AI Document Extraction for Manufacturing
Customer purchase orders, supplier paperwork and spec sheets read into your ERP as structured data, instead of retyped line by line.
Customer purchase orders arrive in every format imaginable, and supplier delivery notes and spec sheets are not far behind. Someone retypes part numbers, quantities and dates into the ERP, line by line. This build reads those documents for content, extracts header and line-item fields with a confidence score on each, and writes checked results to your ERP or a sheet.
- Purchase order line items read into your ERP automatically
- Customer PO formats handled without one template each
- Wrong quantities and doubtful part numbers held for review

What it is
AI Document Extraction for Manufacturing reads the order and supplier paperwork a plant runs on, such as customer purchase orders, supplier delivery notes and spec sheets, and extracts part numbers, quantities, dates and the other fields you define, each with a confidence score. Checked results go to your ERP or a sheet.
Why businesses buy it
Order entry by hand is slow, and the errors are expensive: a wrong quantity or part number becomes a wrong production run, a late shipment or a credit note. As order volume grows, the usual answer is another person keying data. This build reads each PO and supplier document as it arrives, checks it against your rules, and asks your team only about the doubtful lines. The written scope fixes the document types, fields and systems covered before you order.
Problems this solves
Customer purchase orders are keyed into the ERP line by line
The system reads each purchase order and extracts part numbers, quantities, delivery dates and the other fields you define. Checked lines go to your ERP or a sheet without retyping.
Wrong part numbers or quantities reach production planning
Manufacturing validation rules check part number formats, quantity limits and dates you set. Lines that fail, or score low on confidence, wait for a person to confirm.
Supplier delivery notes and spec sheets sit unprocessed for days
Delivery notes and spec sheets can be two of the three document types set up. Values are extracted with a confidence score, so purchasing and quality teams get usable data sooner.

How it works
- Purchase orders and supplier paperwork come in through one route. The order inbox or a shared folder you choose feeds the build.
- Line items are read whatever the layout. Part number, description, quantity, unit price and required date are extracted from a customer's own PO format, along with header fields such as PO number and ship-to address.
- Each field gets a confidence score. Up to 25 fields per document type, each scored, so order entry can trust the clear values and look closely at the rest.
- Your rules catch the risky ones. A part number in the wrong format, a missing required date or a quantity outside the limits you set is held as an exception.
- Clean orders flow to the ERP. High-confidence, rule-passing data is written through your ERP's API or import route, or to a sheet your team imports from.
- People settle the doubtful fields. The reviewer you named works through the queue with the source page alongside, and only reviewed values move on.
What you provide within 72 hours
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
- At least 20 real samples per document type, for example customer POs from several different customers.
- The fields to extract, including line-item fields, and the rules for part number formats and quantity limits.
- Access to the order inbox or shared folder.
- Access to your ERP, its API or import route, or the destination sheet.
- The order-entry or planning person who reviews exceptions.
- Admin access and API keys for both systems, never sent by email.
- One decision-maker who approves the field list and the go-live.
- An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.

What you receive at handover
- AI Document Extraction for Manufacturing configured on one intake route and connected to your ERP or a sheet
- Manufacturing field sets and validation rules for up to three document types, such as purchase orders, delivery notes and spec sheets
- A human review queue for low-confidence or rule-failing fields
- A test report using manufacturing scenarios, from 100 sample documents with an accuracy report

- 30 days of post-launch support
Expected benefits and how to measure them
- Can get customer orders into the ERP sooner after they arrive.
- Helps stop order entry mistakes before they reach the shop floor.
- Gives purchasing and quality teams supplier data without manual keying.
- Order entry time per purchase order
- Time a sample of orders by hand before launch. Compare with review time per order after.
- Order entry errors found later
- Count wrong-part or wrong-quantity corrections in the ERP each month, before and after launch.
- Delivery notes processed the same day
- Compare receipt and entry dates for supplier delivery notes, month on month.
Before you start: Count purchase orders and supplier documents received per week and the time each takes to key. Note order entry corrections made last quarter.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
Running costs
One build price, then roughly $30 to $200 a month in your own accounts for OCR and AI usage plus storage. Multi-page purchase orders with long line-item tables use more pages, so a plant with large orders sits higher in the range than one with short ones.
AI usage during build and testing is billed to your accounts as well.

A fourth document type, more than 25 fields per type, a second intake route, or validating part numbers against your ERP's item master is outside the Scope Card. Add a note at checkout for a written Change Quote.

Monthly maintenance covers monitoring, fixes, updates, a health report and change hours each month for things such as a new customer's PO layout, an added field or a changed quantity rule. It starts after the 30 days of support.
$270/mo (5% of the build price a month, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product
Can AI Document Extraction for Manufacturing read line items from purchase orders?
Yes. Line-item fields such as part number, description, quantity, unit price and required date count toward the 25 fields per document type, alongside header fields like PO number and ship-to address. Long tables across several pages are handled, and each extracted line carries its own confidence score.
Does it need a template for each customer's PO format?
Usually not. Extraction reads content rather than fixed positions, so a part number is found wherever a customer prints it. Your 20 samples per type should include several customers' layouts, and the 100-document test shows which, if any, need attention before launch.
How does it get data into our ERP?
Through your ERP's API or import route, connected as the destination system. If neither is available, the build writes to a sheet that your team imports on its usual schedule. The CSV Import Pipeline, $1,500, or a Custom API or Webhook Integration, $2,500, are add-ons for less common setups.
Can it check part numbers against our item master?
Not in the standard build. Validation rules check format, required fields and quantity limits you set, which catches most errors. Cross-checking each part number against your ERP's item master is outside the Scope Card; add a note at checkout and you receive a Change Quote for it.
When will purchase orders be processed automatically?
Pick a delivery speed in the panel on this page; the time shown is counted from the day intake is complete and ERP access is verified. Send 20 samples per document type, ideally POs from several customers, plus the field list within 72 hours of ordering. Every day they arrive late moves the go-live date back by 3 working days.
What does manufacturing document extraction cost to run?
Roughly $30 to $200 a month in your own accounts for OCR and AI usage plus storage, set by page volume. Long purchase orders cost more than short delivery notes. There is no per-order fee from us. Monthly maintenance is optional.
