AI Legal Intake

Legal requests from across the business are captured in a structured format, sorted and routed to the right in-house lawyer.

Legal requests arrive by email, chat and corridor conversation, and the important ones can sit unread while the team works through everything else. AI Legal Intake captures each new request, structures the key details, sorts it by type and urgency and routes it to the right lawyer. Every request is logged in your matter system, and your team decides what happens next.

  • Every new request captured in a structured format
  • Requests sorted by type and urgency, then routed
  • Each request logged in your matter management system

What it is

AI Legal Intake is built for in-house legal teams. It captures requests from colleagues across the business and structures the key details. Each one is routed to the right lawyer, so nothing sits unopened. Requests are sorted by type and urgency and logged in your matter system. Law firms taking new clients should see the AI Law Firm Intake Stack.

Why businesses buy it

When intake is informal, lawyers spend time chasing missing details, urgent requests wait behind routine ones, and nobody can say how much work is coming in. This build gives every request the same front door. It collects the details your team needs, routes the request by your rules and logs it, so lawyers start with a complete picture. It is tested on realistic requests before launch. The Scope Card fixes the systems, workflow steps and the single AI decision step in writing, so the routing does exactly what you agreed.

Problems this solves

Requests to legal sit unopened in a shared inbox

The workflow captures new legal requests from colleagues as they come in and structures the key details. Each one is routed to the right person, so nothing waits unread.

Urgent requests are mixed in with routine ones

Requests are sorted by type and urgency in one AI decision step. The team sees what needs attention first, within a workflow of up to 12 steps.

Matter details are retyped from emails into the matter system

Structured details are logged in your matter management system. The workflow runs in the background and connects up to three systems. Nobody has to copy details across from email by hand.

Nobody knows who picked up a request or when

Because every request is logged and routed, there is a record of who received it. That makes it easier to follow up before a matter formally opens.

A good fit if

Colleagues send legal requests by email, chat or a form, and someone has to work out where each one goes before anything starts.
You can describe your current intake process, or record a short screen capture of it, along with 5 to 10 real sample requests.
You want intake data landing in your matter management or document management system automatically, in the same structure every time.
You're comfortable with one workflow of up to 12 steps and one AI decision or drafting step, such as a first-pass triage or a draft acknowledgment.

Not the right fit if

You are a law firm taking enquiries from prospective clients, not an in-house team. See the AI Law Firm Intake Stack.
You need ongoing coordination once a matter already exists, such as vendor questions or status updates, not the first intake step. See AI Legal Operations Assistant.
Your intake is for general client onboarding across a professional-services business, not legal requests. See AI Client Intake.
You need documents classified and filed as they arrive, not new-matter requests captured. See AI Legal Document Classification.
Your intake needs more than 12 steps or more than one AI decision point. Add a note at checkout and we quote it, or start from our Custom AI enquiry form.

How it works

  1. A new legal request arrives through the channel colleagues use today, such as an email inbox, a web form or a chat message, and Legal Intake picks it up.
  2. It structures the request into the fields your matter management system expects: matter type, parties, urgency and any conflict-check information you require.
  3. Up to 12 steps run in order, including one AI decision or drafting step, such as flagging likely conflicts or drafting a first acknowledgment for a person to send.
  4. The structured intake is written into your matter management or document management system, so a new matter record opens in the same shape every time.
  5. Anything outside your defined rules, an unusual request type or a flagged conflict, is routed to the person you named rather than processed automatically.
  6. We run 20 test runs on your own sample data before launch, so the workflow is proven against real requests before it goes live.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Your business information (company basics, hours and brand voice), shared during intake, or confirmation we can reuse what you gave us on an earlier order.
  • The list of systems involved, with admin or API access for each one.
  • A written description or a short screen recording of how intake works today.
  • 5 to 10 real sample requests so the workflow is tuned on how matters actually arrive.
  • Who should receive alerts and errors if something needs a person's attention.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can approve the workflow steps and sign off at launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Legal Intake, configured and running in the background in your environment
  • One intake workflow of up to 12 steps, including one AI sorting and routing step
  • Connections to up to three systems, such as your inbox and matter management system
  • A test report from 20 test runs on your sample data
  • An admin guide, the recorded handoff session and 30 days of post-launch support

Expected benefits and how to measure them

  • Can shorten the time before a request reaches the right lawyer
  • Helps urgent matters get noticed sooner
  • Makes request logging more complete and consistent
Time from request to assignment
Compare request and assignment timestamps for a month before launch with a month after.
Requests logged in the matter system
Compare logged requests with inbox volume before and after launch.
Requests rerouted after sorting
Count requests moved to a different person after routing, to check the sorting rules.

Before you start: Record how long requests wait before someone picks them up, and how many reach the matter system today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running AI Legal Intake afterwards costs roughly $20–100/month, covering the automation platform plus AI model usage, billed directly in your own accounts and scaling with how many requests come through each month.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

We recommend monthly maintenance: monitoring, fixes, and monthly change hours, which cover small adjustments to routing rules or the acknowledgment draft. Maintenance starts after the 30 days of support, bills monthly, and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Legal Intake cost?

The build is a one-time fixed price, shown in the price panel on this page next to each delivery speed, and it is confirmed with your Scope Card. It covers the intake workflow, the routing rules, the AI step that structures each request, connections to your systems and the test runs completed before launch. There is no charge from us per request afterwards.

How is AI Legal Intake different from AI Legal Operations Assistant?

Legal Intake handles the very first step, capturing and structuring a new matter or client request before anything else happens. Legal Operations Assistant works after a matter already exists, coordinating ongoing tasks like vendor questions, billing checks and status updates across up to six workflows. If you run both, Intake can feed the Assistant.

Does AI Legal Intake decide whether to take on a matter?

No. It structures the request and flags conflict-check information for a person to review, it does not accept, decline or evaluate a matter on its own. Anything outside your defined rules routes to the person you named, and the decision to open or refuse a matter always stays with your team, not the workflow.

How much does AI Legal Intake cost to run each month?

Roughly $20 to $100 a month in your own accounts, covering the automation platform plus AI model usage. The figure scales with how many requests come through, so a team handling a steady daily flow sits toward the top of that range. We charge nothing per request, and monthly maintenance is optional if you want routing changes made for you.

How long does AI Legal Intake take to launch?

The delivery time is fixed before you buy and shown in the delivery panel on this page, with faster speeds where offered. It starts once your request types, routing rules and system access are in. Most of the build goes into building the routing logic and running test requests through it, so every type of matter lands with the right person at launch.

What access does AI Legal Intake need to our systems?

It needs admin or API access to each system in your intake path, such as your inbox, web form tool and matter management system, shared by adding our team as a user or creating a key you control, never by email. You also provide a written description or screen recording of today's process and 5 to 10 real sample requests.

Can I change the AI Legal Intake routing rules later?

Yes. Small adjustments to routing or the acknowledgment draft fit inside the monthly change hours that come with maintenance. Adding a second workflow or a new AI decision step beyond what's in scope is a bigger change and gets a written Change Quote first.

Stop losing track of a matter before it's even opened.

Order AI Legal Intake and every new matter is captured, structured and routed on a fixed delivery date. The scope above is what you get, in writing, before you pay.
