Knowledge Assistants

AI Company Knowledge Hub

One cited Q&A hub spanning every department's documents, so anyone in the company can ask and trust the answer.

Every department keeps its own documents, wikis and drives, so employees never know where to look. This hub brings them together into one cited Q&A assistant, from HR policy to product specs to finance procedures. Anyone can ask one question and get the right answer with its source. Permission groups keep each department's sensitive content visible only to the right people.

  • One place to ask about any department's documents
  • Every answer cites the source document it came from
  • Permission groups keep HR and finance content private

What it is

AI Company Knowledge Hub is a single cited Q&A assistant that spans every department's documents, wikis and drives, from HR policy to product specs to finance procedures, so any employee can ask one question and reach the right answer with its source.

Why businesses buy it

When knowledge is scattered across departments, employees waste time searching, interrupt colleagues and sometimes act on outdated documents. New starters feel it most. A single cited hub gives everyone one place to ask, with answers they can check, while permissions keep sensitive material protected. The written scope sets the sources, document volume, permission groups and the 60-question benchmark you receive before launch, so leadership knows the coverage and accuracy before rollout.

Problems this solves

Each department keeps its knowledge in a different place

The hub is one cited Q&A assistant across HR policy, product specs and finance procedures. Any employee asks one question and reaches the right answer with its source.

New hires do not know which department to ask

Staff ask the hub in a web app, Slack or Microsoft Teams, without needing to know where documents live. Every answer links to the document it came from.

Company-wide access risks exposing restricted department files

Up to three permission groups keep restricted files with the right people. Answers are tested on sixty benchmark questions with an accuracy report before launch.

A good fit if

Your knowledge already spans several departments, for example HR policy, finance procedures, product specs and sales collateral, not one folder.
You have up to 2,000 documents across sources such as Google Drive, SharePoint, Notion or Confluence, and staff currently ask a person instead of searching.
Different teams need different visibility, so an intern should not see the same answers as finance, and permissions must carry through to every answer.
You want one interface, in Slack, Microsoft Teams or a web app, that up to 50 people can ask instead of five separate department tools.

Not the right fit if

You only need answers from one document set, such as a single product manual or spec sheet. See AI Document Q&A, built for exactly that.
Your questions are mostly about HR and compliance policy, not documents company-wide. See AI Policy Q&A, which cites the exact clause.
You want a search bar across your existing tools rather than a company-wide Q&A assistant. See AI Internal Search.
Your documents are not yet organized into anything searchable at all. See AI Knowledge Base Builder, which structures scattered material before adding retrieval.

How it works

  1. We connect up to 3 content sources across departments, such as Google Drive for product specs, SharePoint for finance and Confluence for engineering, and ingest up to 2,000 documents.
  2. Every document is indexed by meaning and tagged to the department and permission group it belongs to, so HR content and finance content sit in one hub without mixing audiences.
  3. A staff member asks one question, in plain language, about any connected department's topics, and the hub retrieves the right passages regardless of which team wrote them.
  4. The answer is drafted from those passages only, with a citation back to the source document, so nothing is invented and nothing is answered from memory.
  5. Up to 3 permission groups keep the wrong audience out: a question about a restricted file returns nothing to someone outside that group, even if the words match.
  6. We test the hub against 60 benchmark questions spanning multiple departments, deliver an accuracy report, and set a monthly content refresh so new policies and specs stay current.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to the content sources this hub should span, such as Google Drive, SharePoint, Notion or Confluence.
  • The user list, grouped by department, and the permission rules each group should follow.
  • 30 sample questions, with the answers you expect, covering more than one department.
  • Workspace admin access for sign-in on your chosen interface, whether that is a web app, Slack or Microsoft Teams.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the department list and permission groups before launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • Connections to up to three content sources, indexing up to two thousand documents
  • Cited Q&A with up to three permission groups and a monthly content refresh
  • An accuracy report from sixty benchmark questions

Expected benefits and how to measure them

  • Can give everyone one place to ask, whatever the department
  • Helps new hires find answers without knowing who to ask
  • Lightens the load on HR, finance and other central teams
Internal questions to central teams
Count routine questions reaching HR, finance and IT inboxes for a month before and after launch.
Hub usage by department
Track weekly questions by team from the hub's usage records.
Benchmark accuracy
Re-run the benchmark questions after a few months and compare with the launch report.

Before you start: Count routine questions reaching central teams for a month. List where each department keeps its documents.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running the hub costs roughly $50 to $300 a month in your own accounts, covering AI model usage, the vector database and hosting, and it scales with document volume and how many of your up to 50 users ask questions.

AI usage during the build and testing is billed to your own accounts too, so every provider relationship, from the AI model to the vector database, stays in your name.

Custom requirements

If you need more than 3 content sources, more than 2,000 documents, or a second interface, add a note at checkout for a written Change Quote. Your order still runs on its original delivery date. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for new departments, extra permission groups or refreshed benchmark questions. Your change hours scale with the build. It starts after the included support period and can be cancelled any month.

$520/mo (5% of the build price a month, includes 5 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How is AI Company Knowledge Hub different from AI Document Q&A?

AI Document Q&A answers questions from one defined document set. This hub spans multiple departments and content sources at once, up to 2,000 documents across Google Drive, SharePoint, Notion or Confluence, with permission groups that keep HR, finance and product content visible only to the right audience. Choose the hub when more than one team needs it.

What happens if two departments store conflicting information?

The hub cites the source document behind every answer, so conflicting versions surface with their origin rather than being silently merged. If HR and finance both hold a policy on the same topic, you see which document answered and can retire the outdated one. Most customers resolve overlaps during the 60-question benchmark test before launch.

Does every employee see every department's answers?

No. Up to 3 permission groups are configured before launch, and every answer respects them. Someone outside the finance group never sees a finance-sourced answer, even if their question uses the same words as someone who is allowed to see it. You define the groups; we enforce them in the retrieval layer, not just the login screen.

How much does AI Company Knowledge Hub cost to run each month?

Roughly $50 to $300 a month in your own accounts, covering AI model usage, the vector database and hosting. The figure moves with document volume and how often your up to 50 users ask questions. The build itself is a one-time payment covering setup, indexing, citation logic and permission groups.

Can we add more departments or content sources to the Knowledge Hub later?

Yes. Small additions, such as a new content source, fit inside the monthly change hours that come with maintenance. A larger change, such as doubling the document limit or adding permission groups, is quoted as a Change Quote before work starts, so cost is agreed first.

How long does AI Company Knowledge Hub take to go live?

The standard, Express and Rush delivery times are shown in the price panel before you order. Most of the build goes into ingesting and indexing up to 2,000 documents, building citation and permission logic, and running the 60-question benchmark before your review.

What if the hub cites the wrong document?

Report it during the two rounds of changes built into the project, or within the 30 days of post-launch support, and we correct the retrieval or indexing behind it at no extra cost. Because every answer carries a citation, a wrong one is easy to spot and trace back to its source document.

Is AI Company Knowledge Hub the same as AI Internal Search?

No. AI Internal Search returns ranked results across your tools like a unified search bar, for people who want to find a document themselves. This hub answers a question directly in one cited response, spanning every connected department. Pick the hub when people want an answer, not a list of links.

One assistant, every department's answer.

Order AI Company Knowledge Hub and every department you connect becomes one cited place to ask, with sensitive content kept to the right people.
