AI Client Intake for Accounting & Tax Firms
Collects, checks and chases client documents, then files them to the right client folder; an edition of AI Client Intake adapted for…
Day-to-day delivery tasks, reassigning work, chasing overdue items and updating milestones, get done inside your approval rules.
Project managers spend much of their week on chores: chasing overdue tasks, updating milestones, nudging people about blockers. AI Delivery Agent does that work in your project tool and CRM, inside the approval rules you set. It flags milestones that slip or stall, and anything outside your rules goes to a named approver. Your team keeps every judgment call.

AI Delivery Agent handles day-to-day project and engagement delivery execution, reassigning overdue tasks, updating milestone status and chasing blockers inside the approval rules you set, so delivery keeps moving without a person doing every step by hand. It also flags milestones that slip or stall across client projects.
Delivery problems on client projects usually start small: a task nobody picked up, a blocker no one chased, a milestone status that is weeks out of date. By the time a partner notices, the client already has. AI Delivery Agent keeps the routine work moving every day, so your managers can focus on clients and quality. Because it acts in your systems, control matters, and the Scope Card sets the workflows, the systems and the approval rules in writing before you order.
The agent reassigns overdue tasks inside the approval rules you set. Delivery keeps moving without a person checking every task list by hand each morning.
It updates milestone status as work progresses, with read and write access to up to two systems. Partners and clients see a current picture rather than last month's.
The agent chases blockers through one agreed channel, following up to six workflows with your approval rules. Anything outside those rules is escalated to a person to decide.
It flags milestones that slip or stall across your client projects. Delivery leads can step in early, while there is still room to recover the plan.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $5,900 |
| Express | 15–25 working days | $6,800 |
| Rush | 10–20 working days | $7,650 |
Before you start: Record weekly overdue task counts and the share of milestones met on date last quarter.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running AI Delivery Agent afterwards costs roughly $50–250/month (AI model usage + hosting), plus your existing CRM or project management plan, billed directly in your own accounts.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionMonthly maintenance covers monitoring, fixes, updates, a health report and change hours each month for things such as a new trigger, an adjusted approval rule or a tweak to an existing workflow. It starts after the 30 days of support, bills monthly, and can be cancelled any month.
$295/mo (5% of the build price a month, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A project-management add-on bills per seat whether tasks get chased or not | A delivery lead spends real hours nudging tasks by hand | Ours is one fixed price, shown on this page before you buy |
| Scope | A project-management add-on gives you generic automation rules you build yourself | Scope depends on the delivery lead's time that week | Ours is written on the Scope Card before purchase |
| Actions | A project-management add-on mostly sends reminders, it does not reassign or update records | Depends on who is available to act | Ours reassigns tasks and updates records directly, inside your approval rules |
| Delivery | Sign-up is instant, wiring up real write-access workflows is not | Typically several weeks before work even begins | Ours has a fixed delivery time shown before you buy, with faster options |
The one-time build price is shown in the price and delivery panel on this page, next to each delivery speed. It covers everything on the Scope Card: up to six workflows, read and write access to up to two systems, your approval rules and 50 test scenarios run before launch. Once your Scope Card is confirmed, the price is fixed.
Delivery Agent takes action: it reassigns overdue tasks, updates milestone status and chases blockers inside your approval rules, with write access to your systems. AI Project Status Agent only tracks and summarizes engagement status for your team to read, and it never reassigns work or writes changes back. One does delivery work, the other reports on it.
No. It only acts inside the approval rules you set, such as who can authorize a reassignment or how late a task must be before it escalates. Anything outside those rules is routed to the named approver rather than carried out automatically, so nothing unexpected gets written into your project or CRM system.
Roughly $50 to $250 a month in your own accounts for AI model usage and hosting, plus whatever you already pay for your project management or CRM plan. You pay providers directly. The build itself is a one-time price, shown with each delivery speed in the price and delivery panel on this page.
The price and delivery panel on this page shows the time for each speed, counted from the day your intake is complete and access is verified. Most of the build goes into the write-access workflows, testing each one across 50 scenarios so the agent acts exactly within your approval rules before it touches live projects.
It needs admin or API access, with both read and write permissions, to the up to two systems it should act in, such as your project management tool and your CRM. Sandbox or test records are welcome if you have them, and admin access and API keys are shared by adding our team as a user or creating a key you control, never by email.
Yes. Adjusting an approval rule or tweaking an existing workflow fits inside the monthly change hours that come with maintenance. Adding a seventh workflow or a third connected system beyond what's in scope is a bigger change and gets a written Change Quote first.
Order AI Delivery Agent and overdue tasks, blockers and milestones get handled inside your rules on a fixed delivery date. The scope above is what you get, in writing, before you pay.
