AI Churn Prevention for Education & Training

Learners who are falling behind or unlikely to re-enroll are flagged early enough for a tutor to step in.

Learners who drop out usually show it weeks in advance: fewer logins, missed assignments, an overdue fee. This edition combines LMS activity from Moodle or Canvas with your student CRM and payment status to flag learners at risk of leaving or not re-enrolling. Tutors and student services get an alert with the play from your playbook, early enough to make a difference.

  • At-risk learners flagged weeks before they withdraw
  • LMS activity, student records and payments combined
  • Tutors alerted with a clear next step for each learner

What it is

AI Churn Prevention for Education & Training predicts which learners are likely to drop out or not re-enroll by combining LMS activity from Moodle or Canvas, student CRM records and payment status, then alerts tutors or student services with the play from your playbook. It reads up to three sources read-only. Tutors decide how to reach each learner.

Why businesses buy it

Every withdrawal costs a provider fees, completion rates and often a reputation for support. Tutors care, but they cannot watch every login and assignment across every course. This edition does the watching and puts the learners who need help in front of the right person, with a suggested next step. The written scope sets out the three read-only sources, the signals and the plays before you order, so you know exactly what you are getting.

Problems this solves

Learners disengage mid-course and tutors notice too late

LMS activity from Moodle or Canvas is read alongside student CRM records. Learners whose activity falls away are flagged to tutors or student services with the matching play.

Students fail to re-enroll and nobody knew they were unsure

The product predicts who is unlikely to re-enroll, not only who may drop out. Student services can reach them while the next intake is still open.

Unpaid fees and low activity are never looked at together

Payment status is one of up to three sources, all read without changes. A learner falling behind on both is raised as higher risk, and tutors decide how to reach them.

A good fit if

Withdrawals are noticed at the end of a module or term, long after the learner stopped logging in and submitting work.
Your LMS, student CRM and fees system each hold part of the picture, and nobody combines them per learner.
Tutors and student services have support plays, such as a check-in call or a study session, but cannot tell who needs one first.
Re-enrollment or course renewal matters to your income, and you want at-risk learners flagged before the deadline.

Not the right fit if

You want reports on progress, completion and weak topics for educators rather than dropout alerts. See AI Training Analytics.
Prospective students who enquired and went quiet are the concern, not enrolled learners. See AI Follow-Up Engine for Education & Training.
New learners need guiding through their first steps automatically. See AI Customer Onboarding Agent for Education & Training.
Admissions and course questions on your website are the bottleneck. See AI Website Chatbot for Education & Training.

How it works

  1. Learning sources are connected read-only. Typically your LMS, such as Moodle or Canvas, your student CRM, and your fees or payments system.
  2. Learner metrics are agreed. Up to 25, such as last login, modules completed, assignments submitted on time, attendance, installments missed and re-enrollment status.
  3. Learners are placed in states. The Education & Training template separates newly enrolled, on track, falling behind, re-enrollment due and payment issue.
  4. Predictions are tested on past cohorts. Three months of history show which learners who left would have been flagged, and when.
  5. Tutors and student services are alerted. Up to five alerts, for example no submissions in the last fortnight, go to email, Slack or a dashboard with the suggested play.
  6. Staff decide how to reach out. Plays come from your playbook, and a tutor or adviser reviews any contact before a learner receives it.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Read-only access to your LMS, student CRM and fees system, or the three sources you choose.
  • Your learner list with course, start date and re-enrollment or renewal date.
  • Definitions of engagement and progress, such as what counts as falling behind on your courses.
  • At least three months of history, including learners who withdrew or did not re-enroll.
  • Your support playbook and who handles each play, such as tutors or student services.
  • Alert recipients and channel, plus admin access and API keys for each source, never sent by email.
  • One decision-maker, usually the head of student experience or operations.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • AI Churn Prevention for Education & Training configured and deployed
  • Education & Training churn risk signals and retention playbooks
  • Read-only connections to up to three sources, such as LMS, student CRM and payments

Expected benefits and how to measure them

  • Helps tutors reach struggling learners while there is still time to catch up.
  • Can support stronger re-enrollment from one term to the next.
Course completion rate
Compare completion in your LMS for the course runs before and after launch.
Re-enrollment rate
Compare learners re-enrolling for the next term or course, using your student CRM, across two intakes.
Alerted learners who recover
Track learners flagged at risk who return to regular LMS activity within a month.

Before you start: Record completion, withdrawal and re-enrollment rates for your last intake. Note how tutors currently spot learners at risk.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is a one-time payment. Running it costs roughly $20 to $150 a month for AI model usage and hosting or scheduling in your own accounts, separate from your LMS and CRM licenses.

Usage during build and testing is billed to you directly too, so learner data and provider accounts stay with your institution.

Custom requirements

A fourth source such as attendance hardware, writing flags back into Moodle or Canvas, or more than five alerts is outside the Scope Card. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes, such as new courses, new term dates or a new support play. Your change hours scale with the build. It starts after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does AI Churn Prevention for Education & Training work with Moodle and Canvas?

Yes, as read-only sources, if your instance allows API or export access, which we confirm at intake. Logins, completions and submissions are the usual signals. It does not change anything in your LMS; flags and alerts are delivered to email, Slack or a web dashboard.

Will learners be contacted automatically?

No. Tutors or student services receive the alert and the suggested play, such as a check-in call or a study skills session, and a person decides how to reach out. That matters with learners who may be struggling for reasons a model cannot see.

Can it predict who will not re-enroll next term?

Yes, if re-enrollment dates and outcomes are in your data. Re-enrollment due is one of the learner states, with its own metrics and alerts. The three-month history check shows how well it would have flagged learners who did not return before you rely on it.

How is learner data protected?

Sources are read-only and results go to the channel you choose, all in your own accounts. Admin access and API keys are never sent by email. To mask names in logs, add the PII Redaction Layer; Data Retention and Deletion Configuration sets how long data is kept.

What does the education edition cost?

Each delivery speed has one fixed price. The price panel shows standard, express and rush side by side before you pay, and the cart confirms your delivery date. If you want alerts ready for a new term, choose a speed that leaves time to review the history check. Running costs of roughly $20 to $150 a month are separate and paid to your own providers.

Can one setup cover several campuses?

One build covers one set of sources and one delivery channel. If each campus needs its own dashboard or alert recipients within the same data, Multi-Location Setup adds that. Separate LMS instances per campus would be extra sources and need a Change Quote.
