AI Accounts Payable Agent
Runs invoice intake, matching and approval routing for payables.
Supplier invoices become checked, coded bills in QuickBooks Online, matched to the right vendor, without anyone retyping them.
If your books run on QuickBooks Online, someone is probably still typing supplier bills in from PDFs. It is slow, duplicate vendors creep in, and the same invoice gets entered twice when it is forwarded. This build reads each invoice, matches it to the vendor you already have, catches duplicates and creates a coded bill with your accounts, classes and locations. You review only the bills that fail a check.

AI Invoice Intelligence for QuickBooks reads supplier invoices from your inbox or upload folder, checks them against the vendors, bills and payments already in QuickBooks Online, and creates coded bills through a two-way connection with an agreed field mapping. Invoices that fail a check wait for review instead of posting. Your team stops retyping bills by hand.
Manual bill entry in QuickBooks costs more than time. Look-alike vendors split your spending history, duplicate bills risk double payments, and miscoded classes make reports less useful. After this build, bills arrive in QuickBooks already checked and coded by your rules, and your team handles only the exceptions. Your vendor list stays clean and your reports stay trustworthy. The field mapping and checks are written on the Scope Card before you order, so your accountant can review exactly what will be posted.
Supplier invoices from your inbox or upload folder are read and turned into coded bills in QuickBooks Online. The two-way connection follows an agreed field mapping, so nobody retypes them.
Each invoice is checked against the vendors, bills and payments already in QuickBooks. Possible duplicates and failed checks wait for review instead of posting, so the same bill is not entered twice.
Invoices that fail a rule, such as an unknown vendor, stop in a review queue. A person decides before anything is created, keeping your vendor list clean.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

Before you start: Record how many bills you enter in QuickBooks each month and any duplicates voided last quarter.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running it costs roughly $30 to $200 a month in your own accounts for OCR, AI usage and storage, on top of the QuickBooks subscription you already pay.
AI usage during build and testing is billed to you as well, so the QuickBooks relationship and every provider account stay yours. This is workflow support, not regulated financial, tax or investment advice.

| Duplicate bills | A capture app checks only its own history | An agency build depends on what was agreed | Ours reads the bills and payments already in QuickBooks |
| Delivery | An app connects quickly but each rule is yours to configure | A consultant's timeline depends on availability | Ours has a fixed delivery time shown before you buy, with faster options |
Yes. It connects through a QuickBooks Online app that your admin authorizes during a 30-minute setup call. If your company file runs on a different QuickBooks product, say so before ordering, because the connection described on the Scope Card is built for QuickBooks Online.
No. It matches each supplier to your existing QuickBooks vendor list. When a supplier name cannot be matched with confidence, the invoice goes to your reviewer, who either picks the right vendor or approves a new one, so your vendor list stays clean.
It reads and updates invoices, bills, vendors, customers and payments through the two-way connection. For supplier invoices that mostly means reading vendors, bills and payments for checks, then writing a new coded bill. The exact fields are listed in the documented field mapping you approve.
Yes, if you use classes or locations and give us the rules for choosing them, such as a site name on the invoice or a supplier default. These are part of the agreed field mapping. Invoices that do not fit a rule are queued for review rather than given a guessed class.
On a QuickBooks sandbox company or test records, where available. We process 100 sample documents, check what lands in QuickBooks against the source invoices, and send an accuracy report. The live company is connected only at go-live, after you have approved the results.
The QuickBooks Online connection and a documented field mapping for bills, vendors, accounts and bill payments. You also get validation rules, an exceptions queue, an accuracy report on 100 of your own documents, two rounds of changes, a recorded handoff session and 30 days of support. The Scope Card on this page lists every limit in writing.
