Pipeline & Deals

AI Pipeline Intelligence for HubSpot

Stalled and slipping HubSpot deals flagged on the deal record and in a weekly report, using your own pipeline's history.

Forecast calls keep uncovering HubSpot deals that went quiet weeks ago. This build checks every open deal against how your own deals have moved through each stage, then flags the ones that are stalling, at risk or slipping. The flag is written to a deal property you choose, so reps and managers can filter views by it, and a weekly summary shows each owner where to act.

  • Risk flags written to a HubSpot deal property you can filter
  • Each open deal measured against your own stage history
  • A weekly summary of flagged deals grouped by owner

What it is

AI Pipeline Intelligence for HubSpot reads deals, deal stages, activities and notes in HubSpot and flags deals that are stalling, at risk or slipping against your own history. Flags are written to a deal property you choose and summarized in a report by email, Slack or a dashboard. Thresholds are set from your own pipeline.

Why businesses buy it

HubSpot shows you what is in the pipeline, but not which deals are quietly dying. Managers end up exporting deals into spreadsheets to find the stuck ones, and by then the quarter is half gone. This build makes risk visible inside HubSpot itself, on the deal record and in your views, using the activity your reps already log. Problems surface while there is still time to fix them. The mapping, thresholds and report format are agreed in writing before you order, so your admin knows exactly what it reads and writes.

Problems this solves

HubSpot deal stages look healthy while deals have quietly stalled

The tool reads deals, stages, activities and notes in HubSpot and flags deals that are stalling, at risk or slipping. Comparisons are made against your own pipeline history.

Risk flags live in spreadsheets, not on the deal itself

Flags are written to a deal property you choose. Reps and managers see the warning in HubSpot, and can use it in views, lists and reports.

Template thresholds do not match how your team sells

Thresholds are set from your own pipeline and checked against three months of your historical data. A summary report arrives by email, Slack or a dashboard.

A good fit if

Your pipeline lives in HubSpot deals, and forecast calls keep uncovering deals that went quiet weeks ago.
You want a risk flag visible on the HubSpot deal itself, so reps and managers can filter views by it.
Your reps log calls, emails and meetings as HubSpot activities, giving a real signal of when a deal last moved.
A HubSpot admin can create a private app token or approve OAuth with CRM scopes and join a 30-minute call.

Not the right fit if

Your CRM is Salesforce. See AI Pipeline Intelligence for Salesforce.
Your CRM is Pipedrive. See AI Pipeline Intelligence for Pipedrive.
Your HubSpot deals lack notes and activities to analyze in the first place. See AI CRM Assistant for HubSpot to fix the input first.
You need a quarterly revenue number rather than deal-level risk flags. See AI Sales Forecasting.

How it works

  1. HubSpot connects with a private app token or OAuth with CRM scopes, and a 30-minute call with your admin maps pipelines, deal stages, owners and the property that will hold the risk flag.
  2. Using at least three months of HubSpot history, we measure how long deals that eventually closed spent in each stage, and how often they had activity.
  3. Those patterns become your definitions of stalled, at risk and slipping, such as a deal sitting in one stage twice as long as your won deals did.
  4. On your schedule, every open deal is checked; the result goes into the chosen HubSpot deal property, with the reason saved as a note.
  5. A recurring report groups flagged deals by owner and pipeline, and up to five alerts fire for cases such as a large deal slipping its close date.
  6. Before launch, flags are compared with what actually happened to deals in your history, and thresholds are tuned over two rounds of changes.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A HubSpot private app token or OAuth with CRM scopes, shared securely in the way agreed, never by email.
  • Your HubSpot admin for 30 minutes on pipelines, stages and the deal property for flags.
  • Your ideal customer profile and how you judge a deal healthy or at risk today.
  • Your sales playbook or stage definitions, if written down.
  • At least three months of HubSpot deal history, plus access to one other source if needed.
  • Report recipients, the delivery channel and one decision-maker.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Pipeline Intelligence configured with HubSpot, plus up to one more system
  • A documented field mapping, including the deal property used for flags
  • One recurring report or dashboard plus up to five alerts, by email, Slack or web dashboard
  • Access through user invites or keys you control, and a test report on your historical data
  • Admin guide, recorded handoff session and 30 days of support

Expected benefits and how to measure them

  • Can surface stalling HubSpot deals while there is still time to act.
  • Makes risk visible on the deal record where reps already work.
Deals flagged then recovered
Filter HubSpot on the flag property and count flagged deals that later progressed, over the quarter after launch.
Close-date slippage
Use HubSpot deal history to compare how often close dates moved, for the quarter before and after.
Forecast against actual
Compare HubSpot forecast with closed-won revenue for matching quarters.

Before you start: Note last quarter's forecast against actual, and how many HubSpot deals had their close date pushed back.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running it costs roughly $20 to $150 a month for AI model usage and hosting or scheduling, billed to your own accounts. Your HubSpot subscription is unchanged.

Usage during the historical checks is billed to you too, so the private app and every provider account remain yours.

Custom requirements

Analyzing custom HubSpot objects, more than the agreed pipelines or a third data source needs a written Change Quote. Add a note at checkout and we send it to you.

Keep it running

After launch, monthly maintenance keeps the analysis current as your HubSpot pipeline changes. It covers monitoring, fixes, model and platform updates, a monthly health report and enough monthly change hours for a new pipeline or adjusted stage thresholds. It starts after the 30 days of support and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does pipeline intelligence write flags back to HubSpot deals?

Yes, to the deal property you choose in the mapping, with the reason saved as a note. That lets reps and managers filter HubSpot views and build their own reports on the flag. It does not change stages, amounts, close dates or owners; those stay with your team.

How are stalled deals defined for our HubSpot pipeline?

From your own history. We measure how long won deals spent in each HubSpot stage and how often they had logged activity, then set thresholds from that. A deal well beyond those patterns is flagged. The definitions are reviewed with you and tuned during two rounds of changes.

Can it handle more than one HubSpot deal pipeline?

Yes, for the pipelines agreed in the mapping. Each pipeline gets its own stage timings, since a renewal pipeline and a new-business pipeline rarely move at the same pace. Adding pipelines beyond the agreed set after launch is handled under monthly maintenance or a Change Quote.

Which HubSpot scopes does the pipeline build require?

A private app token or OAuth with CRM scopes covering contacts, companies, deals, activities and notes, set up by your HubSpot admin. Access is shared securely in the way agreed at intake, never by email, and writes are limited to the flag property and notes in the mapping.

Can the HubSpot pipeline edition be delivered faster?

Yes. Express and rush delivery are both available, and the date and price for each are shown on this page before you buy. Each option includes the HubSpot mapping, checks against three months of your deal history, two rounds of changes and a recorded 60-minute handoff. A faster schedule never reduces the scope.

Do HubSpot activities logged by reps affect the risk flag?

Yes. Calls, emails, meetings and notes logged in HubSpot show when a deal last moved, so a deal with steady activity is treated differently from one that has gone silent. That is why consistent activity logging makes the flags more accurate.
