AI Project Status Agent for Asana

Client updates drafted from your Asana projects: what was delivered, what is due next, and what is waiting on the client.

Your Asana projects already show what was delivered and what is due, but clients need it in plain words. This edition reads each client's tasks and comments, drafts an update covering what was done, what comes next and what is waiting on the client, and passes it to the account lead to approve. Each sent update is recorded as an Asana comment.

  • Delivered, upcoming and overdue work summarized from each client's Asana project
  • Items waiting on the client listed separately every time
  • Account lead approves every update before it is sent

What it is

AI Project Status Agent for Asana turns the tasks in a client's Asana project into an accurate status update. It reads completed, upcoming and overdue tasks and their comments, drafts the update in one AI step, and passes it to the account lead to approve. A comment in Asana records each update sent.

Why businesses buy it

Client work stalls most often while waiting on the client: feedback, approvals, missing files. When status updates are irregular, those waits stay invisible and deadlines slip with nobody clearly responsible. This edition turns your Asana projects into a consistent update that shows progress and names what the client owes, so conversations stay factual and friendly. Your account lead still approves every message. The Scope Card fixes the Asana mapping, the extra connection and the workflow steps before you order, so the scope is clear from the start.

Problems this solves

Account leads scroll through Asana tasks to write each client update

The agent reads completed, upcoming and overdue tasks and their comments in the client's Asana project. It drafts the update in one AI step, ready for the account lead to approve.

Overdue Asana tasks are left out of updates to avoid awkward news

Overdue tasks are part of what the agent reads, so they appear in the draft. The account lead still decides on wording before the update is sent.

There is no record in Asana of what the client heard

A comment in Asana records each update sent, through the two-way connection. The team can check the project and see what the client was told.

Custom fields in Asana are read differently by each team member

The documented field mapping fixes which Asana fields feed the update. Everyone gets the same reading of status, set during setup and tested on sandbox records.

A good fit if

Your agency or consultancy runs each client as an Asana project, with deliverables as tasks and due dates already set.
Clients often hold things up with feedback or approvals, and you want those waiting items stated plainly in every update.
Account leads copy task names from Asana into emails by hand, and the result reads differently from one lead to the next.
You can supply an Asana personal access token or OAuth access, plus 30 minutes with your Asana admin.

Not the right fit if

You want your internal team nudged about deadlines and blockers rather than clients updated. See AI Project Manager Agent for Asana.
Clients need a metrics report or dashboard each month. See AI Client Reporting.
New client details should be captured before an Asana project even exists. See AI Client Intake.
Your projects are tracked on Monday.com boards. See AI Project Status Agent for Monday.com.

How it works

  1. Your Asana admin spends 30 minutes with us agreeing which projects map to which clients and how waiting-on-client tasks are marked, for example in a dedicated section.
  2. At each scheduled run, the workflow reads the client project's tasks: completed since the last update, due in the coming period, overdue, and waiting on the client.
  3. The AI drafting step writes the update from those tasks and their comments, in the tone of the five to ten samples you provided.
  4. Your account lead receives the draft for approval. Once approved, it goes to the client through the one extra connection, such as your mailbox.
  5. A comment on a chosen task in the client's Asana project records the date and content of the update, keeping the history next to the work.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • An Asana personal access token or OAuth access covering your client projects.
  • Thirty minutes with your Asana admin.
  • A description or screen recording of how account leads write updates now.
  • Five to ten real client updates, paired with their Asana projects.
  • Your service descriptions and client-facing policies.
  • Who approves updates for each client, and who receives error alerts.
  • Sending access for the mailbox that approved updates should come from.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Time to produce a client update
Log writing time per update for a month before launch. Compare with approval time per draft after.
Update comments per project
Count update comments in each Asana project to check updates go out at the agreed rhythm.
Overdue tasks raised by clients first
Note client messages about overdue work you had not mentioned, before and after launch.

Before you start: Record the time each client update takes today and note any recent cases where a client raised overdue work first.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Ongoing costs are roughly $20 to $100 a month for the automation platform and AI model usage, billed in your accounts, scaling with how many client projects you cover and how often they update. Asana licenses and plan upgrades are excluded.

Any AI usage during the build and testing is charged to your accounts as well.

Questions about this product

Which Asana records does the status agent read and write?

Tasks, projects and comments. It reads the tasks in each client's project, including due dates, completion and their comments, and writes one comment back recording the update that went out. Which projects and fields are covered is fixed in the mapping your Asana admin approves. Custom Asana objects are excluded.

Can the Asana status update show what the client still owes us?

Yes. Tasks you mark as waiting on the client, for example by keeping them in a dedicated section, are listed separately in each update. That keeps outstanding feedback or approvals visible to the client every time, rather than buried in a long task list.

Does the Asana status agent email clients without a person checking?

No. Every draft goes to the account lead named for that client, who approves, edits or holds it. Only approved updates are sent, through the one extra connection such as your mailbox. The workflow has no customer-facing channel of its own and never replies to clients.

What does AI Project Status Agent for Asana cost, including faster delivery?

You will find both in the price and delivery panel on this page, which shows the one-time price beside each delivery speed, faster options included. All of them cover the same Scope Card. The clock starts once your Asana access, sample updates and process description are confirmed, which is due within 72 hours of ordering.

How many client projects can the Asana workflow cover?

The Scope Card sets one workflow of up to 12 steps, which runs for each client project in the mapping agreed at intake. More projects mean more runs, so running costs move toward the top of the roughly $20 to $100 monthly range. Adding a client later fits inside maintenance hours.

What happens after the 30 days of support on the Asana edition?

You can choose monthly maintenance. It covers monitoring, fixes, updates, a monthly health report and a monthly allowance of change hours, and you can cancel any month. Without it, the workflow keeps running in your accounts as built. The Asana sync, agreed field mapping and drafting step all stay as tested at handoff.
