Workflow Automation

AI Report Automation

Pulls data from your connected systems on a schedule and assembles one formatted report, delivered where your team already looks.

Someone on your team probably spends hours each week copying numbers from different tools into the same report. This workflow takes that job over. On the schedule you set, it pulls data from up to three connected systems, checks for gaps, assembles everything into one formatted report with a short written summary, and sends it to email, Slack or Microsoft Teams.

  • One formatted report assembled automatically from several sources
  • Delivered on your schedule to email, Slack or Teams
  • Source data read-only, with gaps flagged rather than hidden

What it is

AI Report Automation pulls data from up to three connected systems, such as Google Sheets, Airtable or your other tools, on the schedule you set, and assembles it into one formatted recurring report, sent to email, Slack or Microsoft Teams.

Why businesses buy it

Manual reports cost more than the time it takes to build them. They arrive late, vary in format and carry copy-paste mistakes that lead to poor decisions. When the person who builds them is away, they often do not arrive at all. This workflow produces the same report the same way every cycle, on time, from read-only connections to your tools. Your team reads it instead of building it. The written scope fixes the structure, sources, schedule and testing before you order.

Problems this solves

The weekly report means copying numbers from three different tools

The automation pulls data from up to three connected systems, such as Google Sheets or Airtable, on your schedule. It assembles one formatted recurring report without anyone copying figures.

Reports arrive late when the person who builds them is busy

The report is sent to email, Slack or Microsoft Teams on the schedule you set. It runs in the background whether or not anyone is free.

Hand-built reports pick up copy-and-paste mistakes along the way

The same steps run in the same order on every scheduled run, with no copying by hand. The workflow was tested across 20 runs on your sample data before launch.

A good fit if

Someone currently pulls numbers from several systems by hand and pastes them into one document before a recurring meeting or deadline.
The report follows the same structure every time, pulling from up to three systems such as Google Sheets, Airtable or your other tools.
You want it delivered automatically to email, Slack or Microsoft Teams on a schedule, instead of someone remembering to send it.
You're comfortable defining the report format once and having it rebuilt from fresh data each cycle, rather than editing it by hand every time.

Not the right fit if

You want individual action items turned into tracked tasks, not rolled into a scheduled report. See AI Inbox-to-Task Automation, which is built for that job.
You want messages sorted and routed as they arrive, not compiled into a recurring document. See AI Email Triage.
You want records moved and matched between two systems continuously, not summarized into a report. See AI Data Entry Automation.
You need more than 12 steps or more than three connected systems in the workflow. Add a note at checkout for a Change Quote, or start from our Custom AI inquiry form.
You already have the report and need the written commentary that explains the numbers. See AI Report Narratives.

How it works

  1. You define the report. Its structure, the metrics or sections it should cover, and the schedule it runs on, whether that's daily, weekly or monthly, are agreed at intake.
  2. Up to three systems are connected. Typically the tools the report pulls from, such as Google Sheets, Airtable or another connected system, linked read-only so nothing in the source data is changed.
  3. The workflow is built, up to 12 steps. Each cycle, data is pulled from every connected source, checked for gaps, and assembled into the report's fixed structure.
  4. The AI decision step handles the write-up. Where the report needs a short written summary alongside the numbers, that summary is drafted from the current cycle's data.
  5. 20 test runs check it against your own data. The report is generated repeatedly against real data so you can confirm every section pulls correctly before launch.
  6. You review it and we hand it off. Two rounds of changes tune the structure and schedule, then a recorded 45-minute session covers how to adjust it later.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The list of systems the report should pull from, such as Google Sheets, Airtable or another tool, with admin or API access to each.
  • A written description or a short screen recording of how the report gets built today.
  • Five to ten real sample report cycles or the current report template, to define the structure the workflow should follow.
  • The name of who should be alerted if a data source can't be reached or a report fails to generate.
  • The delivery schedule and destination, such as a weekly report to email or Slack.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the report structure and schedule before testing starts.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can give back the hours spent building reports
  • Helps reports arrive on time, every time
  • Reduces errors from manual copying
Hours spent preparing the report
Ask the person who built it to log time for a month before launch and a month after.
Reports delivered on schedule
Count on-time reports each month from the delivery channel.
Corrections after sending
Count reports that needed a fix or resend.

Before you start: Record how long the report takes to build today, how often it is late, and how often it needs correcting.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running the workflow costs roughly $20 to $100 a month, covering the automation platform plus AI model usage, billed directly in your own accounts. A daily report pulling from all three connected systems sits toward the top of that range.

AI usage during the build and testing is also billed to your accounts, so every provider relationship stays yours. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order keeps its delivery date either way. Larger or bespoke projects go through the Custom AI request form instead.

Questions about this product

What is included in the AI Report Automation build?

Up to three read-only connected systems, one workflow of up to twelve steps with an AI step for the written summary, 20 test runs generating the report from your own data, two rounds of changes and a recorded handoff session. The price is fixed and shown on this page before you order, once the report structure is agreed.

What does AI Report Automation cost to run each month?

Roughly $20 to $100, covering the automation platform plus AI model usage, paid directly in your own accounts rather than billed through us. A daily report pulling from all three connected systems tends to land nearer the top of that range than a lighter weekly version.

How fast can AI Report Automation start delivering reports?

On a fixed schedule shown before you buy, counted from a verified intake and including 20 test runs that generate the report from your own data. Express and rush delivery are both available for an added fee chosen at checkout, if you want the first automated report ready for a particular meeting or month end.

What access does AI Report Automation need?

Admin or API access to up to three of the systems the report pulls from, such as Google Sheets, Airtable or another connected tool, plus the delivery channel it should reach, such as email or Slack. Credentials are shared by adding our team as a user or creating a key you control, never by email.

Can we add a new section to the report later?

Yes, through monthly maintenance. Adding a report section, adjusting the delivery schedule, or changing the AI summary style all fit inside its monthly change hours. Connecting a fourth data source is scoped separately as a Change Quote before that extra connection is built in.

Is maintenance for AI Report Automation a fixed-term contract?

No. Plans bill monthly and can be cancelled in any given month, with no long-term commitment attached. The report keeps generating and sending on its existing schedule either way; a plan only pays for hours spent changing its structure afterward, and unused hours never roll into the next month.

What happens if one of the connected data sources is unavailable on report day?

The report is still assembled from the sources that respond, and whoever you named during intake is alerted that one source didn't load, rather than the report silently showing wrong or missing numbers. You can then re-run the cycle once the source is back, without waiting for the next scheduled one.

Which of the reporting products is right for my team?

Pick by who reads the report. AI Report Automation gathers figures from your systems into one formatted report. AI Report Narratives writes the commentary for a report you already produce. AI Weekly Business Review builds the weekly operating document with owners and open items. AI Financial Reporting produces the finance pack for leadership. The Executive Reporting Pack add-on adds a leadership summary to an existing Upmark Labs product.

Stop assembling the same report by hand every cycle.

Order AI Report Automation and a recurring report, pulled from your connected systems, starts arriving on schedule from a fixed delivery date.
