AI Feedback Synthesis

Customer feedback from every channel grouped into ranked themes, so patterns surface without anyone reading it all.

Customer feedback arrives everywhere: support tickets, app reviews, survey replies. Nobody has time to read it all, so the loudest voice wins. AI Feedback Synthesis reads the sources you connect, groups comments into ranked themes with real customer quotes, and sends a report on your schedule. Your sources stay read-only, and your team decides what the themes mean for the roadmap.

  • Feedback from three sources grouped into ranked, quoted themes
  • Rising issues flagged by alert before they spread
  • A recurring report in email, Slack or a dashboard

What it is

AI Feedback Synthesis reads customer feedback from the sources you connect, such as support tickets, reviews and survey responses, and groups it into ranked themes with supporting quotes. It delivers a recurring report to email, Slack or a dashboard, so a rising theme gets noticed early.

Why businesses buy it

Unread feedback is a quiet cost. Problems customers mention for months reach the product team only when churn makes them obvious, and planning meetings turn into debates about anecdotes. Synthesis gives your team a ranked view of what customers keep raising, with quotes attached, so decisions start from evidence you can check. Because the sources, metrics and alerts are fixed on the Scope Card before you order, you know exactly what will be read, how themes are ranked and where the report lands.

Problems this solves

Feedback is scattered across tickets, reviews and surveys with no overview

The system reads up to three read-only sources you connect, such as your helpdesk, review site and survey tool. It groups everything into ranked themes with supporting quotes in one report.

A growing complaint goes unnoticed until customers start leaving

Up to five alerts can watch for rising themes. When one grows, an alert goes to email, Slack or your dashboard. The team can then look into it while it is still small.

Product debates hinge on whoever remembers the loudest customer

Each theme in the report is ranked and backed by real customer quotes. Discussions can start from what the feedback says overall, rather than from one memorable conversation.

Nobody has time to read every review and survey answer

The recurring report does the reading and grouping, covering up to twenty-five defined questions. During setup, its results are checked against three months of your own historical feedback.

A good fit if

Feedback arrives scattered across Intercom, Zendesk, app store reviews and surveys, and nobody has time to read all of it and connect the dots.
You want recurring themes ranked by volume or urgency, with the actual customer quotes behind each one, rather than a single summary paragraph.
You can define the metrics or recurring questions you care about, such as which features get complained about most, so the report answers something specific.
You want the report delivered on a schedule, to email, Slack or a dashboard, rather than someone having to run an analysis manually each month.

Not the right fit if

You mainly want incoming feature requests deduplicated and prioritized for the roadmap, not general sentiment grouped into themes. See AI Feature Request Triage.
Your source material is research interviews or session transcripts, not day-to-day support and review feedback. See AI User Research Synthesis.
You want the themes turned directly into drafted specs and backlog updates, not just a report. See AI Product Manager Agent.
You run customer experience and want themes from tickets, calls and surveys tracked over time with alerts. See AI Customer Feedback Intelligence, built for CX teams.
You only need open-text survey verbatims themed per survey wave. See AI Survey Analysis, built for research and insight teams.
You need feedback synthesis connected to more than three read-only data sources. Add a note at checkout for a written Change Quote, or use our Custom AI inquiry form.

How it works

  1. Feedback is pulled from up to three sources. Support tickets, reviews, survey responses or wherever customers already leave comments, connected as read-only so nothing is altered at the source.
  2. It is grouped into themes, not just tagged. Similar comments about the same underlying issue are clustered together, even when customers describe it in different words.
  3. Themes are ranked by what you defined. Volume, recency or urgency, based on the metrics and recurring questions you set during intake, so the ranking reflects what actually matters to you.
  4. Each theme keeps its supporting quotes. So when a theme is rising, you can see the actual language customers used, not just a number.
  5. A recurring report is delivered on schedule. To email, Slack or a dashboard, whichever channel your team already checks, with up to five alerts for themes that cross a threshold.
  6. Results are checked against your own history first. Three months of your historical data are used to confirm the themes it surfaces match what your team already knows is true.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Read-only access to each feedback source you want included.
  • Your definitions of the key metrics or recurring questions the report should answer.
  • At least three months of historical feedback data, so results can be checked against what you already know.
  • The report recipients and the delivery channel, whether that is email, Slack or a dashboard.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can sign off on the finished setup.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can help the team notice rising issues sooner.
  • Makes it easier to back product decisions with customer quotes.
  • Helps reduce the time spent reading feedback by hand.
Hours spent reviewing feedback
Ask the product team to log weekly hours on reading feedback for a month before launch. Repeat for a month after.
Themes that lead to action
Each quarter, count report themes that resulted in a ticket, fix or decision. Compare quarter on quarter.
Time from first mention to action
Compare the date a theme first appears in the report with the date a related ticket is created.

Before you start: Record weekly hours spent reading feedback today. Write down the top themes you believe exist, so you can compare them with the first report.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $20 to $150 a month in AI model usage and hosting or scheduler costs, depending on feedback volume and report frequency.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Questions about this product

How much does AI Feedback Synthesis cost?

The build price for each delivery speed is shown in the panel on this page. It covers connecting up to three read-only feedback sources, theme grouping and ranking against the metrics you define, results checked against three months of your history, and two rounds of changes. Everything sits on the Scope Card, so nothing is added without a written quote.

How does it decide which themes matter most?

By the metrics and recurring questions you define during intake, such as which features generate the most complaints or which issues are rising fastest. Themes are ranked using those definitions rather than a generic scoring model, so the report reflects what your team has actually decided matters.

How long does AI Feedback Synthesis take to launch?

Delivery time for each speed is in the panel on this page. The clock starts once your intake is submitted, including read-only access to each feedback source, the metrics you want themes ranked by, and three months of history for checking results. That history lets us test the themes against feedback your team already knows well.

What feedback sources can it read?

Up to three read-only data sources, such as support tickets in Zendesk or Intercom, app store or review site feedback, and survey responses. Access is shared by adding our team as a user or creating a key you control, never by email, and nothing is written back to the source, so your feedback systems stay untouched.

Will it just count mentions, or actually group related feedback?

It groups related comments into themes even when customers describe the same issue differently, and keeps the supporting quotes attached to each theme. That is different from simple keyword tagging, which tends to miss feedback that describes the same problem in unrelated words.

Can I add more sources or change the metrics later?

Small adjustments, such as a revised metric definition or a new alert threshold, fit inside the monthly change hours included with maintenance. A feedback source beyond the three included, or a second delivery channel, is scoped and quoted separately as an add-on, so the cost is agreed in writing before any work starts.

What does running Feedback Synthesis cost each month?

Roughly $20 to $150 a month in AI model usage and hosting or scheduler costs, paid directly in your own accounts, scaling with feedback volume and how often the report runs. We do not add a markup on top, so the running cost tracks your actual usage rather than a flat fee.

Do I own the reports and the setup afterward?

Yes. The report configuration runs on your own accounts and delivery channel, not ours, so there is nothing to migrate if you change tools later. The 30 days of post-launch support cover fixing anything that does not match the Scope Card, and monthly maintenance afterward is optional.
