AI Notification Orchestrator

Every alert reaches the right person in the right channel, with noisy duplicates and off-hours pings held back by your rules.

When every system sends its own alerts, the urgent ones get lost in the noise. This build watches the events you choose and sends each one to the right person, in the right channel, at the right priority. Duplicates are held back and quiet hours are respected. You decide the rules, and every alert it sends or holds is logged.

  • Urgent alerts reach the right person in the right channel
  • Duplicate and low-priority pings held back by your rules
  • Quiet hours respected, with a log of every alert routed

What it is

AI Notification Orchestrator is a build that watches the events you choose across your systems and routes each one to the right person, in the right channel, using the priority and quiet-hours rules you set. Every alert it sends or holds back is recorded in a run log.

Why businesses buy it

Alert overload is expensive. People mute busy channels, and then the one message about a failed payment or an angry customer sits unread for hours. Routing each event by type, urgency and recipient means the right person sees it quickly, and everyone else gets fewer interruptions. Before you order, the written scope shows how many systems connect, what the routing workflow covers and how it is tested on real events, so you know exactly what you are buying.

Problems this solves

Important alerts get lost in a flood of notifications

The automation watches the events you choose across your systems. It routes each one by the priority rules you set, so important alerts stand out.

The wrong person gets woken up at night for minor issues

Quiet-hours rules decide what can wait until morning and what goes out at once. Each alert then reaches the right person in the right channel for its priority.

Nobody can check later whether an alert was sent

Every alert sent or held back is recorded in a run log. The workflow was tested across 20 runs on your sample data before going live.

A good fit if

Important alerts currently get lost in a shared inbox or a channel nobody checks in time.
Different types of events need to reach different people, such as billing failures to finance and stock alerts to warehouse staff.
You want noisy or duplicate alerts filtered out instead of every system shouting at once.
You already use channels like Slack, Microsoft Teams, email or webhooks and just need the routing logic built.

Not the right fit if

The real issue is dirty CRM data, not where alerts go. See AI CRM Data Hygiene.
You need a file kept updated, not messages routed. See AI Spreadsheet Automation.
You want the routing logic visible and editable as a Zapier or Make scenario yourself. See AI Zapier & Make Workflow Build.
Routing is one step inside a larger process with approvals across several systems. See AI Multi-Step Workflow Automation.

How it works

  1. We connect to the systems that generate the events you want routed, up to three, such as your helpdesk, billing platform or monitoring tool.
  2. Each event is checked against the priority and routing rules agreed during intake, such as who owns which alert type and how urgent it is.
  3. One AI step reads unstructured event text, such as an error message or a support form, and works out what kind of alert it is before routing.
  4. The alert is sent to the right channel and person, with duplicate or repeat alerts inside a set window held back instead of resent.
  5. Quiet-hours and escalation rules are applied, so low-priority alerts wait until working hours while urgent ones still get through.
  6. Every alert sent, held or escalated is recorded in a run log you can review.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A list of the systems that generate alerts, with admin or API access to each.
  • A written description or screen recording of how alerts are currently handled and where they go wrong today.
  • Five to ten real sample alerts or events so we can test the routing rules.
  • Who should receive each type of alert, and any quiet-hours or escalation rules to apply.
  • Your completed business information, or confirmation an existing one should be reused.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can approve the routing rules.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Notification Orchestrator configured and running
  • One routing workflow with your priority and quiet-hours rules
  • Connections to up to three systems
  • A run log of every alert sent or held, plus a test report from 20 sample runs
  • An admin guide, a recorded 45-minute handoff and 30 days of post-launch support

Expected benefits and how to measure them

  • Can cut notification noise for the team
  • Helps urgent issues reach someone who can act
  • Gives a record to review when something is missed
Notifications per person per day
Compare counts from your messaging tools for two weeks before launch and two weeks after.
Time to acknowledge urgent alerts
Read alert and response times from the run log monthly.
Missed alerts
Count incidents where an alert was not seen in time.

Before you start: Estimate how many notifications each person gets daily and how often urgent ones are missed.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running it typically costs ~$20–100 a month for the automation platform and AI model usage, billed in your own accounts. A business routing a few hundred alerts a month usually sits toward the low end.

AI usage during build and testing is billed the same way, keeping every provider account in your name.

Questions about this product

What does the AI Notification Orchestrator price include?

One fixed price covers the full build on the Scope Card: connecting up to three alert-producing systems, writing the routing and priority rules, 20 test runs on real events, and a recorded 45-minute handoff session. The price is shown before you order, with no discovery call required.

What does it cost to run the notification routing each month?

Typically $20 to $100 a month, covering the automation platform and AI model usage in your own accounts. A business routing a few hundred alerts monthly usually lands near the bottom of that range. You see every charge directly on your own provider bill, nothing passes through us.

How soon will alerts start reaching the right person?

The delivery time for standard, Express and Rush is shown in the price panel before you order. The date runs from a complete intake, so it depends on receiving your system access, sample alerts and routing rules within 72 hours of ordering. Missing information adds time.

What access does the alert routing need to my systems?

Admin or API access to each system that generates the alerts you want routed, such as your helpdesk, billing platform or monitoring tool. Access is shared by adding our team as a user or creating a key you control, never sent by email, and is used only to build and run the agreed routing workflow.

Can I add a new alert type or channel later?

Yes. Two rounds of changes are included before launch, and small adjustments afterwards, such as a new routing rule, fit inside the monthly change hours included with maintenance. A brand-new channel or system is quoted separately as an add-on. Maintenance also covers monitoring, fixes and a monthly health report, and can be cancelled any month.

How does the orchestrator stop the same alert being sent twice?

It checks each new event against recent alerts inside the window you set during intake, and holds back anything that looks like a repeat of one already sent. Genuinely new events, even similar-looking ones outside that window, still go through, so nothing urgent gets missed.

Can quiet hours be different for different alert types?

Yes. You set which alert types respect quiet hours and which always go through regardless of time, such as a system outage. Those rules are agreed during intake and can be adjusted afterwards through monthly maintenance, without rebuilding the whole routing workflow.

Stop losing urgent alerts in a channel nobody watches.

Order AI Notification Orchestrator and urgent alerts start reaching the right person in the right channel, on the priority and quiet-hours rules you set.
