Success System gathers the warning signs from data you already hold, so partners can call, adjust or escalate while there is still time. The Scope Card sets the data sources, the score inputs and the alerts before you order, and nothing it connects to is changed.
The build combines engagement activity, communication sentiment and billing or payment patterns into one health score. It flags renewal risk and satisfaction problems before a client raises them.
Alerts arrive ahead of key renewal dates, through one channel such as email or Slack. Partners have time to talk to the client before the decision is made.
Every account is scored on the same signals, up to 25 defined metrics. Partners review all accounts in one dashboard and compare them on a common basis.
Billing and payment patterns feed into the health score alongside engagement and sentiment. Results are checked against three months of your historical data before launch.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $6,900 |
| Express | 15–25 working days | $7,950 |
| Rush | 10–20 working days | $8,950 |
Before you start: Record your renewal rate for the past year and list clients lost without warning.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running AI Client Success System afterwards costs roughly $20–150/month (AI model usage + hosting/scheduler), billed directly in your own accounts and moving with how many metrics and alerts you run.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionMonthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes such as a new signal in the health score, an added alert or a changed risk threshold. It starts after the 30 days of support, bills monthly, and can be cancelled any month.
$345/mo (5% of the build price a month, includes 3 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A customer-success platform bills per seat whether anyone builds a health score or not | An account director tracks client sentiment from memory | Ours is one fixed price, shown on this page before you buy |
| Scope | A customer-success platform gives you a generic scoring model you configure yourself | Scope depends on the account director's judgment that quarter | Ours is written on the Scope Card before purchase |
| Signals | A customer-success platform often tracks one or two signals well and ignores the rest | Coverage depends on who is watching which account | Ours combines activity, sentiment and billing signals into one score |
| Delivery | Sign-up is instant, wiring up a real health score is not | Typically several weeks before work even begins | Ours has a fixed delivery time shown before you buy, with faster options |
The one-time build price is shown in the price and delivery panel on this page, next to each delivery speed. It covers everything on the Scope Card: the signals you define, the health score model, the partner dashboard, up to five alerts and a check against three months of your historical client data before launch.
Client Success System looks across the whole client relationship, including engagement activity, communication sentiment and billing patterns, to produce one health score and flag renewal risk. AI Timesheet Intelligence looks specifically at logged hours for utilization gaps and billing anomalies. One watches the relationship, the other watches how time gets billed inside it.
No. It combines the signals a partner would otherwise have to gather manually, activity, sentiment and billing, into one score and flags accounts sliding toward risk early. A person still decides how to act, whether that means a check-in call, a pricing conversation, or bringing in someone senior before a renewal is at stake.
Roughly $20 to $150 a month in your own accounts, covering AI model usage plus hosting and the scheduler. The figure moves with how many clients you score and how many alerts you run. You pay providers directly. The one-time build price is separate and shown in the price and delivery panel on this page.
The price and delivery panel on this page shows the time for each speed, counted from the day your intake is complete and access is verified. Most of the build goes into checking the health score against your own historical client data, so the accounts it flags as at risk match what your partners already know happened.
It needs read-only access to each data source you name, such as your CRM, helpdesk or billing platform, plus at least three months of historical client data to check the health score against. Admin access and API keys are shared by adding our team as a user or creating a key you control, never by email, and nothing connected is given write access.
Yes. Adding a metric or an alert within your existing 25-metric limit fits inside the monthly change hours that come with maintenance. A fourth data source or a change to how the health score is weighted beyond what's in scope gets a written Change Quote first.
Order AI Client Success System and client health, sentiment and renewal risk are scored together on a fixed delivery date. The scope above is what you get, in writing, before you pay.
