Workflow Automation

AI Spreadsheet Automation

Spreadsheets update themselves from your other systems, on schedule, with every change logged and checked before it saves.

If someone on your team spends hours each week copying figures into the same spreadsheet, this is for you. The automation pulls data from the systems you already use, applies your rules, checks each change and writes it back on schedule. Every run is logged, so you can see what changed and why. You keep the workbook, the accounts and the final say on the rules.

  • Workbooks update on schedule without anyone copying and pasting
  • Each change is checked against your rules before it saves
  • A run log shows what changed, when and why

What it is

AI Spreadsheet Automation is a build that keeps your spreadsheets current by pulling data from the systems you already use, applying your rules, and writing the results back without anyone opening the file. Each run is checked and logged, so you can trace any change.

Why businesses buy it

Manual spreadsheet updates look small, but they repeat every day or week and they invite mistakes. One wrong paste can flow into a forecast, an invoice or a stock order before anyone notices. Automating the update gives that time back and makes the numbers more reliable, because the same rules run every time. You know before you order exactly how many systems connect, what the workflow covers and how it is tested on your own data.

Problems this solves

Spreadsheets go stale because someone must update them by hand

The automation pulls data from the systems you already use, applies your rules, and writes the results back. Nobody needs to open the file to keep it current.

Formulas and copied values break when different people edit

Your rules are applied the same way on every run by one workflow of up to 12 steps. That removes the risk of someone pasting over a formula.

Nobody can tell when or why a number in the sheet changed

Each run is checked and logged, so you can trace any change. The setup was tested across 20 runs on your sample data before going live.

A good fit if

Your team keeps a master spreadsheet or workbook that other systems should update automatically instead of by hand.
The same update, calculation or reformat happens on a regular schedule, such as daily, weekly or after every new order.
You already have the source data in tools like Google Sheets, Airtable, your CRM or a shared drive, and just need it moved and shaped correctly.
You want a record of every run, including what changed and when, rather than trusting that someone remembered to update the file.

Not the right fit if

Your real problem is messy, duplicate contact and company records inside a CRM, not a spreadsheet. See AI CRM Data Hygiene, which is built for that.
What you need is alerts and routing, not file updates. See AI Notification Orchestrator, which sends the right message to the right channel.
You already work inside Zapier or Make and want the AI step built directly into that platform. See AI Zapier & Make Workflow Build.
Your process spans more than three systems with approvals and branching logic. See AI Multi-Step Workflow Automation, built for that scale.

How it works

  1. We connect to your source systems, up to three, such as your CRM, a form tool, a shared inbox or another spreadsheet, using the access you provide.
  2. New and changed records are pulled on the schedule you set, whether that is every hour, once a day or triggered by an event like a new row.
  3. The data is cleaned and shaped: columns are matched, formats standardized, and duplicates flagged before anything is written, using the rules agreed during intake.
  4. One AI decision or drafting step runs where you need judgment, such as flagging outliers, categorizing a free-text entry or drafting a short summary column.
  5. The spreadsheet is updated in place, formulas and formatting left intact, and a run log records what changed, what was skipped and why.
  6. If a run fails or hits unexpected data, an alert goes to the person you named, with the details needed to fix it.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A list of every system involved, with admin or API access to each one.
  • A written description or short screen recording of how the update currently happens by hand.
  • Five to ten real sample inputs so we can test against your actual data.
  • The name of who should receive alerts if a run fails or finds something unusual.
  • Your completed business information, or confirmation that we should reuse one on file.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One person on your side who can approve decisions during the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Spreadsheet Automation configured and running
  • One update workflow with your rules, prompt and guardrail settings
  • Connections to up to three systems, including the spreadsheet
  • A run log for tracing changes, plus a test report from 20 sample runs

Expected benefits and how to measure them

  • Can keep key spreadsheets current without manual updates
  • Helps prevent broken formulas and pasted errors
  • Makes every change traceable
Hours spent updating the sheet
Ask the owner of the sheet to log time for a month before launch and a month after.
Data freshness
Note how old the newest figures are when someone opens the sheet, checked weekly.
Errors found in the sheet
Count corrections needed each month.

Before you start: Record how often the sheet is updated now, how long it takes, and recent errors found.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running it typically costs ~$20–100 a month, covering the automation platform and AI model usage, billed directly in your own accounts. A single workbook updated a few times a day usually sits at the low end of that range.

AI usage during the build and testing is billed the same way, so every provider account stays in your name from day one.

Custom requirements

If you need more than three systems or a step outside the Scope Card, add a note at checkout. You get a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes and change hours for small changes such as a new column, an updated rule or a new source. The change hours scale with the build. It starts after the included support period and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does the AI Spreadsheet Automation price include?

One fixed price covers the full build on the Scope Card: connecting your systems, writing the update rules and the AI decision step, 20 test runs on your own data, and a recorded 45-minute handoff. There are no setup fees, and the price is shown before you order, not quoted after a discovery call.

What does it cost to run the spreadsheet automation each month?

Typically $20 to $100 a month, covering the automation platform and AI model usage, billed in your own accounts. A workbook updated a few times a day sits toward the low end. You keep ownership of every provider account, and nothing runs through us, so you can see exactly what each run costs.

How long until the spreadsheet starts updating itself?

The delivery time for each speed, standard, Express or Rush, is shown in the price panel before you order. The clock starts from a complete intake, so delivery depends on receiving your system access, sample inputs and update rules within 72 hours of ordering. Later information pushes the date back.

What access do you need to my spreadsheets and other systems?

Admin or API access to every system in the workflow, shared by adding our team as a user or creating a key you control, never by email. That typically means your spreadsheet platform plus whatever feeds it, such as your CRM, a form tool or a shared inbox. We only use the access to build and test the agreed workflow.

Can I change the update rules after the spreadsheet automation launches?

Yes. Two rounds of changes are included before launch, and small adjustments afterwards, such as a new column or a revised rule, fit inside the monthly change hours that come with maintenance. A new data source or an extra workflow is quoted separately as an add-on.

What happens if a spreadsheet update run fails?

The run stops before writing anything incomplete, and an alert goes to the person you named during intake, with enough detail to see what went wrong. Nothing is written to your spreadsheet half-finished. Every run, successful or not, is recorded in a log you can review at any time.

Can I cancel maintenance after AI Spreadsheet Automation launches?

Yes. Maintenance bills monthly and can be cancelled any month, with no long contract. The 30 days of support included with the build run first, whether or not you take maintenance, so you have time to see how the automation performs before you decide.

Stop updating the same spreadsheet by hand.

Order AI Spreadsheet Automation and your workbook starts keeping itself current from the systems you already use, built to the scope shown above and tested on your own data.
