AI Tenant & Maintenance Agent for Property Managers
Answers tenant questions, triages maintenance requests by urgency and creates work orders in your property software; an edition of AI Real Estate…
Buyer criteria matched against live listings automatically, so your team calls the right five, not scrolls two hundred.
Your team has more buyers and more listings than anyone can match by hand, so good fits get missed. This build scores every live listing against each buyer's stated criteria, budget and search behavior, then ranks which homes your agents should call each buyer about first, with the reasoning shown. It reads your CRM and listing feed and never contacts buyers itself.

AI Property Recommendation scores every live listing on your books against each buyer's criteria, budget and search behavior. It then ranks the matches your team should call about first. It works for your team, alongside your CRM and listing feed, and never chats with buyers. AI Buyer Assistant is the buyer-facing option.
Matching buyers to listings is valuable work that rarely gets done well at scale. Agents remember their recent buyers and their own listings, so a perfect match sitting with a colleague goes unnoticed and the buyer finds it elsewhere. This build checks every buyer against every live listing on a schedule and tells your team where to focus, while the conversations stay with your agents. It only reads your data, so nothing in your CRM changes. The Scope Card fixes the sources, the report and the alerts before you buy, so the result is clear from the start.
The recommendation tool scores every live listing against each buyer's criteria, budget and search behavior. Agents see ranked matches instead of relying on memory or manual filters.
Up to five alerts can flag strong matches as new listings enter your feed. Your team can call the right buyers while the property is still fresh on the market.
A recurring report or dashboard ranks which buyers and listings your team should call about first. It sits alongside your CRM and listing feed, reading data without changing it.
Before launch, rankings are checked against three months of your historical data. Your team can see how the scoring compares with buyers who actually went on to view or buy.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $4,400 |
| Express | 15–25 working days | $5,150 |
| Rush | 10–20 working days | $5,950 |
Before you start: Record active buyers, live listings and showings per listing. Note how agents currently decide which buyers to call.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running it is billed in your own accounts, and for a matching engine that mostly means AI model usage plus the hosting or scheduler that runs the job: roughly $20 to $150 a month for most buyer lists.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionFor AI Property Recommendation, monthly maintenance covers monitoring, fixes and a monthly allowance of change hours, enough for a new metric, an adjusted rule or an extra alert. It starts after the thirty days of support, bills monthly, and can be cancelled any month.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A portal alert tool charges monthly per seat, tuned to its own algorithm | A custom agency quotes after discovery calls | Ours is one fixed price, shown on this page before you buy |
| Scope | A portal tool matches on its own fixed set of signals | An agency agrees scope during the project | Ours is written on the Scope Card before purchase |
| Delivery | A portal tool switches on the day you subscribe, tuned to nobody's own criteria | An agency usually takes several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Match quality | A portal tool ranks against generic signals, not your criteria | An agency build depends on what was agreed | Ours ranks against the criteria and history you define |
It is a single fixed build price, paid once, and the price and delivery panel on this page shows it for each delivery speed. That covers the Scope Card: up to three read-only sources such as your CRM and listing feed, one dashboard or recurring report plus five alerts, testing and a recorded handoff session. There is no per-buyer or per-match charge on top, and AI usage is billed to your own account.
Each delivery speed has a fixed time shown in the price and delivery panel on this page, counted from the day your intake is complete and read access to your CRM and listing feed is verified. Sending clean buyer criteria fields and feed access early is the simplest way to keep to that date. The first ranked shortlists arrive during testing, before launch.
We need read-only access to your CRM or listing feed, your own definitions of the metrics that matter, and at least three months of historical listing and buyer data to test the scoring against. Admin details and API keys are shared by adding our team as a user or creating a key you control, never by email, and one person on your side approves the criteria before launch.
Running costs sit outside the build price and are paid directly to your own providers, typically $20 to $150 a month for the AI model usage and the hosting or scheduler that keeps the matching job running. Busier buyer lists with more listings scored sit toward the higher end. Monthly maintenance is optional.
Yes. Two rounds of changes are included in the build itself, so most adjustments to weighting or criteria happen before launch. After that, small changes such as a new metric or an adjusted rule fit inside the monthly change hours of maintenance, and a genuinely new dashboard or report is quoted separately as an add-on or Change Quote.
No. AI Property Recommendation reads from your existing CRM and listing feed rather than replacing either one. It scores what is already there and delivers a ranked shortlist to the channel you choose, so your CRM stays the single record of buyers, listings and deal history throughout the whole process.
AI Property Recommendation is a scoring and ranking engine: it never speaks to a buyer directly, only to your team. AI Buyer Assistant is a conversational build that guides one buyer through their own search, viewing and offer questions. Many agencies run both together, with matches feeding what the assistant discusses with each buyer.
You do. The scoring profile, the connections, and every buyer and listing record stay in your own CRM, listing feed and hosting accounts, under your name throughout. We configure and test the matching logic during the build, hand over an admin guide and a recorded session, then step away at launch, apart from the 30 days of included support.
Order AI Property Recommendation and it starts ranking your live listings against real buyer criteria on a fixed delivery date. The scope above is what you get, in writing, before you pay.
