AI receptionist for small business: calls, bookings and handoffs
What an AI receptionist does on a real call, the rules that apply, a sample greeting and a pass/fail checklist to launch one safely.
New customers guided through setup milestones, with a nudge sent the moment progress stalls.
New customers rarely say they are stuck. They just go quiet, and by the time anyone notices, the account is at risk. This agent guides each new customer through the setup milestones that matter, tracks progress from your product data, and sends a nudge, in-app message or CSM task the moment progress stalls. It follows your own onboarding playbook, not a generic checklist.

AI Customer Onboarding Agent walks a new customer through the setup milestones that matter, tracks how far each one has gotten in your product, and sends a nudge, in-app message or CSM task the moment progress stalls. It works from your own onboarding playbook, not a generic checklist.
The first weeks decide whether a customer sticks. Customers who never finish setup rarely renew, yet onboarding teams cannot watch every new account every day. After launch, each new customer is followed through your milestones, and stalls are caught while they are still easy to fix. Your CSMs review anything customer-facing before it goes out. The Scope Card sets the milestones, systems and workflows before you order, so you know exactly how each new account will be guided.
The agent tracks each customer's progress through your setup milestones inside your product. When progress stalls, it sends a nudge, an in-app message or a CSM task straight away.
Routine nudges follow your onboarding playbook across up to six workflows with your approval rules. CSMs step in when a task is raised, instead of sending every reminder themselves.
The agent works from your own onboarding playbook and up to 100 of your documents. Milestones and messages follow how your product is actually set up and used.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $3,900 |
| Express | 15–25 working days | $4,600 |
| Rush | 10–20 working days | $5,250 |
Before you start: Record how long recent customers took to finish onboarding and how many stalled. Note how many reminders CSMs send by hand each week.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running the agent afterwards is paid in your own accounts, and it is mostly AI model usage plus light hosting: roughly $50 to $250 a month, on top of the CRM or product analytics plan you already pay for.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need more connected systems, more onboarding paths, or milestone logic beyond what is listed, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionMonthly maintenance covers monitoring, fixes, updates, a health report and change hours each month for things such as a new milestone, an updated nudge message or a revised escalation rule. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | An onboarding tool charges per active user on top of setup time | A custom agency quotes after discovery calls | Ours is one fixed price, shown on this page before you buy |
| Milestones | A tool ships a generic checklist you then rebuild for your product | An agency agrees scope during the project | Ours is built directly from your own onboarding playbook |
| Delivery | A tool installs quickly but takes weeks to tune well | An agency usually takes several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Stalls caught | A tool typically flags drop-off after a week has passed | An agency build depends on what was agreed | Ours nudges the moment a milestone stalls |
| Escalation | A tool usually just logs the drop-off for someone to find | An agency build depends on what was agreed | Ours raises a CSM task when a nudge is not enough |
One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. The price covers up to six onboarding workflows across two connected systems, fixed and agreed before you buy.
Roughly $50 to $250 a month in AI model usage and hosting, on top of whatever you already pay for your CRM or analytics plan. You pay providers directly, in your own accounts. Monthly maintenance is optional if you want us managing changes.
The delivery time is fixed and shown on this page before you order, and express or rush delivery can bring the launch forward if you need it sooner. Most of the time goes into mapping your milestones and testing against fifty documented onboarding scenarios.
Admin or API access to up to two connected systems, ideally sandbox or test records at first, shared by adding our team as a user or creating a key you control, never by email. It reads usage and account data to judge progress, and writes only the nudges and tasks your rules allow.
Yes. Two rounds of changes are included before launch, based on the test scenarios. After that, a new milestone, an updated nudge message or a revised escalation rule fits inside the monthly change hours that come with maintenance. A whole new onboarding path is a separate add-on.
No. The 30 days of post-launch support are included in the build price with nothing extra to pay. After that, monthly maintenance is optional, not required, and you can cancel it in any month if your onboarding flow is stable and needs no further tuning.
You do. It runs inside your own CRM, product analytics and AI provider accounts, so nothing is tied to us to keep it working. If you ever move away from Upmark Labs, the milestone logic and every connection stay in your accounts, not ours, exactly as delivered.
