AI Professional Services Knowledge Base

Your firm's methods, templates and past-engagement learnings become one searchable, cited knowledge base for the whole team.

Your firm already knows how to do the work. The problem is finding it: the right template, last year's proposal, the lesson from a tough engagement. This knowledge base answers staff questions from your methods, templates and past work, with a citation to the exact source. Permission groups keep sensitive files restricted, and a monthly refresh keeps answers current.

  • Cited answers from your methods, templates and past engagements
  • Permission groups keep sensitive client files restricted
  • Monthly refresh keeps newly closed work searchable

What it is

AI Professional Services Knowledge Base turns your firm's methodologies, templates, past proposals and lessons learned from closed engagements into one searchable system, answering staff questions with citations back to the exact source document. Permission groups control who sees what, and a monthly refresh keeps answers current.

Why businesses buy it

Every time a consultant rebuilds a template that already exists, or asks a partner the same question twice, the firm pays for knowledge it already owns. New hires take longer to become useful, and lessons from closed engagements are forgotten. A cited knowledge base gives everyone the same reliable answers, so senior people get their time back and quality stays consistent. The Scope Card sets the content sources, the users, the permission groups and the accuracy testing before you order, so you know exactly what you get.

Problems this solves

Staff redo work because past proposals and templates cannot be found

The knowledge base turns your methodologies, templates and past proposals into one searchable system. Staff ask a question and get an answer with a citation to the exact source.

Lessons from closed engagements are forgotten by the next project

Lessons learned from closed engagements are included in the base. Teams starting similar work can find what went well or badly before. The same mistakes are less likely to be repeated.

Confidential client material is visible to the wrong people

Up to three permission groups control who sees what. Access is set during setup for one interface, such as a web app, Slack or Teams, for up to 50 users.

Methodology documents go out of date in shared drives

A monthly refresh keeps answers in line with your latest documents. Every answer cites its source, so staff can check which version they are reading.

A good fit if

New hires and junior staff currently ask senior partners the same questions about methodology, templates or past engagements, and the answers live only in people's heads.
You already store past proposals, methodology documents and templates somewhere, such as Google Drive, SharePoint, Notion or Confluence, even if it is not well organized today.
You want staff to ask a question in plain language and get an answer with a citation back to the source document, not a folder of files to search through manually.
You are comfortable naming up to three content sources, up to three permission groups, and up to 2,000 documents for the system to index and keep refreshed monthly.

Not the right fit if

You need a specific client-facing message drafted for one situation, not a searchable library of firm knowledge. See AI Client Communication.
You need the proposal or SOW itself drafted from discovery notes, not past proposals made searchable. See AI Proposal System.
You need day-to-day delivery tasks actually carried out, not knowledge made findable. See AI Delivery Agent.
You need more than 2,000 documents, more than 50 users, or more than three permission groups. Add a note at checkout and we quote it, or start from our Custom AI enquiry form.

How it works

  1. We connect to up to three content sources you name, such as Google Drive, SharePoint, Notion or Confluence, where your methodology documents, templates and past engagement files already live.
  2. Up to 2,000 documents, roughly 10,000 pages, are indexed and organized so the system understands what each one covers, from a pricing template to a lessons-learned memo from a closed engagement.
  3. Staff ask a question in plain language, such as how a similar engagement was scoped last year, and the system answers from your indexed documents rather than a generic model response.
  4. Every answer comes with a citation back to the source document, so the person asking can open the original template, proposal or memo and check it themselves.
  5. Up to three permission groups keep sensitive engagement files visible only to the people who should see them, across a web app, Slack or Microsoft Teams for up to 50 users.
  6. We test the system against 60 benchmark questions with an accuracy report before launch, and content refreshes monthly so newly closed engagements stay searchable.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Your business information (company basics, hours and brand voice), shared during intake, or confirmation we can reuse what you gave us on an earlier order.
  • Access to the content sources, such as Google Drive, SharePoint, Notion or Confluence.
  • The user list and how staff should be grouped for permissions.
  • 30 sample questions with the answers you would expect the system to give.
  • Workspace admin access to set up sign-in for the interface you choose.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can approve the permission groups and sign off at launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Running costs

The build price is one-time. Running AI Professional Services Knowledge Base afterwards costs roughly $50–300/month (AI model usage, vector database, hosting), billed directly in your own accounts and moving with how many staff use it and how often.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes and a monthly allowance of change hours, which covers a content refresh beyond the included cycle, a new permission group or a template update. It starts after the 30 days of support, bills monthly, and can be cancelled any month.

$395/mo (5% of the build price a month, includes 3 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Professional Services Knowledge Base cost?

The one-time build price is shown in the price and delivery panel on this page, next to each delivery speed. It covers everything on the Scope Card: document indexing from up to three sources, up to three permission groups, the monthly refresh and 60 benchmark questions tested before launch. Once your Scope Card is confirmed, that price is fixed.

How is AI Professional Services Knowledge Base different from AI Client Communication?

The Knowledge Base is a searchable library your whole team queries, covering methodology, templates and past-engagement learnings, with citations back to the source. AI Client Communication drafts a single client-facing message for one situation at a time. One makes existing firm knowledge easy to find, the other writes something new for a client.

Does AI Professional Services Knowledge Base show everyone the same documents?

No. Up to three permission groups keep sensitive files, such as client-specific proposals or commercial terms, visible only to the people who should see them. Everyone else still gets useful answers from the documents they are allowed to access, and every answer includes a citation so the source is never hidden.

How much does AI Professional Services Knowledge Base cost to run each month?

Roughly $50 to $300 a month in your own accounts, covering AI model usage, the vector database and hosting. It moves with how many staff query it and how often. You pay providers directly. The one-time build price is separate and listed in the price and delivery panel on this page.

How long does AI Professional Services Knowledge Base take to launch?

The price and delivery panel on this page shows the time for each speed, counted from the day your intake is complete and access is verified. Most of the build goes into indexing your documents, setting up permission groups and testing answer accuracy against 60 benchmark questions drawn from what your team actually asks.

What access does AI Professional Services Knowledge Base need to our systems?

It needs access to each content source you name, such as Google Drive, SharePoint, Notion or Confluence, plus workspace admin access to set up sign-in for the interface you choose. Admin access and API keys are shared by adding our team as a user or creating a key you control, never by email, and permission groups control what each user can see.

Can new documents be added to AI Professional Services Knowledge Base later?

Yes. The knowledge base refreshes monthly as part of the build, so newly closed engagements and updated templates stay searchable without extra work. Growing past the 2,000-document or 50-user limit, or adding a fourth content source, is a bigger change and gets a written Change Quote first.

Stop losing what your firm already knows how to do.

Order AI Professional Services Knowledge Base and your firm's methods and templates become searchable, cited answers on a fixed delivery date. The scope above is what you get, in writing, before you pay.
