AI Voice Receptionist for Restaurants & Food

Calls during service get answered: tables booked, menu questions handled from your menu, and phone orders taken down.

During service, nobody has a free hand for the phone, and every unanswered call is a table or an order going elsewhere. This receptionist picks up your restaurant's line during service and after hours. It books tables through your reservation platform, answers menu and allergen questions only from your published menu, takes pickup orders and hands anything tricky to your staff.

  • Tables booked straight into your reservation platform
  • Allergen answers taken only from your published menu
  • Pickup orders read back and logged for the kitchen

What it is

AI Voice Receptionist for Restaurants & Food picks up your restaurant's phone during service and after hours. It books tables through your reservation platform, answers menu and allergen questions only from your published menu, takes phone orders, and hands tricky calls to staff.

Why businesses buy it

Restaurants lose bookings at the exact moment they are busiest. The phone rings during the dinner rush, staff choose between the caller and the guest in front of them, and the caller books somewhere else. A receptionist that answers every call keeps those tables and orders without pulling a server off the floor. It never guesses about ingredients, so allergen answers stay safe. The Scope Card lists the call flows, systems and menu knowledge before you order, so you know exactly what it will and will not do.

Problems this solves

The phone rings mid-service and nobody can step away

The receptionist picks up during service and after hours. It books tables directly through your reservation platform, so your team can keep cooking and serving.

Phone orders get misheard over a noisy dining room

Phone orders are taken through a dedicated call flow, one step at a time. Each order is logged with a transcript, giving the kitchen a clear written record instead of a hurried note.

Allergen questions get rushed answers from whoever picks up

Menu and allergen questions are answered only from your published menu. If the menu does not cover a question, the call goes to a member of staff rather than a guess.

Callers ringing after closing give up and book elsewhere

After-hours calls are answered the same way as calls during opening. Callers can still book a table for another day rather than hanging up and trying somewhere else.

A good fit if

The phone rings hardest at exactly the moment everyone is serving, and a missed call often means an empty table.
Your bookings already run through an online reservation platform the receptionist can connect to.
Diners ask the same menu questions again and again: what is vegetarian, what goes into a dish, which allergens it contains.
You take phone orders and want each one written down the same way, every time, with the order read back.

Not the right fit if

You only need table bookings handled by phone. AI Voice Booking Agent for Restaurants & Food, focuses on that one job.
You want replies drafted for your online reviews. See AI Review Response Agent for Restaurants & Food, which drafts on-brand replies for approval.
Most of your orders arrive on WhatsApp rather than by phone. See WhatsApp AI Order Agent.
Your team needs the line answered in two languages. Add the Additional Language Pack.

How it works

  1. It answers while you serve. Your greeting and recording notice play, and the caller is never left ringing out in the middle of a rush.
  2. Tables are booked in your reservation platform. It checks the time and party size the caller wants, books inside your rules, and confirms the booking before the call ends.
  3. Menu questions are answered from your published menu only. Ingredients, dietary options and allergens are read from the menu you supply. If the menu does not say, the receptionist tells the caller so and passes the question to staff rather than guess.
  4. Phone orders are taken down in full. Items, quantities, name, number and pickup time are read back to the caller, then logged to the inbox or system you choose.
  5. Some calls go to a person. Large group inquiries, complaints and anything outside your rules transfer to the number you set, or become a message when nobody can pick up.
  6. Every call leaves a summary. Transcript, outcome and any booking or order details are logged, so the manager can see what came in during service.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A telephony account in the restaurant's name, such as Twilio, Vonage or Exotel, with the number to use, forward or port.
  • Your current menu, with ingredients and allergen information exactly as you publish it.
  • Opening hours, booking rules such as the largest party you take online, and how phone orders should be recorded.
  • Access to your reservation platform and to the second system you want connected.
  • Numbers to transfer to for the floor, the kitchen and the manager.
  • Your preferred voice and language, plus your call-recording disclosure wording.
  • One decision-maker who can approve changes.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.

  • Makes allergen answers consistent with your published menu.
Phone bookings during service and after hours
Filter your reservation platform by booking source and time. Compare the month before launch with the month after.
Missed calls during service
Use your phone system's report for service hours. Compare four weeks before and after.
Mistakes on phone orders
Keep a simple kitchen tally of wrong or missing items on phone orders. Compare before and after launch.

Before you start: Export a month of missed-call data split by service times. Note phone bookings per week and any phone order mistakes you recorded.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

One price for the build, then call minutes paid in your own accounts: about $0.13 to $0.31 per minute all in for the voice platform, the AI model and telephony, plus number rental. Short booking calls keep the bill low, while longer phone orders use a few more minutes each.

AI usage during the build and testing is billed to your accounts as well.

Custom requirements

If you want a sixth call flow, such as separate handling for catering, or a third connected system like your POS, add a note at checkout. You get a written Change Quote, and nothing extra starts until you accept it.

Keep it running

Once the 30 days of support end, optional monthly maintenance covers monitoring, fixes, model and platform updates and a monthly health report. Change hours handle small updates, such as a new seasonal menu with its allergens or changed opening hours. Larger changes need a Change Quote. Cancel any month.

$345/mo (5% of the build price a month, includes 3 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How does AI Voice Receptionist for Restaurants & Food handle allergen questions?

Only from your published menu. If the menu lists an allergen for a dish, it reads that information back to the caller. If the menu does not cover what they ask, it says so plainly and transfers to a member of staff, or takes a message. It never guesses about ingredients or how the kitchen prepares food.

Does the restaurant receptionist book tables straight into our reservation platform?

Yes, when the platform is one of the two connected systems and offers an API. It checks the date, time and party size against your rules, books the table, and reads the details back. Requests outside your rules, such as a very large group, are passed to the manager instead.

Can it take phone orders for pickup?

Yes. It takes the items, quantities, name, contact number and pickup time, reads the whole order back, and logs it to the inbox or system you choose so the kitchen can see it. Changing how orders are handled later, such as adding a delivery flow, fits monthly maintenance or a Change Quote.

Can the receptionist deal with private dining and large party inquiries?

It can collect the details and pass them on. Large groups and private dining usually need a person, so the suggested setup is a call flow that takes the date, numbers and contact details, then transfers or sends them to your manager. Your own rules decide where that line sits.

What happens when we change the menu?

You send the new menu and the receptionist answers from it once it is loaded. With monthly maintenance, loading menu changes fits inside the monthly change hours, so seasonal menus and specials stay current. Without maintenance, a menu update is quoted as a Change Quote before the work is done, so you always know the cost first.

How quickly can the restaurant receptionist start answering our line?

Delivery time for each speed is shown in the panel on this page, counted from the day your intake is complete and access is verified. Your menu, booking rules and reservation-platform access need to arrive within 72 hours of ordering. Late items push the delivery date back, so gather them before you check out if you can.

What does a restaurant pay each month to keep it answering?

Only call minutes, in your own accounts: about $0.13 to $0.31 a minute all in, plus number rental. Your bill rises and falls with the number of calls, so a quiet week costs less than a festive one. Monthly maintenance is optional, and there is no per-booking or per-order fee from us.
