AI Buyer Assistant

One buyer guided through search refinement, viewing questions, offer process and financing next steps, start to finish.

Buyers need guidance between viewings, and your agents cannot be on call for every question. This assistant works with one buyer across the whole search. It refines their criteria from how they react to real listings, answers viewing questions, explains what happens after an offer and walks through the usual financing next steps. Anything that needs an agent's advice goes to their agent.

  • Search criteria refined from each buyer's reactions to listings
  • Viewing and offer questions answered between appointments
  • Financing next steps explained, with advice left to professionals

What it is

AI Buyer Assistant works with one buyer across their whole search: narrowing criteria as they see more listings, answering viewing questions, walking through what happens after an offer, and explaining the usual financing next steps. It never advises on a seller's side of a deal.

Why businesses buy it

Buyers who feel unsupported between viewings drift to agents who seem more available. Yet agents cannot explain the offer process or refine criteria for every buyer every evening. This assistant keeps each buyer engaged and informed, from your own policies, and tells their agent what has changed, so the next conversation starts further along. It never gives financial or legal advice and never speaks for the seller's side. The Scope Card sets the channel, systems and workflows before you buy, so you know exactly how it supports buyers and where it stops.

Problems this solves

Buyers lose momentum between viewings when their agent is busy

The buyer assistant stays with each buyer across the whole search. It answers viewing questions and helps narrow criteria as they see more listings, keeping things moving between agent calls.

First-time buyers feel lost about what happens after an offer

The assistant walks buyers through the steps after an offer and the usual financing next steps, from your approved documents. Buyers understand the process before they need to ask.

Buyer criteria change but agents keep working from the first wishlist

As buyers react to listings, the assistant helps refine their criteria and records changes in your systems. Agents see an up-to-date brief rather than the original wishlist.

Mixing buyer and seller advice creates conflicts of interest

The assistant never advises on a seller's side of a deal. Up to six workflows keep it inside the buyer topics you approve, tested across fifty documented scenarios.

A good fit if

You work with buyers over weeks or months and want their questions answered between calls, not just during them.
Buyers often ask the same things after a viewing, similar listings, financing steps, what an offer involves, and want quick answers.
You want criteria refined automatically as a buyer reacts to real listings, not re-asked from scratch each time.
You keep buyer conversations and preferences in a CRM you already use, and want this build to read and write to it.

Not the right fit if

Your client is a seller, not a buyer. See AI Seller Assistant, built for the seller side of a deal.
You need general process support across both buyers and sellers, not one buyer's own journey. See AI Real Estate Support.
You need buyer readiness checked before assigning agent time, not ongoing search guidance. See AI Property Qualification.
You need more than six workflows or more than two systems with write access, for example a separate assistant per office. Add a note at checkout for a Change Quote, or start from our Custom AI enquiry form.

How it works

  1. A buyer's stated criteria, budget, area, beds, must-haves, is loaded from your CRM as the starting point for every conversation.
  2. As the buyer reacts to real listings, likes, dislikes, questions asked, their criteria are refined rather than re-collected from scratch.
  3. Viewing questions, what a feature means, how a property compares to one they saw last week, are answered from your approved information.
  4. Once an offer is on the table, the usual next steps, what escrow involves, typical timelines, are explained in plain terms.
  5. Financing next steps, what a pre-approval covers, what happens at each stage, are explained the same way, without giving financial advice.
  6. Anything needing a real decision, negotiating terms or advising on an actual offer amount, is handed to the buyer's agent.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to your CRM and any other connected system, sandbox or test records if you have them.
  • Your policies and process notes for buyer search, viewings, offers and financing next steps.
  • Ten real sample conversations or emails, so we can test against situations you actually see.
  • The name of the approver for questions that fall outside your written policies.
  • Your business information (company basics, hours and brand voice), shared during intake, reused if you have already completed it.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One person on your side who can approve decisions during the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Buyers can feel supported between viewings and offers.
  • Helps agents spend their time on viewings and negotiation.
  • Makes the buying process clearer for first-time buyers.
First viewing to offer
Compare the time from first viewing to offer in your CRM, before and after launch.
Viewings per purchase
Track how many viewings buyers need before an offer, quarter on quarter.
Agent time on buyer questions
Ask agents to log time on routine buyer questions for two weeks before and after launch.

Before you start: Pull the average time from registration to offer and viewings per buyer from the CRM. Note the questions buyers ask most.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is a one-time cost. What it costs to run sits in your own accounts afterwards: roughly $50 to $250 a month for AI model usage and hosting, alongside whatever CRM or helpdesk plan you already pay for.

AI usage during the build and testing is billed the same way, direct to your own accounts, so every provider relationship stays yours. Nothing routes through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

For AI Buyer Assistant we recommend monthly maintenance: monitoring, fixes, and a monthly allowance of change hours, enough for updated policies or a new financing explanation. It starts after the thirty days of support, bills monthly, and can be cancelled any month.

$295/mo (5% of the build price a month, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Buyer Assistant cost?

It is one fixed build price, paid once, and you can see it for each delivery speed in the price and delivery panel on this page. The Scope Card is covered in full: one buyer channel, two connected systems such as your CRM and listing feed, six workflows with your approval rules, testing and a recorded handoff session. There is no charge per buyer conversation.

How long until AI Buyer Assistant is live?

Each delivery speed has a fixed time shown in the price and delivery panel on this page, starting once intake is complete and access is verified. Sharing your buyer-journey policies, offer process notes and a few real buyer conversations during intake keeps the schedule tight. We test the assistant against those conversations before any live buyer talks to it.

What does AI Buyer Assistant need from us?

We need your policies and process notes for search, viewings, offers and financing next steps, plus ten real sample buyer conversations or emails to test against. Admin access to your CRM and any connected system is shared by adding our team as a user or creating a key you control, never by email, and one person on your side approves the policies before launch.

What does AI Buyer Assistant cost to run each month?

Running costs are separate from the build price and paid directly to your own providers, typically $50 to $250 a month for AI model usage and hosting, on top of the CRM or helpdesk plan you already pay for. Agencies with more active buyers at once sit toward the higher end. Monthly maintenance is optional.

Can we update AI Buyer Assistant's policies later?

Yes. Two rounds of changes are included in the build, so most updates to policies or the financing explanations happen before launch based on the test scenarios. After that, small updates fit inside the monthly change hours that come with maintenance, and a genuinely new workflow, for example a separate flow for new-build buyers, comes as a quoted add-on.

Does AI Buyer Assistant give financial or legal advice?

No. It explains the usual financing next steps and process, in plain terms, from your approved information, but it does not give financial or legal advice, and it does not negotiate offer terms. Anything that needs a real decision, an actual offer amount or a financing recommendation, is handed to the buyer's own agent.

How is AI Buyer Assistant different from AI Seller Assistant?

AI Buyer Assistant works only with buyers: search refinement, viewing questions, offer process and financing next steps. AI Seller Assistant is the mirror build for sellers, covering listing preparation, pricing conversations and offer review support. They share the same scope and price but never the same client conversation.

Who owns the AI Buyer Assistant conversation data afterwards?

You do. Every conversation and every criteria update stays inside your own CRM under your own account throughout the build and afterwards. We configure and test the search refinement and answer logic, hand over an admin guide and a recorded session, then step away at launch, apart from the 30 days of included support that follow.

Stop losing buyers between viewings.

Order AI Buyer Assistant and it starts guiding one buyer through search, viewings and offers on a fixed delivery date. The scope above is what you get, in writing, before you pay.
