Intake & Extraction

AI Document Extraction for Legal Operations

Parties, references and key dates pulled from incoming legal paperwork into your matter system, with every deadline confirmed by a person.

Notices, intake forms and correspondence arrive every day, and someone has to read each one for parties, references and dates before anything else happens. This build extracts the fields you define with a confidence score on each and sends every date to a person for confirmation before it reaches your matter system. It reads what the document says. It gives no legal advice.

  • Parties, matter references and key dates extracted automatically
  • Every deadline confirmed by a person before it posts
  • Clean data written to your matter management system

What it is

AI Document Extraction for Legal Operations reads incoming legal paperwork, such as intake forms, court or tribunal notices and correspondence, and extracts the fields you define, including parties, matter references and key dates, each with a confidence score. Results reach your matter management system after review. It gives no legal advice.

Why businesses buy it

A misread date on a court notice is one of the most expensive mistakes a legal team can make, and it usually happens because a busy paralegal is retyping their fortieth document of the day. Manual entry is slow, and it puts risk exactly where you can least afford it. This build removes the retyping and keeps a person on every date that matters, with the source page alongside. The written scope fixes the document types, fields and systems before you order.

Problems this solves

Hearing dates from court and tribunal notices are keyed by hand

The system extracts hearing dates, matter references and parties from incoming notices with a confidence score. Doubtful dates go to a reviewer before reaching your matter management system.

New matter intake forms are retyped into the matter system

Intake forms are one of up to three document types set up with legal field sets. Client names, parties and matter details are extracted and checked against your validation rules.

Correspondence gets filed without the matter it belongs to

Letters and emails are read for matter references and party names. Clear matches flow through, and uncertain ones wait for a paralegal to confirm. The system gives no legal advice.

A good fit if

Lawyers or paralegals spend hours copying parties, references and dates from incoming documents into the matter system.
A missed or mistyped deadline is the error your team worries about most.
Most incoming paperwork falls into up to three types, arriving through one inbox or folder.
You want extracted dates confirmed by a qualified person before anyone relies on them.

Not the right fit if

Your documents are contracts and you need terms, obligations and renewal dates across the library. See AI Contract Intelligence.
You want clauses pulled into a structured clause library. See AI Clause Extraction.
Requests from the business need capturing and triaging before any document exists. See AI Legal Intake.
You mainly need legal documents tagged by type and filed. See AI Legal Document Classification.

How it works

  1. Paperwork arrives through one route. Notices, intake forms or correspondence land in the inbox or folder you designate for this build.
  2. The fields you defined are extracted. Parties, matter or case reference, court or tribunal, document date and key dates such as a response deadline are read from the content, wherever they appear.
  3. Deadlines are never posted on trust. You can set a rule that every date field goes to review regardless of its confidence score, so a person confirms each one before it is relied on.
  4. Other fields follow confidence and your rules. High-confidence values that pass validation are written to your matter management system against the right matter.
  5. Uncertain values go to the reviewer you named. They see the source page next to the extracted field, correct it if needed, and approve.
  6. Lawyers keep the legal judgment. The build reads and records; interpreting a document, advising a client or deciding on a step stays with qualified lawyers.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • At least 20 real samples of each document type, redacted as your confidentiality rules require.
  • The fields to extract from each type, and which must always go to review, such as deadlines.
  • Access to the intake inbox or folder.
  • Access to your matter management or document management system as the destination.
  • The reviewer, such as a paralegal or lawyer, who checks queued fields.
  • Admin access and API keys for both systems, never sent by email.
  • One decision-maker to approve the field list and sign off at launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • A human review queue for low-confidence fields such as dates and references

Expected benefits and how to measure them

  • Can free paralegals from retyping parties, references and dates.
  • Helps key dates reach the matter system sooner, with a person checking doubtful ones.
  • Makes it easier to keep correspondence tied to the right matter.
Time from notice received to date in the matter system
Compare receipt and entry timestamps for a sample of notices, before and after launch.
Date or reference errors found later
Log corrections made to matter records each month and compare quarter on quarter.
Intake forms processed per week
Count from the intake log after launch and compare with paralegal records beforehand.

Before you start: Time how long a notice and an intake form take to key today. Note any date or reference corrections made to matter records last quarter.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is one fixed price. Running costs are roughly $30 to $200 a month in your own accounts for OCR and AI usage plus storage, scaling with the pages that pass through. A team handling long bundles of correspondence sits higher in the range than one processing short notices.

AI usage during build and testing is billed to your own accounts, so client material never passes through an account of ours.

Custom requirements

A fourth document type, more than 25 fields per type, a second intake route, or calculating deadlines from rules rather than reading them from the page is outside the Scope Card. Add a note at checkout for a written Change Quote.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a health report and change hours each month, enough for a new notice format, an extra field or a revised review rule. It starts after the 30 days of support.

$270/mo (5% of the build price a month, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can AI Document Extraction for Legal Operations calculate filing deadlines?

No. It reads dates that appear in the document, such as a stated response deadline or hearing date, and records them for review. Calculating a deadline from procedural rules is legal judgment and stays with your lawyers. If you want rule-based date calculations built, that would be scoped separately through a Change Quote.

Will extracted dates go into our matter system without a check?

Not if you set the always-review rule, which we recommend for every date field. Each date then waits in the review queue next to the source page until a paralegal or lawyer confirms it. Other fields, such as party names, can go straight through when confidence is high and rules pass.

Which legal documents does the extraction build handle?

Up to three document types you choose, for example matter intake forms, court or tribunal notices and incoming correspondence. Each type can carry up to 25 fields. For contracts, where you need obligations and renewal terms across a whole library, AI Contract Intelligence, $4,900, is the closer fit.

How is client confidentiality handled?

Documents move only between the intake route and the destination system you connect, both in your own accounts. Samples can be redacted before we see them, and fields you do not need can be left off. The Audit Logging Add-on, $1,500, records every access and action if your firm wants that trail as well.

When can the legal extraction build start reading our paperwork?

The panel on this page shows delivery time for each speed, counted from the day intake is complete and access to your matter system is verified. Send 20 samples per document type, such as notices and intake forms, plus the field list within 72 hours of ordering. Each day they arrive late moves the go-live date by 3 working days.

What are the monthly running costs for legal document extraction?

Roughly $30 to $200 a month in your own accounts for OCR and AI usage plus storage, depending on page volume. There is no per-matter or per-user fee from us. Monthly maintenance is optional and covers new notice formats and rule changes.

Give fee-earners back the hours spent copying dates and parties.
