AI Website Chatbot for Hotels & Hospitality

Guests planning a stay get instant answers about rooms, policies and the area, and special requests reach the front desk.

Guests planning a stay want answers about rooms, parking, pets, check-in and the local area, often late at night. If they cannot find them, they book through a travel site instead. This chatbot answers from your own pages and policies, points guests to your booking engine, and passes special requests to the front desk by email. It never promises availability it cannot see.

  • Guests get instant answers about rooms, policies and the area
  • Guests are sent to your own booking engine to book direct
  • Special requests reach the front desk with the conversation

What it is

AI Website Chatbot for Hotels & Hospitality answers guests on your website about rooms, amenities, check-in, parking, pets, cancellation terms and the local area, from your pages and policies. It points guests to your booking engine and passes special requests to the front desk by email. It includes the Hotels & Hospitality workflow template.

Why businesses buy it

Every guest who books through a travel site instead of your own website costs you commission. Many switch simply because a question went unanswered. A lean front desk cannot reply to every website message while checking guests in. This chatbot answers immediately and keeps guests on your site, heading to your booking engine. The written scope sets the content, guest questions, handoffs and testing before you order, so you know exactly what goes live.

Problems this solves

Front desk staff spend shifts answering parking, pet and check-in questions

The chatbot answers questions on rooms, amenities, check-in, parking, pets and the local area from your pages and policies. Front-desk staff can give more time to the guests standing in front of them.

Guests book through travel sites after failing to find answers

Once a guest's questions on rooms or cancellation terms are answered, the chatbot points them to your own booking engine. Undecided guests have a clear path to book direct.

Special requests get lost between email and the front desk

Special requests are passed to the front desk by email through the Hotels & Hospitality workflow template. Staff receive each request in writing, ready to note on the reservation.

A good fit if

A lean front desk fields the same emails and calls about check-in times, parking, pets and breakfast.
Guests browsing your site would book direct if their questions were answered on the spot rather than the next morning.
Your rooms, amenities, policies and area guide are already written on your website or in a guest information pack.
Pre-arrival requests such as early check-in or a cot should reach the front desk in writing, not be lost in a chat window.

Not the right fit if

You want direct booking enquiries handled through to a reservation. See AI Hotel Booking Agent.
You need pre-arrival and in-stay guest messages handled across several channels. See AI Hotel Guest Support Agent.
Selling room upgrades and early check-in before arrival is the goal. See AI Hotel Upsell Agent.
Replying to online reviews is the bottleneck. See AI Hotel Review Agent.

How it works

  1. It learns your property. Room descriptions, amenities, dining and spa pages, house policies, guest information pack and area guide, up to 100 documents or 200 pages.
  2. Five guest intents are configured. Commonly rooms and amenities, policies and check-in, booking help, pre-arrival requests, and local area and getting here.
  3. It sends guests to book direct. Booking questions are answered from your published terms and the guest is pointed to your own booking engine page.
  4. Special requests reach the front desk. Early check-in, a cot or an anniversary note is emailed to reception with the guest's details and the conversation.
  5. It does not promise what it cannot see. Without access to live availability or rates, it never confirms a room or a price and says so plainly.
  6. It is tested on 40 guest questions. Drawn from real emails your reception receives, each marked pass or fail before launch.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Room, amenity, dining and policy pages, plus your guest information pack and area guide.
  • The top 20 guest questions your reception answers, with approved replies.
  • Your booking engine link and the terms guests should see before booking.
  • The reception inbox or helpdesk access for special requests.
  • Website admin access or your web developer, plus repository or hosting access and a technical contact.
  • Logo, colors and the tone your hotel uses with guests, and admin access and API keys for connected systems, never by email.
  • One decision-maker, usually the general manager, to approve answers.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can steer more guests towards booking direct
  • Helps a lean front desk handle fewer routine pre-arrival calls
  • Makes special requests easier to track
Direct bookings
Compare direct and channel bookings in your PMS or channel manager reports, for the same season before and after launch.
Pre-arrival calls and emails
Ask reception to tally routine pre-arrival questions for two weeks before launch and two weeks after.
Special requests captured in writing
Count special-request emails reaching the front desk each month from the chatbot.

Before you start: Record your direct versus channel booking mix for the last few months. Tally routine guest questions at reception for two weeks.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running costs of roughly $30 to $150 a month for AI model usage and hosting are billed in your own accounts, and follow your website traffic through the seasons.

Build and test usage is billed to you directly as well, so every account stays with the hotel.

Custom requirements

Reading live availability and rates from your PMS or booking engine, or answering for several properties from one widget, is outside this Scope Card. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

We recommend monthly maintenance for this build. It covers monitoring, fixes and monthly hours for seasonal menus, new packages, updated policies or local area changes. Bigger changes, such as a large new offer, go through a Change Quote. Maintenance starts after the included support period and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can AI Website Chatbot for Hotels & Hospitality check room availability?

No, not in the standard scope. It has no connection to your PMS or booking engine, so it never confirms a room or a rate. It answers questions about rooms and terms, then points the guest to your booking engine page where live availability is shown.

Can it answer guests in other languages?

The standard build covers one language. The Additional Language Pack adds a second language from the same content, which suits hotels with many international guests. The Localization QA Pass can check translated answers before launch. Both are added to the same order.

How are special requests like early check-in handled?

They are collected in the chat and emailed to your reception inbox or helpdesk with the guest's name, dates and the request, plus the conversation. The chatbot tells the guest the request has been passed on and does not promise it will be granted.

Can guests message it on WhatsApp?

The base build covers one channel, normally your website widget. The WhatsApp Channel Add-on adds WhatsApp using the same answers. You hold the WhatsApp Business account and pay its messaging fees directly in your own name. Conversations follow the same handoff rules as the website.

Can the hotel chatbot be ready before the busy season?

Usually, yes. The standard, Express and Rush delivery times are shown in the price panel before you order, and every speed covers the same scope and testing. Send your room pages, policies and top guest questions within 72 hours of ordering so the clock starts promptly and the season does not catch you out.

We run a small group of hotels. Does one build cover them?

One build covers one property's content and handoff. For several hotels answered from one setup with separate details and reception inboxes, add Multi-Location Setup. If each hotel needs its own widget on its own website, describe it at checkout for a Change Quote.
