AI Appointment Setter for Calendly

Leads are qualified before they ever see your Calendly event types, then booked into the one that fits.

A Calendly link sent to every lead fills calendars with meetings that should never happen. This edition qualifies each lead over chat or email first, then books those who pass into the Calendly event type that fits, through a native two-way connection. Availability and bookings stay in sync, outcomes are logged in your CRM, and reps only meet people worth meeting.

  • Only qualified leads reach your Calendly event types
  • Each lead booked into the event type that fits
  • Bookings and outcomes kept in sync with your CRM

What it is

AI Appointment Setter for Calendly engages leads over chat or email, qualifies them against your criteria, and books qualified leads into the right Calendly event type, through a native two-way connection that reads and updates event types, availability and bookings. Outcomes are logged in your CRM. Reschedules stay in sync.

Why businesses buy it

Open booking links are convenient, but they let anyone take a rep's time, and unqualified meetings crowd out the buyers who matter. Qualifying everyone by hand defeats the purpose of a scheduling tool. This edition puts a short, consistent qualifying conversation in front of your Calendly booking, then books the right event type automatically. The written scope covers the Calendly connection and field mapping, one more system such as your CRM, and the workflows before you order, so you know exactly what is delivered.

Problems this solves

Every lead gets the same Calendly link, qualified or not

The setter asks your qualifying questions first and books only the leads who pass. Each one goes into the Calendly event type that fits, through a two-way connection.

Calendly reschedules leave the CRM showing the wrong date

When a lead reschedules in Calendly, the setter picks up the change and keeps the booking in sync. The outcome is logged in your CRM so records stay accurate.

Reps sort through bookings to work out who is worth their time

Qualifying answers are gathered on chat or email before the booking. Reps can see why each lead was booked before the call, without a separate triage step.

A good fit if

You already run Calendly with event types for different meetings, such as a discovery call and a demo, but anyone with the link can book.
Reps lose time on meetings with leads who would have failed a few qualifying questions.
You want each lead booked into the event type that matches their answers, without them choosing from a list.
A Calendly admin can create a personal access token and join a 30-minute setup call.

Not the right fit if

You schedule with Cal.com rather than Calendly. See AI Appointment Setter for Cal.com.
You use no scheduling tool and book straight into Google Calendar. See AI Appointment Setter for Google Calendar.
You want leads qualified and scored, with booking left to reps. See AI Lead Qualification Agent.
Your leads are qualified already and only need moving from a reply to a meeting. See AI Meeting Booking Agent.

How it works

  1. A Calendly admin creates a personal access token, and on a 30-minute setup call we map which event types serve which kind of lead.
  2. The field mapping records the event types, availability and bookings the setter reads, what it may update, and how bookings link to the CRM.
  3. A lead writes in on the one channel in scope, chat or email; the setter reads their CRM history and asks your qualifying questions.
  4. Qualified leads are matched to an event type by their answers, for example a short call for small accounts and a longer demo for larger ones, then offered times from that event type.
  5. Because bookings sync both ways, a lead who already booked through your Calendly link is recognized and not offered a second meeting.
  6. Testing runs on live sandbox or test records across 50 documented scenarios, including mismatched event types and existing bookings, before launch.

Expected benefits and how to measure them

  • Can keep Calendly slots for leads who meet your criteria.
  • Helps the CRM reflect reschedules without manual edits.
Calendly bookings that meet your criteria
Ask reps to tag each meeting as a fit or not in the CRM, comparing a month before and after launch.
Reschedules reflected in the CRM
Compare rescheduled Calendly events with CRM records showing the new date, for the same month.
No-shows
Use Calendly or CRM meeting outcomes to compare no-shows for matching periods before and after.

Before you start: Note how many Calendly meetings last month were poor fits, rescheduled or missed. Check how many reschedules reached the CRM.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

One payment covers the build. Running costs of roughly $50 to $250 a month for AI model usage and hosting go to your own accounts, alongside your CRM plan. Your Calendly subscription is separate; licenses and plan upgrades are not included.

AI usage during build and testing is billed to your accounts as well.

Custom requirements

Custom Calendly objects beyond the agreed mapping, a third system or more than six workflows are quoted separately: add a note at checkout and receive a written Change Quote. That work starts once you accept it. Larger or bespoke projects go through the Custom AI request form.

Keep it running

We recommend monthly maintenance: monitoring, fixes and a monthly allowance of change hours, for things such as mapping a new Calendly event type or tightening qualifying questions. It starts after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does the setter read and update in Calendly?

Event types, availability and bookings, through a personal access token and within the agreed field mapping. It reads which event types exist and when they are free, creates bookings for qualified leads, and sees bookings made through your own links. Custom Calendly objects beyond the mapping are excluded.

How does the setter choose which Calendly event type to book?

From the rules you set at intake, tied to the lead's answers. A small account might go to a short discovery call and a larger one to a full demo, for example. If the answers do not clearly fit any event type, the lead is held for a person instead of guessed.

Do we keep using our existing Calendly links?

Yes. Your links keep working as they do today. Because bookings sync both ways, the setter can see when a lead has already booked through a link and avoids offering a second meeting. Leads who arrive by chat or email are qualified before any booking is made.

Which CRM can the Calendly setter log bookings to?

The one additional system on the Scope Card, usually a CRM such as HubSpot, Salesforce, Zoho CRM or Pipedrive. Each qualification outcome and Calendly booking is written to the lead's record, and the setter reads stage, owner and history there before it replies.

How long does the Calendly edition take to deliver?

Delivery takes a fixed time, shown next to this page, with express and rush options available. The clock starts once the token, the setup call and your qualification criteria are complete, all due within 72 hours of ordering. A faster option shortens the timeline but never trims the scope.

What does the Calendly setter cost to run each month?

Roughly $50 to $250 a month in your own accounts for AI model usage and hosting, plus your CRM plan. Calendly stays on your current subscription. Monthly maintenance is optional if you want changes made for you. It covers monitoring, fixes and change hours for things like mapping a new Calendly event type or tightening qualifying questions.
