AI Expense Audit for Zoho Books
Checks expense claims against policy and flags exceptions, connected natively to Zoho Books so it reads and updates expenses, receipts, vendors and…
A recurring read on where spend is going, which categories moved, and which single expenses look unusual.
Most businesses only find out where the money went when the quarter is already over. By then, a creeping subscription or a vendor that doubled its charges has quietly cost you. This build reads your spending data on a schedule, tracks each category and vendor month to month, and flags single expenses that break your normal pattern, delivered by email, Slack or a dashboard.

AI Expense Analysis reads your spending data on a schedule, tracks how categories move month to month, and flags individual expenses that break your normal pattern. It delivers by email, Slack or a web dashboard. You see which categories and vendors moved, and why it matters.
Spending rarely jumps all at once. It creeps: an extra tool here, a vendor price rise there, a category that grows a little each month. Without a regular read, those changes only surface at year end, when they are hard to reverse. After this build, you get a clear, recurring picture of where money is going and an early alert when something looks unusual, so you can act while it is still small. The Scope Card lists the data sources, metrics and schedule before you buy.
The analysis reads your spending data on a schedule and tracks each category month to month. When a category moves, you see which vendors drove it and why it matters.
It flags individual expenses that break your normal pattern, such as an unusual amount or a new vendor. Up to five alerts can point your team straight at them.
One dashboard or recurring report arrives by email, Slack or the web. It covers up to 25 metrics you define, so the review lands ready to read rather than ready to build.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $3,900 |
| Express | 15–25 working days | $4,600 |
| Rush | 10–20 working days | $5,250 |
Before you start: Record your monthly spend by main category for recent months. Note how long the current review takes to prepare.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running it afterwards costs roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, billed directly in your own accounts. Build and test usage is billed the same way, so every provider relationship stays yours.
Ask about running costsIf you need a fourth data source or more than 25 tracked metrics, add a note at checkout. You get a written Change Quote before any extra work starts. Larger or bespoke projects go through the Custom AI request form.
Request a custom versionMonthly maintenance covers monitoring, fixes and change hours each month, enough to add a new category or adjust an alert threshold as spend shifts. It starts after the 30 days of included support and bills monthly.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A spend analytics tool charges a monthly subscription per connected account | A custom dashboard build is quoted after discovery calls | Ours is one fixed price, shown before you buy |
| Scope | A generic analytics tool leaves category and alert setup to you | An agency agrees scope as the project develops | Ours is written on the Scope Card, including the 25-metric limit |
| Delivery | Self-serve dashboards still need weeks of internal configuration | An agency project usually runs several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Unusual spend | A generic tool flags outliers using default statistical rules | An agency build depends on what was specified | Ours is tuned to your own three-month baseline and thresholds |
It builds a baseline from at least three months of your own historical data, broken down by the categories and vendors you define. New expenses are compared against that baseline, and anything well outside your normal pattern triggers one of up to five alerts. You set the thresholds during the build, and two rounds of changes let you tighten or loosen them before launch.
No, it reports on patterns rather than checking claims against written rules. If you need every expense checked against your policy with violations queued for review, that is AI Expense Audit, a separate build. Many finance teams run both: analysis for trends, audit for compliance, connected to the same data sources.
Up to three read-only sources, commonly QuickBooks, Xero, Zoho Books, NetSuite, Tally, Stripe or Google Sheets. You grant read-only access so nothing is written back to your accounts. If you use a system outside that list, tell us during intake and we confirm whether it connects within scope.
Roughly $20 to $150 a month for AI model usage and hosting or scheduler fees, paid directly in your own accounts. The figure depends on how often the report runs and how many sources it reads. There is no separate ongoing platform fee charged by Upmark Labs beyond the one-time build.
Yes. You list every recipient and the channel, email, Slack or a web dashboard, during intake, and the report or alerts go out on the schedule you set. Changing the recipient list later is a small change that fits inside the monthly change hours included with maintenance.
Access credentials are shared by adding our team as a user or creating a key you control, never sent by email, and the connections are read-only, so nothing is changed in your source systems. Data stays inside the report or dashboard you configured. If your policy requires stricter controls, role-based access and audit logging are available as add-ons.
Add a note at checkout describing the extra source, and you get a written Change Quote before that work starts. Many businesses begin with three core sources and add a fourth, such as a card provider, once the first version is live and proven useful.
Yes, plans bill monthly with no lock-in and can be cancelled for any coming month. The 30 days of support included with the build run regardless of whether you take a plan afterwards. If you cancel, the analysis keeps running on its existing configuration until you change something yourself.
