Workflow Automation

AI Report Automation for Manufacturing

Open orders, supplier confirmations and spec changes come together in one scheduled report, posted where your plant team already reads.

Before every production meeting, someone pulls open orders from the ERP, digs through supplier emails and checks which specs changed. This workflow does it for them. On schedule, it reads your ERP export, turns supplier confirmations and revised dates into lines tied to orders, lists new or changed spec and SOP files, and posts one report to Microsoft Teams or email.

  • Open orders and supplier confirmations compiled before every meeting
  • New or changed spec and SOP files listed by name
  • Posted to Microsoft Teams or email on your schedule

What it is

AI Report Automation for Manufacturing assembles a recurring report from your ERP export or API, supplier emails and the folders holding specs and SOPs. It uses the Manufacturing template for order enquiries, spec lookup, SOP guidance and supplier coordination, then posts the result to Microsoft Teams or email. Failed exports trigger an alert.

Why businesses buy it

Production meetings run on information, and when it is gathered by hand it is often incomplete or late. A missed supplier delay or an unnoticed spec change can stop a line or ship the wrong part. This edition assembles the facts from your ERP, supplier inbox and document folders every cycle, so planners and managers arrive with the same up-to-date picture. Source systems stay read-only. The Scope Card sets the sources, sections, recipients and testing in writing before you order.

Problems this solves

Plant managers chase ERP exports and supplier emails to build reports

The automation assembles a recurring report from your ERP export or API, supplier emails and the folders holding specs and SOPs. It posts the result to Microsoft Teams or email.

Supplier delays sit in individual inboxes where nobody else sees them

Supplier coordination is built into the manufacturing template. Updates from supplier emails are pulled into the shared report, so planners and managers can see them too.

A failed ERP export leaves everyone working from old figures

Failed exports trigger an alert straight away, before anyone acts on old numbers. Manufacturing KPI definitions keep each report consistent, so figures can be compared run to run.

A good fit if

A planner pulls open orders out of the ERP every Monday, cross-checks supplier emails and types up a status note for the production meeting.
Supplier confirmations, revised ship dates and shortages arrive as free-text emails that never make it into a structured list.
Specs and SOPs live in shared folders, and nobody can say which documents changed this week without opening each one.
Your team works in Microsoft Teams or email, and the ERP can produce an export or offers an API the report can read.

Not the right fit if

Staff need to look up a spec or SOP on demand rather than read a weekly digest. See AI Company Knowledge Hub for Manufacturing, a cited Q&A assistant over your documents.
Leadership wants a short briefing on business, market and team signals, not an operational report. See AI Executive Briefing for Manufacturing.
You want to ask production or order data new questions on demand. See AI Data Analyst Agent for Manufacturing.
Your aim is keying data from purchase orders or delivery notes into the ERP. See AI Document Extraction for Manufacturing.

How it works

  1. You agree the report with whoever chairs the production or operations meeting: which order statuses, supplier items and document changes it lists, who reads it and when it runs.
  2. Order data comes from your ERP, read-only, through the API or the scheduled export your team already produces.
  3. Supplier emails are scanned for confirmations, revised dates and shortages. The extraction step turns each one into a line tied to the right order or part where a reference allows.
  4. Spec and SOP folders in document storage are checked for files added or changed since the last cycle, listed by name and folder.
  5. One AI drafting step writes a brief summary for the meeting, such as which suppliers have late confirmations. The report then goes by email, or to a Microsoft Teams channel if Teams is one of your three connections.
  6. A failed export or unreachable folder triggers a retry and then an alert, so the planner knows before the meeting, not during it.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to your ERP's API or its scheduled export, plus the supplier inbox and the spec and SOP folders.
  • A short screen recording or written walk-through of how the current production report is assembled.
  • Five to ten real inputs: a recent order export, a few supplier emails and a past version of the report.
  • How you identify orders and parts, so supplier emails can be matched to the right line.
  • The Teams channel or email list for the report, and the person who hears about failures.
  • Credentials for each connected system, shared securely rather than by email.
  • One decision-maker who approves the report structure.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can take report building off plant and operations managers
  • Helps supplier issues reach the people who need to act
  • Keeps production figures defined the same way every time
Hours spent compiling production reports
Ask managers to log weekly time for a month before launch and a month after.
Supplier issues raised in the report
Count them each week and note how many were resolved by the next report.
Report delivered on schedule
Track on-time delivery from the Teams or email channel monthly.

Before you start: Record weekly hours spent on production reporting and how often reports are late or rebuilt.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. After launch, the automation platform and AI model usage run to roughly $20 to $100 a month, billed directly to your accounts. Large supplier inboxes and daily runs sit toward the upper end.

Your ERP license and Microsoft Teams subscription are unaffected, and test-run usage during the build is billed the same way.

Questions about this product

Does the manufacturing report need a live ERP API?

No. A scheduled export works too, as long as it lands somewhere the workflow can read, such as document storage or an email inbox. An API gives fresher data, but many plants already produce a nightly or weekly export. Either way the connection is read-only, so nothing in the ERP is changed.

Can AI Report Automation for Manufacturing post into a Microsoft Teams channel?

Yes. Microsoft Teams is one of the typical destinations for this edition, alongside email. The report posts to the channel you choose on the agreed schedule. Posting to Teams counts as one of the three connected systems, so plan the ERP, inbox and storage connections around that limit.

How does the report match a supplier email to an order?

By the references your team already uses, such as a purchase order number or part code, agreed at intake. When an email carries a recognizable reference, the extracted date or shortage is attached to that line. Emails without one are listed in an unmatched section for a planner to review.

Will the report explain what changed inside a spec or SOP?

No. It lists which spec and SOP files were added or changed since the last cycle, with their names and folders, so the right people know to open them. Explaining or answering questions about document content is what AI Company Knowledge Hub for Manufacturing is built for, and the two can run side by side.

What is included in each delivery option for the manufacturing report?

Standard, express and rush delivery all include the Manufacturing template, read-only ERP and folder connections, supplier email extraction, twenty test runs on your own order and supplier samples, two rounds of changes and a recorded 45-minute handoff session. Only the speed differs, and the fixed price for each option is shown on this page before you buy.

Can distributors or customers receive the manufacturing report?

Yes, if they are on the recipient list agreed at intake, although most setups keep it internal. A version filtered for one distributor or customer is a separate report with its own layout, which needs the Additional Workflow add-on, or a Change Quote if the data comes from another system.

Walk into the production meeting with the report already written.
