AI HR Assistant
Answers employee HR questions from your policies and routes requests.
New hires get accounts, equipment and a first-week schedule set up automatically from the moment they accept.
A new hire's first day says a lot about your company. When accounts are missing, the laptop has not arrived and nobody booked the welcome meeting, it says the wrong thing. This workflow runs your onboarding checklist the moment a start date is confirmed: access requested, equipment assigned, first-week meetings booked. If a step stalls, the person you named hears about it first.

AI Employee Onboarding runs your new-hire setup process in the background: creating accounts, assigning equipment and scheduling first-week meetings, triggered the moment a start date is confirmed. It follows the steps your team already uses, with one AI step to draft or decide where you allow it, and alerts a named person if anything stalls.
Onboarding is usually held together by one busy person and a spreadsheet. When that person is out or swamped, steps slip, and a new hire spends day one waiting for logins. That first impression is hard to undo. This workflow follows your own checklist every time, across the systems you already use, and raises an alert when something fails instead of letting it slide. Your Scope Card lists the trigger, the connected systems, every step and the alert contact up front, so you know exactly how each new start will be handled.
Once a start date is confirmed, the workflow begins account creation and equipment assignment. Setup runs in the background, so day one is ready rather than rushed.
The workflow follows the steps your team already uses, written down as up to twelve steps. Onboarding no longer depends on who happens to be in that week.
First-week meetings are scheduled as part of the same workflow. The new hire and their manager can see the whole week planned well before the start date.
If any step stalls, a named person is alerted. Problems surface while there is still time to fix them, not when the new hire is waiting at reception.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $3,400 |
| Express | 15–25 working days | $4,000 |
| Rush | 10–20 working days | $4,600 |
Before you start: Ask managers of recent hires what was missing on day one. Estimate the HR and IT time each setup took.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running it afterwards is billed in your own accounts and typically runs about $20 to $100 a month for the automation platform and AI model usage, depending on how many new hires you onboard.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionMonthly maintenance covers monitoring, fixes and change hours for new steps, a revised welcome schedule or an extra system connection. The hours scale with the build. Maintenance starts after the 30 days of included support, bills monthly, and can be canceled any month.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | An HR workflow platform charges a monthly seat fee whether you hire or not | An HR consultancy bills hourly to map and document the process | Ours is one fixed price, shown before you buy |
| Scope | A workflow platform gives you generic templates to configure yourself | A consultancy's scope depends on the engagement agreed | Ours is written on the Scope Card before purchase |
| Delivery | A workflow platform is live immediately but untrained on your steps | A consultancy usually takes several weeks to map and build | Ours has a fixed delivery time shown before you buy, with faster options |
| Missed steps | A workflow platform still relies on someone configuring alerts correctly | An agency build depends on what was agreed and documented | Ours alerts your named contact automatically when a step fails |
The build is one fixed price, shown on this page before you buy, and express or rush delivery is available for a set extra cost if a hiring wave is close. Running it afterwards costs roughly $20 to $100 a month across your automation platform and AI usage, paid in your own accounts.
No. It runs in the background with no employee-facing channel; it creates accounts, assigns equipment and schedules meetings on the new hire's behalf. If you also want employees able to ask onboarding questions themselves, that is a separate build, such as AI HR Assistant, which answers questions in a chat channel.
The person you name during intake receives an alert as soon as a step fails or stalls, with enough detail to fix it before the new hire's start date. This is built and tested during the 20 test runs on your sample data, so failure handling is verified before launch, not discovered afterward.
Expect to spend one to two hours describing their current onboarding process and gathering system access inside the 72-hour intake window. After that, expect around an hour reviewing the 20 test runs, plus the 45-minute recorded handoff session before launch.
Small adjustments to existing steps fit inside the monthly change hours included with maintenance. Adding a fourth connected system or going past 12 steps is a defined add-on, quoted and agreed before that work starts, so you always know the cost first.
Yes. Access to each connected system is shared by adding our team as a user or creating a key you control, never by email, and the workflow only moves the fields your systems already store, such as name, role and start date. It does not create a separate copy of employee records outside your existing HRIS.
No one is hired or assigned by this workflow. It only runs the setup steps after a start date is already confirmed in your systems; the one AI step drafts content or picks a pre-approved onboarding track, and every account and equipment decision follows rules your team set.
You can move to monthly maintenance, or stop there with a fully working workflow and no ongoing commitment. Either way, the workflow configuration and system connections remain yours and keep running exactly as built and tested. Maintenance covers monitoring, fixes and change hours for new steps, a revised welcome schedule or an extra system connection.
Order AI Employee Onboarding and it starts running your setup checklist on a fixed delivery date, so every new start gets the same welcome. The scope above is what you get, in writing, before you pay.
