AI Community Manager

Members moderated, questions answered and engagement kept up across your community channels, day and night.

A community is only as good as its quietest hour. When nobody is online, questions go unanswered, spam slips through and new members feel ignored. This agent moderates your community against your guidelines, answers member questions from material you approve and keeps conversation moving with welcomes and gentle prompts. Anything that needs a human call goes straight to your team.

  • Moderation to your guidelines, day and night, with escalation for judgment calls
  • Member questions answered instantly from your approved material
  • New members welcomed and quiet threads brought back to life

What it is

AI Community Manager is a delegate that moderates your community, answers member questions from your approved material, and prompts engagement inside the rules you set. It acts only where you have authorized it, and passes anything that needs judgment to your own team with the context attached.

Why businesses buy it

Communities stall when moderation and answers depend on whoever happens to be online. Members notice, engagement drops and the people running the community burn out. This agent covers the routine work around the clock: it applies your rules the same way every time, answers the questions members repeat, and makes newcomers feel noticed. Your team keeps the conversations that need a real person. The platforms, workflows and approval rules are written on the Scope Card before you order, so you know exactly where it may act.

Problems this solves

Member questions go unanswered for hours in the community

The agent answers member questions from your approved material in one community channel. Members get a reply quickly, and your team handles only what needs a human.

Moderation falls behind when posts arrive outside working hours

It moderates the community inside the rules you set and acts only where you have authorized it. Anything needing judgment goes to your team with the context attached.

Conversations go quiet and the community loses energy

Within your rules, the agent prompts engagement to keep discussion going. You approve these workflows during setup, up to six of them, and can adjust them later.

A good fit if

Your community runs on a platform like Discord, Slack or a forum, and moderation or answering questions falls on whoever happens to be online.
Members ask the same handful of questions repeatedly, and you want those answered instantly from material you control.
You have clear community guidelines already, even if enforcing them consistently is the hard part.
You want engagement prompts, such as welcoming new members or resurfacing a quiet thread, without someone remembering to do it.

Not the right fit if

You are managing paying client relationships and account health, not a member community. See AI Account Manager Agent.
You are managing formal partner relationships and onboarding, not general community members. See AI Partner Management Agent.
You mainly need broad research or monitoring of what is being said about you online, not day-to-day community moderation. See AI Research Agent.
You need more than six workflows or more than two connected platforms. Add a note at checkout for a Change Quote, or use the Custom AI enquiry form for larger community programs.

How it works

  1. Your community platform is connected with read and write access, up to two of them, so the agent can see real posts and act inside them directly.
  2. Messages are moderated against the guidelines you set, flagging or actioning anything that breaks them, inside the approval limits you approved during intake.
  3. Member questions are answered from your approved material and FAQs. If the answer is not there, it says so rather than improvising a response to your community.
  4. Engagement is prompted on the schedule and triggers you set, such as welcoming a new member or nudging a thread that has gone quiet.
  5. Anything that needs judgment, such as a dispute between members or an ambiguous guideline violation, is escalated to the moderator you named.
  6. Every moderation action, answer and engagement prompt is logged, so you can review what the agent did across all six workflows.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to your community platforms, with a test server or sandbox if available.
  • Your community guidelines and moderation rules, including what should be actioned automatically versus escalated.
  • Ten real member questions or moderation cases that show how decisions actually get made.
  • The name of the moderator who handles anything escalated.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the workflow rules during the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can shorten the wait for members asking simple questions
  • Helps moderation keep pace outside your team's hours
  • Makes it easier to keep conversations active
Time to first reply
Use your platform's analytics or a sample of threads to compare reply times before and after launch.
Posts escalated to moderators
Count escalations in the agent's log. Compare moderator workload with the month before launch.
Active members per month
Use your platform's member activity report for the months before and after launch.

Before you start: Record reply times on a sample of recent threads and how many posts were moderated last month. Save your current activity figures.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $50 to $250 a month in your own accounts, covering AI model usage and hosting, on top of your existing community platform plan.

AI usage during build and testing is billed the same way, in accounts you control.

Custom requirements

Add a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and enough monthly hours for updated guidelines, new FAQs or an added engagement trigger. It starts after the 30 days of included support, bills monthly and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Will it ban members on its own?

Only for the specific actions you explicitly allow, such as removing a message that clearly breaks a rule you stated in writing. Anything ambiguous, including any ban, is escalated to your named moderator rather than actioned automatically without a person's judgment.

Can it post promotional content or announcements?

That depends entirely on what you approve during intake. It can be configured to post scheduled updates from material you already provide, but it does not write brand-new promotional copy on its own, since campaign messaging stays a decision for your team to make.

What should I expect to pay monthly to run it?

Roughly $50 to $250 a month in your own accounts, covering AI model usage and hosting, on top of your existing community platform plan. There is no separate fee to us for running it, and cost mostly tracks message and member volume.

Which community platforms does it support?

Most commonly Discord, Slack or forum software, connected with read and write access up to two platforms at a time. Tell us your platform during intake, and we confirm compatibility before the build starts, so there are no surprises once work is underway.

How much time does my team need to spend getting set up?

Roughly one to two hours for intake, mostly your guidelines and escalation rules, spread across the 72 hours after you order. Then about an hour to review the 50 test scenarios before the two rounds of changes, plus the recorded handoff session.

Can I update the guidelines later?

Yes. Updated guidelines or FAQs fit inside the monthly change hours that come with maintenance at no extra charge, since that is a configuration change. A genuinely new workflow beyond the six in scope comes through a written Change Quote, priced before it starts.

What if a moderation call is wrong at launch?

You get two rounds of changes during the build, after reviewing the 50 test scenarios against real cases together. After delivery you have five working days to flag anything against the Scope Card, and it gets fixed at no extra cost.

Does it work across time zones?

Yes. It runs continuously, so members posting outside your team's working hours still get moderation and instant answers, at any hour of the day or night. Anything escalated simply waits for your named moderator's next available slot, rather than sitting completely unattended until morning.

Stop leaving your community unmoderated overnight.

Order the AI Community Manager and your community is moderated, answered and welcomed around the clock. The platforms, guidelines and approval rules are agreed in writing before you pay.
