AI Expense Audit

Every expense checked against your written policy, with violations queued for a person to decide.

Expense policies only work if someone checks every claim, and in most businesses nobody has the time. Missing receipts, over-limit meals and unapproved vendors slip through and surface at audit. This build checks every expense claim against your written policy, from spend limits to receipt rules and allowed vendors, and queues each breach for a person to decide. Nothing is silently approved.

What it is

AI Expense Audit checks every expense claim against your written policy: spend limits, receipt rules, approved categories and allowed vendors. Anything that breaks a rule is queued for review, not silently approved. It delivers by email, Slack or a web dashboard. Your reviewers decide, with the rule and the receipt in front of them.

Why businesses buy it

Spot checks catch a fraction of policy breaches, and the rest become an uncomfortable conversation at audit time or a slow leak of money. Checking every claim by hand is not realistic for a busy finance team. After this build, every claim is tested against the same rules, consistently, and only the exceptions reach a reviewer with the receipt and the broken rule side by side. Staff learn the policy faster because feedback is quick. The Scope Card lists the rules, sources and outputs before you pay.

Problems this solves

Claims break policy but get approved because reviewers are rushed

Every expense claim is checked against your written policy, including spend limits, receipt rules, approved categories and allowed vendors. Breaches are queued for review rather than silently approved.

Missing receipts are only found when the accountant asks

Receipt rules are part of the check, so a claim without the right receipt is flagged straight away. The reviewer sees the rule and the receipt side by side.

Different managers apply the expense policy in different ways

The same written rules are applied to every claim, whoever submitted it. Your reviewers still make the call, but they start from one consistent check instead of their own reading.

Spending with unapproved vendors goes unnoticed

Your list of allowed vendors is one of the audit rules. A claim at a vendor outside that list is queued with the rule shown, so the reviewer can query it.

A good fit if

You have a written expense policy, but nobody has time to check every claim against it line by line.
Policy violations, such as missing receipts, over-limit claims or disallowed categories, are slipping through today.
You want a queue of exceptions for a reviewer to act on, not a flood of every transaction.
You already export claims or ledger data from a system like QuickBooks, Xero, NetSuite or Google Sheets.

Not the right fit if

You want a broader read on spending trends and category movement, not policy checking specifically. See AI Expense Analysis.
You want your team to be able to ask policy and ledger questions directly, rather than receive an exceptions queue. See AI Finance Assistant.
The problem is monthly close, not day-to-day expense compliance. See AI Financial Close Assistant.
You need more than three data sources or more than 25 policy rules tracked. Add a note at checkout for a Change Quote.

How it works

  1. You define the policy. Spend limits, receipt requirements, approved categories and vendor rules become the up-to-25 tracked definitions it checks against.
  2. You connect the claim data. Up to three read-only sources, such as your accounting system and expense tool, feed the audit.
  3. It checks every claim automatically. Amount, category, receipt presence and vendor are compared against your rules as claims come in or on a schedule.
  4. Violations go to a queue, not a bin. Nothing is auto-rejected. Anything that breaks a rule lands in the exceptions queue for your reviewer to approve, correct or reject.
  5. You get a recurring compliance report. Delivered by email, Slack or a web dashboard, with up to five alerts for the exception types you care about most.
  6. You review and tighten the rules. Two rounds of changes before launch let you reduce false flags once you see real exceptions.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Read-only access to each expense data source you want audited.
  • Your written expense policy: limits, categories, receipt rules and vendor restrictions.
  • At least three months of historical claims to test the rules against.
  • The list of report recipients and the channel they should receive it on.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the policy rules and exception thresholds.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can stop out-of-policy claims being approved by accident
  • Helps reviewers decide faster with the rule and receipt in one place
  • Makes policy checks the same across every team
Out-of-policy claims caught
Use the exceptions report to count queued claims that reviewers rejected or corrected each month.
Claims missing receipts at month end
Compare claims without receipts at close for the month before launch with each month after.
Reviewer time per claim
Time a sample of claim reviews before launch and again a month after, using the same reviewers.

Before you start: Note how many claims you process a month and how many your accountant later queries. Time a few typical reviews too.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it afterwards costs roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, billed directly in your own accounts. Usage during build and testing follows the same rule, so every provider relationship stays yours, not ours.

Custom requirements

If you need a fourth data source or more than 25 policy rules tracked, add a note at checkout. You get a written Change Quote before any extra work starts. Larger or bespoke projects go through the Custom AI request form.

Keep it running

Monthly maintenance covers monitoring, fixes and change hours each month, enough to add a new policy rule or retune a threshold that is flagging too much. It starts after the 30 days of included support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does AI Expense Audit ever auto-reject a claim on its own?

No. It checks every claim against your written policy and queues anything that breaks a rule for a person to review, approve, correct or reject. It never makes the final call itself. That keeps the decision with your finance team while removing the manual work of checking every line against the policy by hand.

What is the difference between AI Expense Audit and AI Expense Analysis?

Audit checks claims against your written policy and queues violations for review. Analysis looks at broader spending patterns and flags unusual trends, without checking compliance rule by rule. Many finance teams run both together, connected to the same data sources, for compliance on one side and trend visibility on the other.

How does it handle receipts and missing documentation?

If your policy requires a receipt above a certain amount and one is missing, that claim is flagged and sent to the exceptions queue rather than approved automatically. You define the receipt rule and the threshold during intake. Two rounds of changes before launch let you adjust the rule if it is flagging too aggressively.

How much does AI Expense Audit cost to run each month?

Roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, paid directly in your own accounts rather than to us. The exact figure depends on claim volume and how often the audit runs. There is no separate ongoing platform fee from Upmark Labs on top of the one-time build.

Can we add a new policy rule after launch?

Yes. A single new rule, such as a change to a spend limit or an added vendor restriction, fits inside the monthly change hours included with maintenance. Expanding past the 25 tracked rules or adding a fourth data source is a larger change, quoted as a Change Quote before the work starts.

Is our expense and claims data handled securely?

Yes. Access credentials are shared by adding our team as a user or creating a key you control, never sent by email, and connections to your data sources are read-only, so nothing in your accounting system is altered. Exception data stays inside the report or dashboard you configured. Role-based access and audit logging are available as add-ons for stricter internal policies.

What happens during the three months of historical testing?

We run your policy rules against at least three months of real historical claims before launch, so you see what would have been flagged and can judge whether the rules are too strict, too loose, or right. Adjustments from that review are covered in the two included rounds of changes before you go live.

Can AI Expense Audit maintenance be cancelled after launch?

Yes, plans bill monthly with no lock-in contract and can be cancelled for any coming month. The 30 days of support included with the build continue either way. If you cancel a plan, the audit keeps running on its existing rule set until you choose to change something yourself.

Stop chasing policy violations after the fact.

Order AI Expense Audit and every claim is checked against your policy, with breaches queued for a reviewer, on a delivery date fixed before you pay.
