Workflow Automation

AI Report Automation for Logistics

Shipment status, exceptions and paperwork gaps arrive as one scheduled report, built from your TMS and inbox without anyone compiling it.

Logistics teams lose hours every week stitching together shipment status, delay emails and missing paperwork into one report. This workflow does it on schedule. It reads your TMS or tracking API, pulls delay reasons and revised arrivals out of carrier emails, checks document storage for missing paperwork, and sends one clear report with a short summary of where exceptions came from.

  • Shipment status, exceptions and carrier follow-ups in one report
  • Delay reasons extracted from carrier emails and counted
  • Shipments missing paperwork listed in their own section

What it is

AI Report Automation for Logistics builds one recurring report from your TMS or tracking API, carrier emails and document storage, on the schedule you set. It covers shipment status, exceptions, missing paperwork and carrier follow-ups, using the Logistics workflow template, and runs in the background. Failed sources trigger an alert.

Why businesses buy it

When the shipment report is built by hand, exceptions hidden in carrier emails are missed and missing paperwork surfaces only when a customer or customs asks. That means delays, penalties and awkward calls. This edition pulls the facts from every source on schedule, counts exceptions by carrier or lane and flags gaps before they become problems. Your operations team starts each day with the same reliable picture. The Scope Card fixes the sources, sections, recipients and testing before you order, so the outcome is clear.

Problems this solves

Shipment status is pieced together from the TMS, carrier emails and folders

The automation builds one recurring report from your TMS or tracking API, carrier emails and document storage. It uses the logistics workflow template and runs in the background on your schedule.

Delivery exceptions and missing paperwork surface too late to fix

The report covers shipment status, delivery exceptions, missing paperwork and carrier follow-ups. Your team sees what needs chasing in one place, rather than hunting across several inboxes.

A failed data feed quietly leaves the report incomplete

Failed sources trigger an alert, so nobody relies on a report with gaps. Logistics KPI definitions keep the figures consistent from one run to the next.

A good fit if

Every week someone exports shipment data from the TMS, checks exceptions by hand and pastes the result into an email before the operations meeting.
Account managers keep asking for the same summary of open shipments, and it gets rebuilt from scratch each time a shipper or consignee asks.
Delay reasons and damage notes sit in carrier emails rather than in a field you can count, so nobody knows which carrier causes the most exceptions.
Your shipment data is reachable through a TMS export or tracking API, and the report can go out by email on a fixed day.

Not the right fit if

Shippers and consignees need where-is-my-shipment answers the moment they ask, not a scheduled summary. See AI Customer Support Agent for Logistics.
You want to ask your shipment data new questions whenever they come up. See AI Data Analyst Agent for Logistics, which answers plain-language questions with charts.
Your main job is pulling fields out of shipping documents into your systems, one document at a time. See AI Document Extraction for Logistics.
You need a second recurring report, such as one per customer account, or a fourth connected system. Add the Additional Workflow add-on, or a checkout note for a Change Quote.

How it works

  1. The report is defined with your operations lead. Sections, recipients and run day are agreed at intake, starting from the Logistics template: shipment status, exceptions, documents and carrier follow-ups.
  2. Shipment data is pulled from your TMS or tracking API each cycle, read-only, so nothing in the source records changes.
  3. Carrier and customer emails are read for facts the TMS does not hold. The extraction step turns a delay reason, a revised arrival or a damage note into a line the report can count.
  4. Document storage is checked against your list of required paperwork, so shipments missing a document appear in their own section.
  5. The AI drafting step writes a short summary of the cycle, such as which carriers or lanes produced the most exceptions, and the report goes out by email.
  6. If a source fails, the workflow retries, then alerts the person you named instead of sending a report with silent gaps.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • API or export access to your TMS or tracking provider, plus access to the mailbox and document storage the report reads.
  • A written description or screen recording of how the shipment report is put together today.
  • Five to ten real samples, such as past reports, carrier exception emails and a shipment export.
  • Your exception categories and the shipping documents that count as required for each shipment type.
  • Who receives the report, and who gets an alert if a source cannot be reached.
  • Admin access and API keys for each connected system, never sent by email.
  • One decision-maker who signs off the report layout.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Report Automation for Logistics configured and deployed
  • Logistics report templates and agreed KPI definitions
  • Connections to up to three systems, such as your TMS, carrier inbox and document storage
  • A test report using logistics scenarios
  • An admin guide, the recorded 45-minute handoff and 30 days of post-launch support

Expected benefits and how to measure them

  • Can save dispatch and operations staff hours of manual compiling
  • Helps exceptions and paperwork gaps get chased sooner
  • Gives the whole team one shared view of shipments
Time spent compiling shipment reports
Ask the ops team to log weekly hours for a month before launch and a month after.
Open delivery exceptions
Track the count of unresolved exceptions in each report over time.
Shipments missing paperwork
Compare the missing-document count in each report week by week.

Before you start: Record weekly hours spent on shipment reporting and the current number of open exceptions and missing documents.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running it costs roughly $20 to $100 a month for the automation platform and AI model usage, billed in your own accounts. A daily report reading a busy carrier mailbox sits nearer the top of that range than a weekly one.

Usage during the build and the test runs is billed to you as well, and your TMS and storage plans stay as they are.

Custom requirements

Reading a second carrier portal, producing different layouts for several depots, or adding a fourth system needs a written Change Quote. Add a note at checkout and the quote arrives.

Keep it running

Monthly maintenance covers monitoring, fixes and a monthly allowance of change hours, such as a new exception category or an extra recipient list. It starts after the 30 days of support.

Questions about this product

Which shipment systems can the logistics report pull from?

Your TMS or tracking provider, through its API or a regular export, plus email and document storage. That makes three connected systems, the limit on the Scope Card. If shipment data sits in two separate TMS platforms, or you also want WhatsApp messages read, that needs a Change Quote before the build starts.

Can AI Report Automation for Logistics count exceptions that only appear in carrier emails?

Yes. The extraction step reads the mailbox you point it at and pulls out the details agreed at intake, such as the shipment reference, the delay reason or a revised arrival. Those become lines the report can group and count. Emails it cannot match to a shipment are listed separately for a person to check.

Does the logistics report answer shippers or consignees directly?

No. It runs in the background and delivers one scheduled report to the recipients you name at intake, usually your operations and account teams. It does not reply to customer queries. For live where-is-my-shipment answers, see AI Customer Support Agent for Logistics, which works from the same kind of tracking data.

What is included in AI Report Automation for Logistics at each speed?

Every delivery speed includes the Logistics template, read-only TMS and storage connections, email extraction for exceptions, twenty test runs on your shipment samples, two rounds of changes and a recorded 45-minute handoff. The fixed price for standard, express and rush delivery is shown on this page before you buy. Running costs of roughly $20 to $100 a month go to your own providers.

What happens if the TMS feed is down when the shipment report is due?

The workflow retries the connection first. If the TMS or tracking API still does not respond, the person you named for alerts is told which source failed, so nobody reads a report with shipments silently missing. Once the source is back, that cycle can be run again rather than waiting for the next scheduled one.

Can the shipment report be grouped by carrier, lane or customer?

Yes, as sections inside the one report, as long as the grouping exists in your TMS data or can be read from the emails. The grouping is agreed at intake. Sending a separate report to each customer account is a second workflow, which comes through the Additional Workflow add-on, quoted before any work starts.

Stop rebuilding the shipment report by hand every week.

Order AI Report Automation for Logistics and your TMS data, carrier emails and paperwork checks arrive as one scheduled report from a fixed delivery date, with exceptions counted and failed sources flagged.
