AI Hotel Concierge

Dinner reservations, spa bookings and local recommendations handled for every guest, without tying up the front desk.

Guests want a dinner table, a spa slot or a good local tip, and your front desk is busy checking people in. This concierge answers those requests before and during the stay, books with the partners you approve, and recommends only places you have vetted. It reads your PMS so it knows who is staying, and anything outside its authority goes to your team.

  • Dinner, spa and activity bookings handled without the front desk
  • Recommendations limited to partners and places you have vetted
  • Guest details checked against your PMS before anything is booked

What it is

AI Hotel Concierge answers guest requests before and during their stay, books dinner reservations, spa treatments and activities with partners you approve, and recommends only what you have vetted. It reads your PMS to know who is staying, and hands off anything outside its authority.

Why businesses buy it

A good concierge is one of the things guests remember, but few hotels can staff one at every hour. Requests pile up at the front desk, partners go unbooked, and guests make their own plans with someone else. This build gives every guest a prompt, knowledgeable answer and a confirmed booking with partners you trust, while your team stays focused on arrivals and service. The Scope Card fixes the channel, the two connected systems and the six workflows in writing before you buy, so you know exactly which requests it books and which it hands back.

Problems this solves

Front desk staff get pulled away for every restaurant and spa booking

The concierge books dinner reservations, spa treatments and activities with partners you approve. Desk staff can stay with the guests in front of them while routine bookings are handled in one channel.

Guests get pointed to places your hotel has never vetted

The concierge recommends only what you have vetted, drawn from up to a hundred documents of partners and local guides. Guests hear suggestions you are happy to stand behind.

Pre-arrival requests get lost between email and the front desk

Guests can ask before their stay as well as during it. The concierge reads your PMS to see who is staying, so each request is tied to the right reservation.

Unusual requests need a person, but staff hear about them late

Anything outside the concierge's authority is handed off to your team straight away. Up to six workflows set out what it can book alone and what needs approval.

A good fit if

Guests message you before and during their stay asking for restaurant recommendations, spa bookings or activity reservations, and you want those handled without tying up the front desk.
Your booking data lives in a PMS such as Opera, Cloudbeds or Mews that you can connect by API, so the concierge knows exactly who is staying and when.
You want one assistant covering pre-arrival questions, in-stay requests and local recommendations, not three separate point tools stitched together.
You can define which guest requests it may book directly, such as a dinner reservation, against which need a person, such as a private event.

Not the right fit if

You only need the room reservation itself handled, not the wider concierge role. See AI Hotel Booking Agent, narrower and cheaper.
Your priority is proactively offering upgrades and add-ons at the right moment, not general concierge requests. See AI Hotel Upsell Agent.
You mainly need reactive in-stay support, wifi, amenities, housekeeping requests, not planning and recommendations. See AI Hotel Guest Support Agent.
Your project is larger than a single property or needs custom scope beyond what is listed here. Use our Custom AI enquiry form instead.

How it works

  1. A guest messages before arrival or during their stay asking for a dinner reservation, a spa booking, or what is worth seeing nearby, and the concierge checks who they are and their stay dates against your PMS.
  2. For requests it is authorized to book directly, such as a table at a partner restaurant or an in-house spa treatment, it checks availability and confirms it back to the guest, logging it against their reservation.
  3. Local recommendations are drawn only from the destination information and partner list you approved, never invented, so a guest is never sent somewhere you have not vetted.
  4. Requests it cannot book directly, such as a private event or something outside your partner network, are passed to the concierge desk you named, with the guest's stay details attached.
  5. Pre-arrival messages go out on the schedule you set, so returning and new guests hear from you before check-in, not only once they walk in.
  6. Every request, booking and recommendation is logged against the guest's stay, so your front desk has full context if the guest calls down later.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Your business information (company basics, hours and brand voice), shared during intake.
  • Admin or API access to your property management system, such as Opera, Cloudbeds or Mews, with sandbox or test records if available.
  • Your guest-request playbook, including which requests it may book directly and any spend or approval limits.
  • Ten real guest conversations or messages so the concierge is built against genuine requests, not guesses.
  • Your approved local partner list, for the restaurants, activities and services you actually want recommended.
  • The name of the concierge desk team member who takes anything outside its authority.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can approve the playbook before launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The hotel concierge live in one guest channel, with read and write access to your PMS and up to one other system
  • Up to six request workflows with your approval rules and partner limits
  • Your vetted partners and local guides loaded from up to a hundred documents
  • A test report from fifty documented guest scenarios

