Workflow Automation

AI Report Automation for Retail

Store stock, online orders, click-and-collect and loyalty numbers land in one scheduled report, so every store works from the same picture.

Retail teams often see stores and online as separate worlds, each with its own spreadsheet. This workflow brings them together. On schedule, it joins POS or inventory exports, online and click-and-collect orders and CRM loyalty and feedback into one report, with a short commentary on what moved. Head office and store managers all work from the same picture.

  • Store stock, online orders and click-and-collect in one report
  • Customer feedback turned into countable lines by store and topic
  • Read-only connections that never change stock or prices

What it is

AI Report Automation for Retail joins your POS or inventory exports, your ecommerce platform and your CRM into one recurring report across stores and online. Built on the Retail template, it covers stock and store questions, click-and-collect, loyalty and customer feedback, and runs quietly in the background. Every connection is read-only.

Why businesses buy it

When store and online numbers live in different places, decisions are made on half the picture: stock sits in one branch while another sells out, uncollected orders pile up and feedback goes unread. Compiling it all by hand takes hours every week. This edition produces one consistent trading report on schedule, with commentary, so everyone from head office to the shop floor sees the same facts. Your systems stay read-only. The Scope Card fixes the sources, sections, recipients and testing before you order.

Problems this solves

Store and online figures live in separate POS and ecommerce exports

The automation joins your POS or inventory exports, ecommerce platform and CRM into one recurring report. It covers stores and online together, using the retail template.

Merchandisers spend Monday mornings merging stock spreadsheets

The report runs quietly in the background on the schedule you set. Stock, click-and-collect, loyalty and customer feedback figures arrive in one place without anyone merging files.

Reporting tools often ask for write access they do not need

Every connection is read-only, so nothing in your POS, ecommerce platform or CRM can be changed. Retail KPI definitions keep figures consistent from store to store.

A good fit if

Head office stitches together POS exports from each store and the online store's orders every week before the trading meeting.
Click-and-collect orders sit uncollected or unpicked, and nobody sees the pattern until a shopper complains.
Loyalty sign-ups and customer feedback live in the CRM, but never appear next to the sales and stock numbers they explain.
Your POS or inventory system can export on a schedule, and your ecommerce platform and CRM give API access.

Not the right fit if

You need stockouts forecast and overstock flagged, not a weekly snapshot. See AI Inventory Intelligence.
You want shopper feedback from surveys, tickets and calls grouped into themes in depth. See AI Customer Feedback Intelligence for Retail.
Shoppers asking about stock or click-and-collect need an answer now, not a report later. See AI Customer Support Agent for Retail.
You want to track competitor prices rather than your own trading. See AI Price Monitoring for Retail.

How it works

  1. Sections are agreed with your trading or operations lead, using the Retail template: stock by store, online orders, click-and-collect status, loyalty and feedback.
  2. POS or inventory exports are picked up on schedule, so store-level stock and sales come in the same format every cycle.
  3. Your ecommerce platform is read for online orders and click-and-collect orders, including any still waiting to be picked or collected where the platform records it.
  4. The CRM supplies loyalty sign-ups and feedback. Free-text comments are turned into structured lines by store and topic so they can be counted.
  5. The AI drafting step writes a short commentary on what moved this cycle, and the report is emailed to head office and store managers.
  6. Every system is read-only. A missing export or failed connection is retried, then reported to the person you chose.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to your POS or inventory exports, plus API access to your ecommerce platform and CRM.
  • A description or screen recording of how the weekly trading report is put together today.
  • Five to ten real inputs: recent store exports, an online order export and a past report.
  • Your store list and codes, and how click-and-collect orders are marked as collected.
  • Who receives the report and who is alerted if an export is missing.
  • Admin logins and keys for every connected system, never pasted into email.
  • One decision-maker who approves sections and recipients.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • Keeps source systems safe with read-only access
Hours spent merging store reports
Ask the team to log weekly time for a month before launch and a month after.
Report delivered on schedule
Count on-time reports each month.
Stock issues spotted from the report
Log stock problems found through the report and acted on each month.

Before you start: Record weekly hours spent on store and stock reporting, and list the exports used today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Day to day, the automation platform and AI model usage cost roughly $20 to $100 a month in your own accounts. More stores and a daily schedule move you toward the top of that range.

Your POS, ecommerce and CRM subscriptions stay as they are, and usage during testing is billed to you directly.

Custom requirements

Pulling in a fourth system such as a separate loyalty platform, or producing a different layout for each region, needs a written Change Quote. Add a checkout note and we send it to you.

Questions about this product

Can the retail report combine store POS exports with online orders?

Yes. Store exports and your ecommerce platform's orders are joined by store code and date, so one report shows each store next to online trading. That needs a consistent store list, which you supply at intake. Both connections are read-only, so no stock or order record is altered by the report.

Does AI Report Automation for Retail show click-and-collect orders that were never collected?

Yes, where your ecommerce platform or POS records whether an order was picked and collected. The report can list orders still waiting past the window you set, by store. If that status is only kept on paper in store, the report cannot see it, and we will say so at intake.

Can each store manager get a report for their own store only?

Yes, with an add-on. The standard build produces one report for the recipients you name. Store-by-store versions can be set up with the Multi-Location Setup add-on, or as a separate layout through the Additional Workflow add-on, depending on how different each version needs to be. Both are quoted before any work starts.

Which loyalty figures can appear in the retail report?

Whatever your CRM already holds and exposes through its API, such as new members by store or online, and feedback attached to customer records. The report counts and summarizes those figures; it does not run loyalty campaigns or change member records. Those fields are confirmed during intake against your CRM.

How fast can the retail reporting edition go live?

On a fixed schedule shown before you buy, with express and rush options if you want the report running before a peak trading period. The clock starts once your exports, platform access and samples are in, so sending them inside the first 72 hours keeps the date you were given.

Will the report ever change stock or prices in our systems?

No. Every connection in this build is read-only. It reads POS exports, online orders and CRM records, assembles the report and sends it. Adjusting stock, prices or loyalty records stays with your team and the systems you already use, which keeps the report safe to run unattended.
