AI RFP and Security Questionnaire Agent

Every RFP and security questionnaire gets a cited first draft, with the hard questions sent to the right expert.

Every RFP and security questionnaire asks familiar questions in a slightly new way. Your best people end up copying old answers by hand. This agent drafts each answer from your approved library, shows the source and flags anything it is unsure about. Those questions go to the right expert, and a person approves the file before it goes back.

  • Every drafted answer cites the document it came from
  • Unsure answers routed to your named expert for that topic
  • Approved answers exported back into the original Excel or Word file

What it is

AI RFP and Security Questionnaire Agent drafts answers to RFPs and security questionnaires from your own approved answer library. Each answer cites its source and carries a confidence flag. Low-confidence questions go to a named expert by email or Slack. Approved answers are exported back into the original Excel or Word file.

Why businesses buy it

Questionnaires arrive with short deadlines, and they land on the same few people who also run demos and close deals. When answers are copied from old files, they drift and sometimes contradict each other. This agent gives every questionnaire a consistent, cited first draft from your own approved wording. Experts only see the questions that need them. The Scope Card sets the library size, file formats, CRM link and test plan in writing before you order.

Problems this solves

Sales engineers spend days copying old answers into new questionnaires

The answer library holds your past answers and security documents. The agent drafts each new answer from it, with a citation, so your team edits a draft instead of searching old files.

Answers drift and contradict each other across questionnaires

Every draft comes from the same approved library, and approved answers can be added back to it. That keeps wording about the same control consistent from one questionnaire to the next.

Hard questions sit unanswered until someone chases the right expert

Low-confidence answers are routed to the named expert for that topic by email or Slack. The approval step holds the export until those answers are confirmed.

A good fit if

You answer several RFPs or security questionnaires every quarter and the same questions keep coming back.
Sales engineers or founders lose days copying old answers from spreadsheets and shared drives.
Your answers have started to drift, so two questionnaires can say different things about the same control.
You already hold security documents, such as a SOC 2 report or ISO 27001 certificate, and past submitted answers.

Not the right fit if

You need proposals written from discovery notes, not answers to incoming questionnaires. See AI Proposal Generator.
You want proposals, statements of work and pricing drafted as one system. See AI Proposal System.
Your library is larger than the document limit on the Scope Card. Add Knowledge Base Expansion to the order.
You need new security policies written or a compliance status confirmed. That needs your security lead or auditor, not this agent.

How it works

  1. We build your answer library from past RFPs, submitted questionnaires, security documents and product docs, all within the Scope Card limits.
  2. A new questionnaire arrives as an Excel or Word file, or as questions copied from a procurement portal.
  3. The agent drafts each answer from the library, shows the source it used and marks how confident it is.
  4. Low-confidence questions go to the named expert for that topic, such as security, legal, product or finance, by email or Slack.
  5. A person approves the full set, and the agent exports it back into the original file format.
  6. The questionnaire is linked to the deal record in your CRM, and approved answers can be added back to the library.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Past RFPs and security questionnaires, together with the answers you actually submitted.
  • Your security documents, such as a SOC 2 report, ISO 27001 certificate and written policies.
  • A named expert for each topic, for example security, legal, product and finance.
  • CRM and Slack or email access, shared by inviting our team or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who approves the setup and the test results.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can shorten the time from questionnaire received to questionnaire returned
  • Helps keep answers about the same control consistent
  • Helps experts focus on the questions that actually need them
Days from questionnaire received to returned
Log received and returned dates for each questionnaire, then compare the quarter before launch with the quarter after.
Staff hours per questionnaire
Ask the people who answer questionnaires to log their hours on a few before launch and a few after.
Answers sent to experts
Count the low-confidence answers routed to experts per questionnaire after launch, and watch whether it falls as the library grows.

Before you start: Before work starts, record how many questionnaires you answered last quarter, how long each took and who worked on them.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running it means AI model usage and hosting billed to your own accounts. That cost rises with the number of questionnaires you answer. Your existing CRM plan stays as it is.

AI usage during the build and testing is billed the same way, so every provider account stays in your name.

Custom requirements

A larger library, a second language or a connection to a specific procurement portal is outside this build. Add a note at checkout and you get a written Change Quote. Larger or bespoke projects go through the Custom AI enquiry form.

Keep it running

After the 30 days of post-launch support, optional Upmark maintenance covers monitoring, fixes, model updates and a monthly health report. Its monthly change hours suit library refreshes, such as a new SOC 2 report or updated policies. Cancel any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can the RFP agent fill in questionnaires inside procurement portals?

Partly. You copy the questions out of the portal, the agent drafts the answers, and you paste the approved answers back. It does not log into portals or automate ones that block bots. A connection to one specific portal can be quoted through a Change Quote if that portal allows it.

How does the agent decide which answers need an expert?

Every drafted answer gets a confidence flag based on how closely your library supports it. Low-confidence answers go to the named expert for that topic by email or Slack. The expert edits or confirms the answer, and nothing is exported until a person approves the full questionnaire.

Will it make up answers about our security controls?

It is set up not to. Each answer must cite a source from your library. Answers without good support are flagged for an expert rather than filled in. You still review everything before export. The agent does not confirm your compliance status, and it does not write new policies.

What file formats can a finished questionnaire come back in?

The same format it arrived in. Excel and Word questionnaires are exported back into the original file, with your approved answers in place. Questions copied from a procurement portal come back as a clean list you can paste in. Other formats, such as PDF forms, need a Change Quote.

What does it cost to keep the questionnaire agent running?

AI model usage and hosting are billed to your own accounts, and the cost rises with the number of questionnaires you answer. There is no fee from us per questionnaire or per answer. Optional monthly maintenance is available after the support period, covering monitoring, fixes and library refreshes.

How do new approved answers get back into the library?

Approved answers can be added back to the library after each questionnaire, so the next draft starts from your latest wording. Your admin decides what goes in. The admin guide and recorded handoff session show how to add, replace or retire an answer when a policy changes.

How long until the RFP agent is answering live questionnaires?

The delivery time is fixed before you buy and shown in the delivery panel on this page, with faster options. The clock starts once intake is complete. Send your past questionnaires, security documents and expert list within 72 hours of ordering. Each day of delay moves delivery by 3 working days.

Stop rewriting the same security answers every quarter.

Order the AI RFP and Security Questionnaire Agent and each new questionnaire starts as a cited draft. Your experts check it before it goes back.
