Workflow Automation

AI Report Automation for Construction

Site progress, revised drawings and open quotes are compiled into one weekly report, instead of chased across messages and folders.

Project managers often spend Friday afternoons chasing subcontractor messages, checking which drawings changed and updating the client report. This workflow builds that report for them. It reads task status from your project tool, pulls progress and delays out of email or WhatsApp site updates, lists revised drawings from document storage and summarizes open quotes, then sends one clear weekly report.

  • Site updates from email or WhatsApp turned into report lines
  • Revised drawings and documents listed before they surprise the site
  • One scheduled report, with failed sources flagged

What it is

AI Report Automation for Construction compiles a scheduled project report from your project management tool, the site updates subcontractors send by email or WhatsApp, and your document storage. Built on the Construction template, it covers site progress, document control, open enquiries and quotes, and runs in the background. Failed sources trigger alerts.

Why businesses buy it

On a construction project, a missed site update or an unnoticed drawing revision can mean rework, delays and disputes. Yet the weekly report is usually assembled by hand from scattered messages and folders, by people who should be managing the job. This edition gathers it all on schedule, in the same structure every week, and flags anything it could not read. Subcontractors keep sending updates the way they do now. The Scope Card fixes the sources, sections, recipients and testing before you order.

Problems this solves

Site updates arrive by email and WhatsApp and never reach one report

The automation compiles a scheduled project report from your project tool and your document storage. It also pulls in the site updates subcontractors send by email or WhatsApp.

Document control slips when drawings and RFIs sit in different places

The construction template covers site progress, document control, open enquiries and quotes. Gaps in documents show up in the report, where they can be fixed before work on site.

Project managers lose evenings writing progress reports

The report runs in the background on your schedule, so nobody writes it after hours. Failed sources trigger alerts, so a missing feed is noticed before the report goes out.

A good fit if

Project managers spend Friday afternoon scrolling through messages and photos from site to write the weekly progress summary.
Revised drawings and documents land in shared folders, and the team only finds out a revision exists when someone builds from the old one.
Directors want one view of open enquiries and quotes alongside site progress, without asking each estimator for an update.
Your projects already live in a project management tool, and subcontractors send updates to one email address or WhatsApp business number.

Not the right fit if

You want enquiries qualified and quotes drafted, not just reported on. See AI Proposal System for Construction.
The bottleneck is keying data from delivery notes, forms or registers into your systems. See AI Document Extraction for Construction.
Subcontractor and supplier invoices are what eat the week. See AI Invoice Intelligence for Construction.
Every project needs its own report with its own layout and recipients. Add the Additional Workflow add-on, per extra report, or a checkout note for a Change Quote.

How it works

  1. The report is agreed with the person who currently writes it: which projects, which sections from the Construction template, which recipients and which day it runs.
  2. Task and milestone status is read from your project management tool, without changing anything in it.
  3. Site updates from subcontractors are read from the agreed email inbox or WhatsApp business number. The extraction step pulls out the project, what was done, what is delayed and any issue raised.
  4. Document storage is checked for drawings and documents added or revised since the last report, so revisions are listed rather than discovered on site.
  5. Open enquiries and quotes are summarized from wherever your team tracks them, provided that source is one of the three connected systems.
  6. The AI drafting step writes a short narrative of the week per project, the report is sent, and any failed source triggers a retry and then an alert.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to your project management tool, document storage and the inbox or WhatsApp business number that receives site updates.
  • A walk-through, written or recorded, of how the weekly project report is compiled today.
  • Five to ten real samples: past reports, subcontractor updates and a folder of revised drawings.
  • Your project naming or numbering, so updates and documents can be tied to the right job.
  • The recipients for the report and the person alerted when a source fails.
  • Admin access and API keys for every connected system, never sent by email.
  • One decision-maker who approves the report format.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can give project managers back time spent writing reports
  • Helps open enquiries and quotes stay visible
  • Keeps progress reporting consistent across sites
Hours spent on site reports
Ask project managers to log weekly time for a month before launch and a month after.
Open enquiries and quotes
Track the count in each report and how long items stay open.
Document control gaps
Count missing or outdated documents flagged per report over time.

Before you start: Record weekly hours spent on project reporting and the current number of open enquiries and document gaps.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is a one-time cost. Running costs come to roughly $20 to $100 a month for the automation platform and AI usage, paid into your own accounts. A firm with many active sites and a busy WhatsApp number lands toward the higher figure.

WhatsApp conversation fees, where used, are billed to your own WhatsApp account, and testing during the build is billed to you as well.

Custom requirements

Adding a fourth system such as an estimating tool, producing separate client and internal versions, or reading photos for progress evidence needs a Change Quote. Note it at checkout and a written quote arrives.

Keep it running

After launch, monthly maintenance keeps AI Report Automation for Construction accurate as your business changes. It covers monitoring, fixes and a monthly allowance of change hours for small changes. It starts after the post-launch support period, bills monthly and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can subcontractors keep sending site updates on WhatsApp?

Yes, if WhatsApp is one of the three connected systems. Updates sent to your WhatsApp business number are read on schedule and the useful facts extracted for the report. Subcontractors keep messaging as they do now. Conversation fees are billed to your own WhatsApp account, not through us.

Does AI Report Automation for Construction cover several projects at once?

Yes, as sections in one report, provided the projects sit in the same project management tool and follow a naming or numbering pattern the workflow can match. A separate report per project, each with its own recipients and layout, is an extra workflow through the Additional Workflow add-on, quoted before work starts.

How does the construction report handle document control?

It checks the folders agreed at intake for drawings and documents that were added or revised since the last cycle, and lists them by project. If your naming or folders mark approval status, it can group files by that status too. It does not review the content of the drawings themselves.

What happens to a site update that does not name a project?

It is placed in an unmatched section of the report so a project manager can assign it, rather than being dropped or guessed. During intake we agree how your jobs are identified, such as a project number or site name, which keeps the unmatched list short once subcontractors know the format.

What is included in the construction reporting edition at each speed?

Every delivery speed includes the Construction template, read-only project tool and storage connections, site update extraction from email or WhatsApp, twenty test runs on your own updates and folders, two rounds of changes and a recorded 45-minute handoff for whoever owns the report afterwards. The fixed price for each option is shown on this page before you buy.

Can a client receive the weekly construction report?

Yes, if they are named as a recipient at intake. Because the internal version often carries quotes and document-control detail a client should not see, a client-facing version usually needs its own layout. That second layout is an extra workflow, added with the Additional Workflow add-on or quoted separately.