Expected benefits and how to measure them

  • Guests can get bookings and local tips without queuing at the desk.
  • Helps a lean front-desk team keep up during busy check-in hours.
  • Keeps recommendations to partners you trust.
Requests completed by the concierge
Count bookings and requests the concierge completes each week, from its conversation records.
Concierge-type desk interruptions
Ask desk staff to tally restaurant, spa and activity requests for one week before and one week after launch.
Guest service scores
Compare service scores from your post-stay survey or review sites for the quarter before and after.

Before you start: Record how many concierge requests the desk handles per week and how they arrive. Note your current guest service scores.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running AI Hotel Concierge afterwards costs roughly $50 to $250 a month in your own accounts for AI model usage and hosting, on top of whatever PMS or CRM plan you already pay for. AI usage during the build and testing is billed the same way, directly to your accounts, so every provider relationship stays yours.

Custom requirements

If your partner network or guest-request rules go past the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Because this build covers the widest guest-facing scope in the range, monthly maintenance is worth having: monitoring, fixes and change hours for a new partner, an updated local guide or a seasonal offer. It starts after the 30 days of support and can be cancelled any month.

$345/mo (5% of the build price a month, includes 3 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Hotel Concierge cost?

The concierge is a single fixed build price, paid once and shown for each delivery speed in the price and delivery panel on this page. It covers the whole Scope Card: one guest channel, two connected systems such as your PMS and a booking tool, six workflows with your approval rules, testing and a recorded handoff. Partner commissions stay yours, and AI usage is billed in your own account.

Does AI Hotel Concierge connect to Opera, Cloudbeds or Mews?

Yes, if your PMS exposes an API, we connect to it during setup, along with your booking engine. The concierge reads live stay dates and guest details from that system rather than working from a static list, so it always knows who is actually staying, and when, before it books anything on their behalf.

What does AI Hotel Concierge cost to run each month?

Running it afterwards costs roughly $50 to $250 a month in your own accounts for AI model usage and hosting, on top of whatever PMS or CRM plan you already pay for. There is no separate platform license on top of that figure. The exact cost depends on guest volume and how many requests it handles.

What access does AI Hotel Concierge need to my systems?

We need admin or API access to your PMS, sandbox or test records if available, shared by adding our team as a user or creating a key you control, never by email. Your guest-request playbook, approved partner list and ten real guest conversations let us build a concierge that reflects how your property actually operates.

Can we add new local partners or update the guide later?

Yes. Adding a new restaurant or activity partner, updating the local guide, or adjusting a booking limit usually fits inside the monthly change hours included with maintenance. Adding a genuinely new workflow beyond the six in scope, or a third connected system beyond the two included, goes through a Change Quote agreed before that work starts.

Can we cancel AI Hotel Concierge maintenance later?

Yes. Maintenance runs month to month with no lock-in, so you can cancel any month once the 30 days of included support has ended. Unused hours do not roll over. Bigger changes, such as a new workflow, go through a Change Quote.

How is AI Hotel Concierge different from AI Hotel Booking Agent?

AI Hotel Booking Agent handles the room reservation transaction itself. This build covers the wider guest-facing role, dinner reservations, spa bookings, activity recommendations, before and during the stay, which is why it costs more and covers a broader scope. Choose the narrower build if room bookings are genuinely all you need automated.

Give every guest a concierge, without adding headcount.

Order AI Hotel Concierge and it handles dinner, spa and activity requests from your PMS, live on a fixed delivery date.
