AI Churn Prevention for Membership & Communities

Members who are going quiet are noticed before their renewal date, and your team gets the right nudge to send.

Members drift away quietly: they stop coming to events, skip the newsletter and leave the community feed unread. This edition spots that drift early by combining community activity, event attendance, payment events and renewal dates. Your team is alerted with the play from your playbook, such as a welcome call or a personal invitation, while the member is still listening.

  • Members likely to lapse flagged well before renewal
  • Community, event and payment signals combined per member
  • Each alert comes with a play your team trusts

What it is

AI Churn Prevention for Membership & Communities predicts which members are unlikely to renew by combining community activity, event attendance, renewal dates and payment events, and alerts your team with the play from your playbook, such as a welcome call or a personal event invitation. It reads up to three sources read-only. Your team runs every play personally.

Why businesses buy it

Every lapsed member weakens the community as well as the budget, and new members cost far more to find than existing ones cost to keep. Membership teams usually see the problem only when the renewal fails. This edition gives you an early list of members to reach, with a suggested next step for each one. The written scope sets out the three read-only sources, the signals and the plays before you order, so nothing is left vague.

Problems this solves

Members lapse at renewal with no warning beforehand

The product combines community activity, event attendance, renewal dates and payment events to predict who is unlikely to renew. Your team is alerted ahead of the renewal date.

Staff are unsure how to reach a member who has drifted

Each alert carries the matching play from your Membership & Communities playbook, such as a welcome call or a personal event invitation. Your team runs every play personally.

Failed payments quietly turn into lost members

Payment events are one of the signals read, alongside activity and attendance. A failed card on a quiet member is flagged as higher risk than either sign alone.

A good fit if

Renewals slip quietly: members stop posting, skip events, and you only notice when the card fails or the renewal lapses.
Member data is split across a membership platform, a community platform and Stripe, and nobody looks at all three together.
New members who never get involved in their first weeks are the ones most likely to leave, and you want them flagged early.
Your team has retention plays, like personal invitations or peer introductions, but no reliable way to know who needs one.

Not the right fit if

You want one health score per member for reporting rather than renewal alerts. See AI Customer Health Score for Membership & Communities.
Moderating discussions and answering members' questions in the community is the bigger need. See AI Community Manager for Membership & Communities.
You want new members guided through joining steps automatically. See AI Customer Onboarding Agent for Membership & Communities.
You want community, onboarding, retention and a newsletter set up together. See AI Membership Growth Stack.

How it works

  1. Member sources are connected read-only. Typically your membership platform for tiers and renewal dates, your community platform for activity, and Stripe for payments.
  2. Engagement metrics are agreed. Up to 25, such as last community visit, posts and replies, event attendance, onboarding steps completed and failed renewals.
  3. Members are placed in states. The Membership & Communities template separates new members, engaged members, quiet members, renewal due and grace period.
  4. Predictions are checked on your history. Three months of past data show which lapsed members the model would have flagged, and how early.
  5. Your team is alerted with a suggested play. Up to five alerts, for example a new member still inactive after their first fortnight, go to email, Slack or a dashboard.
  6. People send the message. Plays come from your playbook, and a staff member reviews any outreach before a member receives it.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Read-only access to your membership platform, community platform and Stripe, or the three sources you choose.
  • Your member list with tier, join date and renewal date.
  • Definitions of engagement, such as what counts as an active member in your community.
  • At least three months of history, including members who lapsed.
  • Your retention and onboarding playbooks, including who on the team handles each play.
  • Alert recipients and the delivery channel, and admin access and API keys for each source, never sent by email.
  • One decision-maker, usually the membership or community lead.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • Membership churn risk signals and retention playbooks
  • Read-only connections to up to three sources, such as community platform, events and payments

Expected benefits and how to measure them

  • Gives your team time for a personal touch before a member lapses.
  • Can help recover members who were about to slip away over a payment issue.
Renewal rate
Compare member renewals in the two quarters after launch with the same quarters last year.
Alerted members who renew
Track renewals among members who received a play, across the first renewal cycles.
Lapses from failed payments
Count members lost after a failed payment, monthly, before and after launch.

Before you start: Record your renewal rate and how many members lapsed last quarter. Note how many lapses followed a failed payment.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is a one-time cost. Running it costs roughly $20 to $150 a month for AI model usage and hosting or scheduling, billed in your own accounts, on top of your membership and community platform fees.

Usage during build and testing is billed to you directly too, so your organization keeps every account.

Custom requirements

A fourth source such as your email platform, writing risk flags back into the membership platform, or more than five alerts is outside the Scope Card. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes, such as a new membership tier, a changed renewal cycle or a new play. Your change hours scale with the build. It starts after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does AI Churn Prevention for Membership & Communities look at?

Up to 25 metrics you define, from up to three read-only sources. Common choices are last community visit, posts and replies, event attendance, onboarding steps completed, membership tier, renewal date and failed payments in Stripe. Each one is agreed with you before the model is built.

Will it send renewal reminders to members?

No. It tells your team which members need attention and suggests the play from your playbook, such as a personal note before renewal. A staff member reviews and sends any message. Your existing renewal emails keep running as they do now.

Can it spot new members who never get involved?

Yes. New members are their own state in the Membership & Communities template, with their own metrics. An alert can fire when someone has not posted, attended or completed onboarding by a point you choose, so a welcome call happens while they are still deciding.

Does it work with our community platform?

It reads from your community platform if that platform offers read-only access through an API or export. We confirm this during intake. If it does not, the community data can come from a regular export through the CSV Import Pipeline add-on.

How much is the membership edition, and how fast is it?

Each delivery speed has one fixed price. The price panel shows standard, express and rush side by side before you pay, and the cart confirms your delivery date. Running costs of roughly $20 to $150 a month are separate and paid to your own providers.

How are the predictions tested before we rely on them?

They are run against at least three months of your member history, including people who lapsed and people who renewed. You see which lapsed members would have been flagged and how early. Two rounds of changes let you adjust metrics or alert thresholds before launch.

Reach quiet members before their renewal does.
