AI Internal Communications
Company-wide announcements and updates drafted in one consistent voice, ready to send to every channel your team reads.
Company updates often go out late, in a different tone each time, or not at all because nobody had time to write them. AI Internal Communications drafts announcements, policy updates and team news in one consistent voice, using details from the tools your team already runs. Each draft is formatted for its channel and held for your approver. Once approved, it goes out on schedule.
- Announcements and updates drafted in one consistent company voice
- Every draft held for your approver before it sends
- Scheduled delivery to email, Slack or Teams

What it is
AI Internal Communications drafts company-wide announcements, policy updates and team news in a consistent voice, pulling source detail from the tools your team already runs. It formats each draft for the channel it is going to, whether that is email, Slack or Teams, and schedules delivery for you.
Why businesses buy it
Unclear or late internal updates cost more than they seem: people miss changes, managers repeat themselves and rumors fill the gap. Yet writing every announcement well takes time that owners and operations managers rarely have. This build drafts each update from your source material in the voice you approve, formats it for the channel and schedules it once a person signs off. The Scope Card sets the destination system, output types and sample reviews before you order, so you know exactly what is built and that nothing sends without approval.
Problems this solves
Company announcements sound different depending on who wrote them
Drafts follow your brand profile and up to 20 reference examples, so announcements and policy updates read in one consistent voice. You approve each draft before it goes out.
Writing team news eats into managers' week
The tool drafts announcements, policy updates and team news from source detail in the tools your team already runs. Managers review a draft instead of starting from nothing.
The same message is reformatted by hand for each channel
Each draft is formatted for where it is going, whether that is email, Slack or Teams. Delivery is scheduled for you, so updates go out when planned.
A good fit if
Not the right fit if
How it works
- You send the source update. A bullet list, a meeting recording, a policy change or a project status update, dropped into the connected system you chose during setup.
- The draft is written in your voice. Using the brand profile and up to 20 reference examples you provided, so tone and structure stay consistent no matter who requested the update.
- It is shaped for the destination. The same update becomes an email, a Slack post and a Teams message, each formatted the way that channel expects, up to three output formats per generation pipeline.
- You review before it goes out. Every draft is queued for the approver you named, with edits tracked so nothing reaches staff without a look first.
- Delivery is scheduled, not manual. Approved updates post to the destination system at the time you set, rather than sitting in someone's drafts folder.
- Every send is logged. You get a record of what went out, when, and to which channel, so past announcements are easy to find later.
What you provide within 72 hours
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
- Your brand guidelines and a handful of tone-of-voice examples so drafts sound like you.
- 10 to 20 reference examples of updates you already like, good or bad, so we know the target.
- Access to the destination system the updates will post to, such as your CMS, drive or inbox.
- The topics or update types to start with, so the first batch has something real to work from.
- The name of the person who approves outputs before they go out.
- Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
- Your business information (company basics, hours and brand voice), shared during intake.
- One decision-maker who can sign off on the finished setup.
- An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.

Expected benefits and how to measure them
- Can cut the time spent writing internal updates
- Helps company messages sound consistent
- Makes it easier to keep a regular update rhythm
- Time to produce an announcement
- Log writing time for a few announcements before launch and a few after.
- Updates sent on schedule
- Compare planned versus sent internal updates each month, before and after launch.
- Staff questions after an announcement
- Count clarification questions after major announcements, before and after launch.
Before you start: Collect recent announcements and note how long each took to write. Record how often planned updates slipped.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
Running costs
The build price is one-time. Running it costs roughly $20 to $150 a month in AI model or media-generation usage, depending on how many updates you send and how long they are, and that is billed to your own accounts, not ours.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsCustom requirements
If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

For this build we recommend monthly maintenance, which includes monthly change hours for things such as new reference examples or a shifted schedule. Maintenance starts after the 30 days of support that come with the build, bills monthly, and can be cancelled any month.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product
How much does AI Internal Communications cost?
The price for each delivery speed is shown in the panel on this page. It covers the drafting pipeline, a connection to one destination system, formatting for up to three output types, 25 sample outputs reviewed with you and two rounds of changes. Running costs for AI usage are separate, roughly $20 to $150 a month, paid in your own accounts.
How long does it take AI Internal Communications to go live?
The delivery date for each speed is shown in the delivery panel on this page. The clock starts once your intake is complete and access to your destination system is verified, so sending your brand profile and up to 20 reference examples within 72 hours of ordering keeps you on the earliest date. After launch, drafts are ready whenever you add new source material.
What systems does it need access to?
One destination system, such as your CMS, shared drive or inbox, connected with admin access and API keys shared by adding our team as a user or creating a key you control, never by email. It also draws on your brand profile and up to 20 reference examples, which you supply during intake rather than during the build itself.
Can I change the tone or update types after launch?
Yes. Small adjustments, such as a tone tweak or a new reference example, fit inside the monthly change hours that come with maintenance. A genuinely new use case, like a second destination system or a different content type entirely, is scoped and quoted separately as an add-on.
Will every draft go out automatically without review?
No. Every draft is queued for the approver you name during intake, and nothing posts until it is reviewed. Once approved, delivery to the destination system is scheduled for you, so nobody has to manually copy and paste updates into email, Slack or Teams each time.
What happens to the running costs after the build is delivered?
You pay AI model and media-generation usage directly in your own accounts, typically $20 to $150 a month depending on volume. We do not mark that up or route it through our accounts, so you keep the provider relationship and can see exactly what each update costs to generate.
Can I cancel maintenance later?
Yes. Maintenance bills monthly and can be cancelled in any month once your first 30 days of included support end. There is no long-term contract attached to the build price, and cancelling maintenance does not affect the setup itself, which keeps running on the configuration already in place.
Who owns the drafting setup once it is built?
You do. The workflow, prompts and connections are configured inside your own environment and accounts, not ours, so there is nothing to migrate if you later change providers or stop maintenance. The 30 days of post-launch support cover fixing anything that does not match the Scope Card.
Stop rewriting the same announcement every week.
Order AI Internal Communications and it drafts and schedules your updates on a fixed delivery date. The scope above is what you get, in writing, before you pay.
