AI Expense Audit for Zoho Books
Checks expense claims against policy and flags exceptions, connected natively to Zoho Books so it reads and updates expenses, receipts, vendors and…
Finance questions answered from your own ledgers, policies and reports, with sources shown, in seconds.
Your finance team answers the same questions every week: which account does this go to, who approves that, what did we spend last quarter. Each answer means digging through ledgers and policy files. This assistant answers from your own chart of accounts, approval rules, invoices and reports, and shows the source every time. When it does not know, it hands the question to a person.

AI Finance Assistant answers your finance team's questions by reading your chart of accounts, approval rules, invoices and reports, and replying with the figure or policy line plus its source. It runs in a website widget, Slack or Microsoft Teams. If the answer is not in your documents, it says so and hands the question to a person.
Every repeat question pulls a skilled finance person away from closing the books, analyzing spend or advising the business. New staff and managers outside finance ask the most, and wrong guesses lead to miscoded spend and missed approvals. After this build, those questions get a correct, sourced answer in the tools your team already uses, and finance gets its focus back. The Scope Card lists the documents, channels and limits before you pay, so you know exactly what the assistant will know and where it will answer.
The assistant answers from your chart of accounts, approval rules, invoices and reports. It replies with the figure or policy line plus its source, so colleagues can help themselves.
Staff can ask which account or cost code applies and get an answer from your own chart of accounts. Each reply cites its source document, so the guidance is easy to check.
Every answer comes from the same approved set of up to 100 documents or 200 web pages. If the answer is not in them, the assistant says so rather than guessing.
Anything outside its documents or its five set intents goes to a person. The handoff uses one agreed route, such as email or your helpdesk, so nothing is left hanging.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $3,400 |
| Express | 15–25 working days | $4,000 |
| Rush | 10–20 working days | $4,600 |
Before you start: For two weeks before launch, tally the questions finance answers by hand. Also note how many miscodings you correct each month.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running the assistant afterwards costs roughly $30 to $150 a month, covering AI model usage and hosting, billed in your own accounts so you keep ownership of the provider relationship. Usage during the build and test phase is billed the same way, in your accounts, not ours.
Ask about running costsIf your question set or document count runs past the Scope Card, add a note at checkout. You get a written Change Quote, and the work only starts once you accept it. Larger or bespoke projects go through the Custom AI request form.
Request a custom versionAfter the 30 days of included support, maintenance is optional and monthly: monitoring, fixes, model and platform updates and a monthly health report. Change hours cover small updates like a revised approval limit, new policy documents or a new FAQ. Bigger changes need a Change Quote. Cancel any month.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A chatbot platform charges a recurring seat or usage fee before you have asked a single question | A custom build is quoted after discovery calls, with the total unclear until the end | Ours is one fixed price, shown before you buy |
| Scope | A generic chatbot needs you to configure the finance knowledge yourself | An agency agrees scope as the project goes | Ours is written on the Scope Card before purchase, including the 100-document limit |
| Delivery | Self-serve tools still take weeks of internal setup to be useful | An agency project usually runs several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Answer sourcing | Many chatbots answer without showing where the figure came from | An agency build depends on what was specified | Ours cites the document or ledger line behind every answer |
It is built only from your finance documents: chart of accounts, approval rules, invoices and reports. A general chatbot answers from whatever you feed it broadly, which means finance questions get generic or incomplete replies. This assistant is scoped to up to 100 finance documents or 200 web pages, so its answers stay grounded in the numbers and policies you actually run on.
It says so rather than guessing, then hands off to the escalation email or helpdesk you set up during intake. It only answers from the chart of accounts, rules and documents you approved, so it never invents a policy or a figure. You can add the missing document or FAQ afterwards through monthly maintenance.
Yes. Access to your systems is shared by adding our team as a user or creating a key you control, never sent by email, and the assistant only reads what you connect it to. It does not push data anywhere beyond the channel you chose. Data retention and deletion rules, single sign-on and audit logging are all available as add-ons if your policy requires them.
Roughly $30 to $150 a month for AI model usage and hosting, paid directly in your own accounts rather than to us. The exact figure depends on how many questions your team asks. There is no separate platform fee from Upmark Labs on top of the one-time build price.
Yes. Small additions, such as an updated policy document or a handful of new FAQs, fit inside the monthly change hours included with maintenance. A larger expansion, like doubling the document limit or adding a second language, is quoted as an add-on or a Change Quote before the work begins.
Expect to spend one to two hours gathering the chart of accounts, approval rules and top 20 FAQs within the first 72 hours. After that, expect about an hour reviewing the 40 test questions, plus the 60-minute recorded handoff session at launch. The bulk of the work is ours.
Yes. Maintenance bills monthly and can be cancelled for any month going forward, with no lock-in contract. The 30 days of support included with the build continue regardless of whether you take maintenance. Unused monthly change hours do not roll over to the next month.
You do. It runs in your own accounts, connected through credentials you control, and nothing is held hostage to a subscription with us. If you stop maintenance, the assistant keeps answering questions using the knowledge already loaded into it, until you choose to change something yourself.
