AI Purchase Order Agent
Creates and tracks purchase orders from approved requests.
Vendor bills in NetSuite matched to their purchase orders, approved within your limits and queued for a payment run you release.
When purchase orders live in NetSuite, every vendor bill should be checked against its PO before anyone approves it. In practice that check depends on who reviews the bill that day. This agent matches each vendor bill to its purchase order and item receipt, holds mismatches, routes the rest by your approval limits, and proposes payment runs that only a person can release.

AI Accounts Payable Agent for NetSuite runs invoice intake, purchase order matching and approval routing against your NetSuite account. Through a token-based authentication role, it reads and updates vendor bills and purchase orders, holds mismatches for review, and proposes payment runs from approved bills. A person releases each run. Every decision is logged for audit.
Paying a bill that does not match its purchase order is one of the most common ways cash leaks from a growing business. When matching depends on individual reviewers, overbilling and duplicate bills get through, and the close takes longer. After this build, every vendor bill is compared with its PO and receipt before approval, and your limits are enforced the same way each time. The agent works through a token-based role you can audit. The Scope Card sets out the workflows and mapping in writing before you buy.
The agent reads and updates vendor bills and purchase orders in NetSuite, holding any mismatch for review. Bills that match move on to approval routing.
Each bill is routed using up to six workflows with your approval rules. Approvers see what needs them, and every decision is logged for audit.
The agent proposes payment runs from approved bills only. A person releases each run. Access runs through a token-based authentication role you control, scoped by the documented field mapping.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

Before you start: Run a saved search of last month's vendor bills and note matching status and approval times.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running costs are roughly $50 to $250 a month for AI model usage and hosting, in your own accounts. NetSuite licenses and plan changes are not part of this build, so your NetSuite contract is untouched.
Usage during build and testing is billed to you as well. This build supports your AP process and is not regulated financial, tax or investment advice.

How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | An AP suite for NetSuite usually charges a yearly subscription | A NetSuite partner quotes after discovery | Ours is one fixed price, shown before you buy |
| PO matching | Configured by your own team inside the suite | Scoped during the project | Ours compares each invoice with its NetSuite purchase order |
| Access | Often a broad integration user | Agreed with the partner | Ours uses a token-based role you control |
| Delivery | Implementation can run for weeks | Set per project | Ours has a fixed delivery time shown before you buy, with faster options |
Everything the agent can see or change. Your admin creates the role and grants only the permissions agreed for payables, mainly vendor bills and purchase orders. If the role cannot reach a record, neither can the agent, and you can review or revoke the role from NetSuite whenever you choose.
By the PO reference, vendor and line details. It reads the purchase order in NetSuite and compares quantities and prices with the invoice, inside the tolerances you set. A missing PO or a difference beyond tolerance goes to your exceptions queue, not to an approver.
Only if receiving data is available to it. The NetSuite mapping covers vendor bills, invoices, customers and purchase orders. If you record deliveries in a separate warehouse or receiving tool, that can be the one additional system, giving the agent delivery confirmation before a bill is approved.
It is built on the core AI Accounts Payable Agent with a NetSuite connection added. That covers the token-based authentication role, purchase order and item receipt matching, and a documented field mapping for vendor bills and segments. The extra configuration is already part of this edition's fixed price and timeline, shown on this page before you order.
Yes. Each of the up to six workflows can carry its own approval rules, for example a lower limit for new vendors or a second approver above a set amount. The decision is written to the vendor bill on the agreed mapping, so NetSuite shows who approved it.
No. The 50 documented scenarios run on a NetSuite sandbox or test records, covering clean matches, price differences, missing purchase orders and limit breaches. Results are shared with you, and two rounds of changes follow, before the agent works on any live vendor bill.
No. It proposes a payment run from approved vendor bills, sorted by due date, and a named person reviews and releases it. Nothing is paid without that release. The agent applies the rules you approved and does not offer regulated financial, tax or investment advice.
