Actual spend compared to budget by line, with plain-language reasons for the variances that matter.
A budget is only useful if you know when and why reality drifts from it. In most businesses, that means someone comparing spreadsheets line by line and guessing at the reasons. This build compares actual spend to budget by category or cost center, ranks the variances that matter most, and explains them in plain language, delivered by email, Slack or a dashboard.

AI Budget Analysis compares your actual spend to budget by category or cost center, and explains the variances in plain language rather than leaving you to interpret a spreadsheet. It delivers by email, Slack or a web dashboard. The biggest variances are listed first.
When budget reviews depend on manual spreadsheets, variances are found late and explained vaguely, so managers stop trusting the budget at all. Overspending carries on for months before anyone acts. After this build, you get a regular, ranked view of where actuals have moved away from plan and why, so budget holders can respond while it still matters. Your finance team spends its time on conversations, not formulas. The Scope Card lists the data sources, lines and schedule before you pay.
Actual spend is compared with budget by category or cost center on a schedule. Alerts can warn you when a line drifts, while there is still time to respond.
Each variance is explained in plain language instead of being left as a figure in a cell. Budget holders can see what drove the gap without booking time with finance.
The largest variances are listed first in the report or dashboard. Leaders can focus on the few lines that matter most, then look at the rest if needed.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $3,900 |
| Express | 15–25 working days | $4,600 |
| Rush | 10–20 working days | $5,250 |
Before you start: Record your current budget, last quarter's variances and how long the review takes. Note which overruns were found late.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running it afterwards costs roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, billed directly in your own accounts. Build and test usage follows the same rule, so every provider relationship stays yours.
Ask about running costsIf you need a fourth data source or more than 25 budget lines tracked, add a note at checkout. You get a written Change Quote before any extra work starts. Larger or bespoke projects go through the Custom AI request form.
Request a custom versionWe recommend monthly maintenance: monitoring, fixes and a monthly allowance of change hours, enough to add a budget line or retune a variance threshold each period. It starts after the 30 days of included support.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A budgeting platform charges a monthly seat fee across finance and department heads | A custom variance build is quoted after discovery calls | Ours is one fixed price, shown before you buy |
| Scope | A generic budgeting tool leaves variance rules and thresholds to you | An agency agrees scope as the project develops | Ours is written on the Scope Card, including the 25-line limit |
| Delivery | Self-serve budgeting tools still take weeks to configure per department | An agency project usually runs several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Explaining variance | Most tools show the percentage over or under with no explanation | An agency build depends on what was specified | Ours writes the likely reason where the data supports one |
Where the underlying data supports a reason, such as a vendor concentration or a timing shift, it writes that explanation in plain language alongside the variance figure. It builds this from at least three months of your historical actuals. Where the data does not support a clear reason, it says so rather than guessing at a cause.
AI Budget Analysis compares actual spend to budget by line and explains variances. AI Cash Flow Assistant projects your future cash position from receivables and payables. Both share the same data-source and metric limits, but one looks backward at budget performance while the other looks forward at cash timing.
Up to three read-only sources, commonly your accounting system for actuals plus a spreadsheet or planning tool for budget figures. You grant read-only access, so nothing is written back. If your budget lives somewhere outside the usual list, tell us during intake and we confirm it connects within scope.
Roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, paid directly in your own accounts. The figure depends on how often the comparison runs and how many sources it reads. There is no separate ongoing platform fee from Upmark Labs beyond the one-time build price.
Yes. Adding a line within the 25-line limit, or adjusting a variance threshold, fits inside the monthly change hours that come with maintenance. Expanding past 25 lines or adding a fourth data source is a bigger change, quoted as a Change Quote before that work starts.
Yes. Access credentials are shared by adding our team as a user or creating a key you control, never sent by email, and connections are read-only, so your accounting and planning systems are never altered. Output stays inside the report or dashboard you configured. Role-based access and audit logging are available as add-ons for stricter policies.
You set the threshold during the build, based on your own three months of historical variance, so what counts as normal for one cost center may differ from another. Two rounds of changes before launch let you tighten or loosen the threshold once you see real variance data flagged.
Yes, plans bill monthly with no lock-in and can be cancelled for any coming month. The 30 days of support included with the build continue regardless of whether you take a plan. If you cancel, the comparison keeps running on its existing configuration until you change something.
