AI products that work with QuickBooks
Finance teams on QuickBooks spend hours keying bills, chasing customers and checking expense claims. These four products take that routine work on inside QuickBooks itself. They extract and code supplier invoices, run payables matching and approvals, track receivables and reconcile payments, and check expenses against policy. Your books stay in one place.

What do the QuickBooks editions handle?
Money comes in and goes out through the same small set of tasks, repeated every week. Bills arrive as PDFs that need entering. Purchase orders need matching. Customers need reminders. Expense receipts need checking. Each edition connects natively to QuickBooks, reading and updating the records involved, so the work is done where your accountant expects to find it.
- Extract, validate and code supplier invoices
- Match bills to purchase orders and route approvals
- Send receivables reminders and reconcile payments
- Flag expense claims that break policy
Which QuickBooks product should you start with?
If bill entry is the bottleneck, AI Invoice Intelligence extracts, validates and codes supplier invoices into bills. For a fuller payables process, the AI Accounts Payable Agent adds matching against purchase orders and approval routing. On the incoming side, the AI Accounts Receivable Agent tracks invoices, sends reminders and reconciles payments and credit memos. AI Expense Audit checks claims and receipts against your policy and flags exceptions for review.
Questions buyers ask
Does the AI approve or pay bills by itself?
The AI Accounts Payable Agent runs intake, matching and approval routing, which means bills go to the people who should approve them. Who approves what, and whether any step is automatic, is set out in the Scope Card. Your finance lead keeps control of approvals and payments.
Which QuickBooks records are involved?
It varies by product. Invoice Intelligence works with bills, vendors, accounts and bill payments. The payables agent adds purchase orders. The receivables agent works with invoices, customers, payments and credit memos. Expense Audit covers expenses, receipts, vendors and accounts. The Scope Card lists the exact access for your accountant to review.
What happens to expenses that break policy?
AI Expense Audit checks each claim against your expense policy and flags the exceptions. It does not reject them on its own. A person in finance reviews the flagged claims and decides. Your policy rules are captured during setup, as the Scope Card describes, so the checks match how your company actually works.
How the connection is set up
The general pattern we follow for every integration.
- 1You create the necessary access in your QuickBooks account: a private app, an API key, or an OAuth approval, depending on what QuickBooks supports.
- 2We agree a secure way to share access during intake. Please never send passwords or API keys by email.
- 3We agree the field mapping with you and test it on sample records before anything goes live.
- 4You can revoke access from QuickBooks or the portal at any time.
Frequently asked questions
Which QuickBooks plan do I need?
It depends on the product. Each product page lists the QuickBooks features it relies on; plan upgrades are not included.
Will it change my existing data?
Only the fields in the mapping agreed with you, and that mapping is tested on sample records before anything goes live.
Can I use a different platform instead?
Many products also have editions for other platforms. See the full integrations list for what is currently published.
