AI Expense Audit for QuickBooks

QuickBooks bills and payments checked against your spending rules, with every exception listed for a reviewer instead of found at year end.

QuickBooks records what was spent, but it does not tell you when spend breaks your own rules. Duplicate bills, unapproved vendors and missing attachments often surface only at year end. This build checks the bills, vendor records and payments in QuickBooks Online against your written spending rules and lists every exception for a reviewer. It never changes your books on its own.

  • QuickBooks bills and payments tested against your own rules
  • Duplicate bills and unapproved vendors flagged for review
  • Your books stay untouched until a person decides

What it is

AI Expense Audit for QuickBooks checks the bills, vendor records and payments in QuickBooks Online against your written spending rules, such as approved vendors, limits per category and missing attachments. Exceptions go into a review queue delivered by email, Slack or a dashboard. Nothing is changed in your books on its own.

Why businesses buy it

When nobody tests QuickBooks spend against policy, small breaches add up: a vendor paid twice, a category over its limit, a bill with no attachment that your accountant later queries. Fixing them at year end costs more than catching them now. After this build, exceptions appear in a review queue soon after they happen, with the record and the rule shown together. Your books stay as they are until someone decides. The Scope Card documents the rules, mapping and outputs before you order.

Problems this solves

QuickBooks bills land in categories that break your limits

The audit reads bills and payments in QuickBooks Online and checks them against your limits per category. Breaches land in a review queue with the bill and the rule shown together.

Bills get paid in QuickBooks with no attachment behind them

A missing attachment is one of the rules checked on each QuickBooks bill. Your reviewer sees which bills lack backup before payment, without opening every record by hand.

New vendors appear in QuickBooks without anyone vetting them

Vendor records are compared with your approved vendor list. A bill or payment to a vendor outside the list is flagged, and nothing in your books changes on its own.

A good fit if

Your bookkeeping runs on QuickBooks Online, and spend is checked against policy only when someone has time at month end.
You have rules about which vendors may be paid, how much each category may cost and what paperwork a bill needs.
Duplicate bills, payments to new or unapproved vendors, or amounts above a limit have slipped through before.
A QuickBooks admin can authorize an OAuth app and join a 30-minute call about accounts, classes and vendor fields.

Not the right fit if

Your books are in Xero. See AI Expense Audit for Xero.
Your books are in Zoho Books. See AI Expense Audit for Zoho Books.
You want incoming bills captured, coded and approved for payment in QuickBooks, not checked afterwards. See AI Accounts Payable Agent for QuickBooks.
You want invoice documents read and data extracted into QuickBooks. See AI Invoice Intelligence for QuickBooks.

How it works

  1. Your QuickBooks admin authorizes an OAuth app, and a 30-minute call maps the accounts, classes, vendor fields and attachment rules the audit will use.
  2. Your policy becomes up to 25 defined checks, such as category limits per month, an approved vendor list, or a bill above a set amount needing an attachment.
  3. Bills, vendors and payments from QuickBooks are checked against those rules on your schedule, together with one more source such as your expense tool.
  4. Likely duplicates are flagged too: the same vendor, a matching amount and a close date appearing more than once.
  5. Each exception lands in the review queue with the QuickBooks record it came from and the rule it broke, and up to five alerts cover the ones that cannot wait.
  6. Before launch, every check runs against three months of your QuickBooks history, so you can see false flags and tighten rules first.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A QuickBooks Online OAuth app authorized by your admin, with access shared securely and never by email.
  • Your QuickBooks admin for 30 minutes to confirm accounts, classes and vendor fields.
  • Your written expense or purchasing policy, including limits, approved vendors and attachment rules.
  • Your chart of accounts and approval rules, plus a few sample bills or reports.
  • At least three months of QuickBooks history, and access to the one other source you want checked.
  • The reviewers who receive exceptions, the delivery channel and one decision-maker.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can catch QuickBooks bills that break your rules before they are paid
  • Helps your bookkeeper review exceptions instead of every bill
  • Makes it easier to keep attachments complete for year-end
Bills flagged and corrected
Count exceptions in the review queue each month and how many led to a change in QuickBooks.
Bills without attachments at month end
Filter the QuickBooks bill list for missing attachments at month end, before launch and after.
Payments to unapproved vendors
Compare payments to vendors outside your list in the quarter before launch with the quarter after.

Before you start: Export a month of QuickBooks bills before work starts. Note how many break your rules, lack attachments or go to unlisted vendors.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it costs roughly $20 to $150 a month for AI model usage and hosting or scheduling, billed to your own accounts. Your QuickBooks subscription is not changed.

Usage during build and historical testing is also charged to your accounts, so the OAuth app and providers remain yours.

Custom requirements

Auditing more than one QuickBooks company, adding a third data source, or checking custom QuickBooks objects outside the mapping needs a written Change Quote. Add a note at checkout and we send it to you.

Questions about this product

Which QuickBooks records does the expense audit check?

Bills, vendors and payments, plus invoices and customers where your rules need them, all within the documented field mapping. One more source, such as an expense tool or a spreadsheet of card spend, can be added. Custom QuickBooks objects beyond the mapping are excluded unless quoted separately.

Can the QuickBooks audit catch a bill entered twice?

Yes. It looks for bills with the same vendor, a matching or near-matching amount and a close date, and puts likely duplicates in the review queue. Your reviewer decides whether it is a genuine duplicate. Nothing is voided or deleted in QuickBooks by the audit.

Does the expense audit write anything back to QuickBooks?

Only what you approve in the mapping, such as a memo noting that a bill was reviewed. By default it reads and reports. It never approves, pays, voids or recategorises a transaction, and it does not give tax or accounting advice; those decisions stay with your team.

Does it work with QuickBooks Desktop?

No. The connection uses a QuickBooks Online OAuth app, so the build is for QuickBooks Online. If your books are still in QuickBooks Desktop, describe the setup in a checkout note and you will receive a written Change Quote, or advice on whether this build fits.

What is included in the QuickBooks expense audit?

The QuickBooks Online connection and field mapping, your spending rules built as checks, and a review queue delivered by email, Slack or a dashboard. Testing runs on three months of your own history. You also get two rounds of changes, a recorded 60-minute handoff and 30 days of support, all written on the Scope Card.

Can QuickBooks classes or locations have different spending limits?

Yes, if they are in the field mapping. A rule can apply a different monthly limit to each class or location, for example a higher travel limit for the sales team. Each rule counts toward the 25 defined checks in scope, so we agree priorities at intake.
