Knowledge Assistants

AI Company Knowledge Hub for Construction

Estimators, site leads and office staff get cited answers on quotes, site procedures and current documents without phoning the project manager.

Construction teams waste hours hunting for the current drawing, the last quote for a similar job or the latest site update, and the project manager's phone never stops. This hub answers those questions from your project management tool, document storage and email, with the source file cited. Estimators, office staff and site leads get the same answer, and commercial documents stay with the people who should see them.

  • Site teams check the current revision before work starts
  • Estimators reuse past assumptions and standard exclusions in quotes
  • Project managers field fewer status calls from clients and subcontractors

What it is

AI Company Knowledge Hub for Construction is a cited Q&A assistant over your project management tool, document storage and email, built around enquiry qualification, quote preparation, site updates and document control. Estimators and site staff ask in plain language and see the file behind each answer. Commercial files stay with the right people.

Why businesses buy it

On a construction project, working from an old revision is expensive: rework, delays and disputes that eat the margin. Estimators also lose days rebuilding quotes from scratch, and project managers spend evenings answering status questions. This hub gives everyone a cited answer from your own project files, so the current document is easy to find, past work gets reused and fewer questions reach the project manager. The Scope Card fixes the sources, document volume, permission groups and testing before you order, so you know exactly what you are getting.

Problems this solves

Site staff cannot find the latest drawing or spec while on site

Site staff ask in plain language from a web app, Slack or Microsoft Teams. The hub answers from your project management tool and document storage and shows the file behind each answer.

Estimators rebuild quotes without the lessons from past jobs

Workflows for enquiry qualification and quote preparation draw on past project documents and email. Estimators can see what was done before and reuse it, with the source file linked.

Commercial files must not reach every subcontractor or site team

Permission groups keep commercial files with the right people. Document control questions are still answered for everyone, using the sources each group is allowed to see.

A good fit if

Specifications, method statements and revised drawings pile up in document storage, and nobody is sure which revision is current.
Estimators rebuild quotes from scratch because past assumptions and standard exclusions are buried in old files and emails.
Clients and subcontractors ask for site updates, and the answer is in the project management tool if someone has time to look.
New enquiries need checking against the work you take on, such as job size, location or type, before anyone spends time quoting.

Not the right fit if

You want tasks, deadlines and blockers tracked and status posted to the team. See AI Project Manager Agent.
You need documents routed for approval with sign-off tracked. See AI Document Approval.
You want new enquiries qualified by talking with the prospect directly. See AI Lead Qualification Agent.
Your questions all come from one specification or one tender pack. See AI Document Q&A.

How it works

  1. Up to 3 sources connect, usually your project management tool, document storage such as Google Drive, and email, with up to 2,000 documents indexed across them.
  2. The Construction intent library sorts questions into enquiry qualification, quote preparation, site updates and document control, using the trade terms your clients and subcontractors use.
  3. Asked whether an enquiry fits, the hub returns your qualification criteria and any similar past jobs on file, each cited, so the decision rests on your own rules.
  4. Quote preparation questions surface standard inclusions, exclusions and earlier assumptions from past quotes, so estimators start from the firm's record.
  5. Document control questions return the file that answers them with its citation, so staff can see which revision was used and retire superseded copies.
  6. Up to 3 permission groups, for example office, estimating and site, decide who sees pricing, and 60 benchmark questions from construction scenarios run before launch.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to your project management tool, document storage and the email inbox you want indexed, up to three sources.
  • Your user list by role, such as office, estimating and site teams, with what each may see.
  • 30 sample questions and the answers you expect, covering enquiries, quotes, site updates and documents.
  • Your construction policies and service information: the work you take on, standard quote inclusions and exclusions, and document naming rules.
  • Admin access for each connected source and a workspace admin for sign-in.
  • One director or operations lead to approve the groups and the benchmark answers.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can help site teams work from the current document
  • Helps estimators reuse what worked on earlier jobs
  • Keeps commercial information with the right people
Requests for information to the office
Count site requests for documents each month from email or your project tool, before and after launch.
Quote preparation time
Ask estimators to log hours per quote for a few quotes before launch and a few after.
Rework from outdated documents
Log rework traced to superseded drawings or specs and compare the quarter before and after launch.

Before you start: Count site document requests for a month and log hours on recent quotes. Note any rework caused by outdated documents.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Ongoing costs of roughly $50 to $300 a month for AI model usage, the vector database and hosting sit in your own accounts, scaling with the number of indexed files and how often the team asks. Project management and storage subscriptions carry on as they are.

AI usage during build and testing is billed to your accounts too.

Custom requirements

If you want WhatsApp site threads added as a fourth source, more than 2,000 documents, or separate groups per project, add a note at checkout. A written Change Quote follows, and that work starts only once you accept it. Larger or bespoke projects go through the Custom AI request form.

Keep it running

Monthly maintenance for this edition covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes, for example indexing a new project's documents or updating quote rules. It starts after the 30 days of support.

$620/mo (5% of the build price a month, includes 6 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can the Construction hub tell us which drawing revision is current?

It cites the document behind every answer, so the revision used is always visible. If superseded drawings sit in the same connected source, the citation shows which file answered and your team can retire the old copy. The monthly content refresh brings in newly issued revisions, and the benchmark run helps catch conflicts before launch.

Does the Construction hub prepare quotes for our estimators?

No, it supports them. It returns standard inclusions, exclusions and assumptions from your earlier quotes and documents, each with a citation, so an estimator starts from the firm's record instead of a blank page. Pricing decisions and the quote itself stay with your estimating team.

Can subcontractors or clients ask the Construction hub directly?

No. It is an internal assistant for up to 50 users on one interface. The intent library understands how clients and subcontractors phrase site and document questions, so office staff can answer them quickly with a citation. A client-facing assistant would be a separate build, such as AI Website Chatbot.

Can site updates shared on WhatsApp be included?

Yes, within the source limit. WhatsApp is a typical integration for this edition, but the Scope Card covers up to 3 content sources. If your project tool, storage and email already fill those, WhatsApp is added as a fourth source through a Change Quote, or chosen in place of email at intake.

How is quote pricing kept away from site teams?

Through up to 3 permission groups, for example office, estimating and site. Retrieval checks the asker's group on every question, so someone outside estimating never receives a passage from a restricted pricing file, however the question is worded. Groups are agreed at intake and approved by you before go-live.

When can site and office teams start using the Construction hub?

The hub goes live on a fixed delivery schedule from a verified intake, and the delivery panel shows that date plus express and rush options before you order. Intake is due within 72 hours of ordering, and each day late moves delivery by 3 working days, so ready access to your project tool keeps the date.

What will the Construction hub cost each month?

Roughly $50 to $300 a month, paid in your own accounts for AI model usage, the vector database and hosting. Large drawing and document sets push it toward the top of the range. The build itself is paid once, and monthly maintenance is optional.
