AI Business Operations OS

Daily operations, reporting, procedures and decisions connected into one operating system, instead of several disconnected tools.

Operations often run across several tools that never talk to each other, so updates get lost and the same report is rebuilt every week. The Business Operations OS connects your daily updates, documented procedures, routine requests and reporting under one set of rules. Each area keeps a named owner, every workflow follows your approval steps, and all of it runs in your own accounts.

  • Procedures, requests and reporting working from the same data
  • Ten connected workflows tested end to end before launch
  • A clear owner and approval step for every operational area

What it is

AI Business Operations OS connects the pieces of running the business day to day: internal updates, documented procedures running as workflows, routine request handling and recurring reporting, all working from the same rules and the same data. It is the system version of our individual operations builds.

Why businesses buy it

Running a business on disconnected tools costs more than the subscriptions. Managers chase status by message, procedures live in documents nobody opens, and leadership waits on reports someone builds by hand. The OS links those pieces, so a request, the procedure behind it and the report that tracks it all draw on the same rules and data. You gain one operating rhythm instead of several patched together. Because the systems, workflows and tests are written on the Scope Card before you order, a larger build stays a defined project, not an open-ended consulting engagement.

Problems this solves

Written procedures exist but staff follow them differently every time

Your documented procedures are set up as connected workflows, up to ten across the system. Each one runs from the same rules and data, so tasks follow the agreed steps each time.

Routine requests arrive by email and chat with no single owner

Routine requests are handled on up to two channels and routed by one set of rules. Each request is recorded in your connected systems, so everyone can see who owns it.

Weekly reports are pieced together by hand from several tools

Recurring reporting draws on up to four connected systems, using the same data the workflows rely on. Managers receive reports on schedule instead of someone compiling spreadsheets each week.

Separate automations disagree because each was built with different rules

The OS ties internal updates, workflows, request handling and reporting to one set of rules and guardrails. A rule change then applies across the whole system rather than in several places.

A good fit if

You already run, or were about to buy, more than one of our Operations products separately, and would rather have them connected from the start than stitched together later.
Different parts of operations, such as announcements, procedures and request handling, currently live in separate tools that do not share data or rules.
You have a process owner for each area of operations and a single approver for the system overall, so decisions have a clear home.
You want up to 10 connected workflows spanning multiple operational areas, tested end to end, rather than one narrow workflow at a time.

Not the right fit if

You only need one specific piece, such as announcements drafted or one procedure running. Start with AI Internal Communications, AI SOP Execution Agent, or AI Operations Assistant, and add more later.
You have not documented any procedures yet and need that done first. See AI SOP Generator.
Your budget or timeline calls for a narrower starting point before committing to a full system. Any of the individual Operations products can be added onto later.
Your system needs more than four connected systems or 10 workflows across the business. Add a note at checkout for a written Change Quote, or use our Custom AI inquiry form.
You want four ready-made operations products delivered together, each working on its own. See the AI Operations Stack bundle.

How it works

  1. Each operational area gets a process owner. Announcements, procedures, request handling and reporting are mapped to the person who owns that area, so the system reflects how your business actually runs.
  2. Shared rules are set once. Approval limits, escalation paths and reporting cadence are defined at the system level, so every connected workflow follows the same logic instead of five different ones.
  3. Up to four systems are connected with the right access. Read and write where work needs to happen, read-only where only reporting is needed, across up to 200 documents as shared knowledge.
  4. Up to 10 workflows run across the system. Spanning the areas you chose, from drafting updates to running procedures to tracking requests, all feeding the same reporting layer.
  5. 80 end-to-end test scenarios confirm it holds together. Not just that each workflow works alone, but that handoffs between them behave the way your process owners expect.
  6. You get two training sessions and three rounds of changes. More than our single-product builds, because a connected system has more moving parts to walk through and refine.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Everything listed for each connected system, since the OS spans more of your operations than a single build.
  • A process owner named for each operational area the system covers.
  • The KPIs you want tracked and reported on across the connected workflows.
  • One approver for the system overall, in addition to any area-level owners.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can sign off on the finished setup.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The AI Business Operations OS configured and running in your own environment
  • Workflow, prompt and guardrail configuration covering up to ten connected workflows
  • Connections to up to four agreed systems across up to two channels
  • A test report covering the agreed end-to-end scenarios
  • An admin guide and two recorded handoff sessions
  • 45 days of post-launch support

Expected benefits and how to measure them

  • Can give the team one place to raise and track routine work.
  • Helps procedures run the same way regardless of who is on shift.
  • Makes recurring reports easier to trust because they share one data source.
Routine request turnaround
Take request and close times from the system's log. Compare with timestamps in your email or ticket history from before launch.
Hours spent compiling recurring reports
Ask report owners to log their time for a month before launch. Repeat the log for a month after.
Workflow exceptions each month
Count workflow runs sent for approval or stopped at a step, from the system's log. Watch how the count changes over the first quarter.

Before you start: List the recurring reports and routine request types you handle, with rough weekly hours for each. Note which procedures currently run from documents.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $100 to $500 a month across the connected tools and AI usage, depending on how many workflows are active and how much data moves through them.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

For this build we recommend monthly maintenance. Its allowance of change hours scales with the build, so there is room to touch more than one workflow area in a given month. It starts after the 45 days of support that come with the build, bills monthly, and can be cancelled any month.

$495/mo (5% of the build price a month, includes 4 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Business Operations OS cost?

The build price for each delivery speed is in the panel on this page, and it covers everything on the Scope Card. For the OS that means up to four connected systems, up to ten workflows across several operational areas, 80 end-to-end test scenarios and three rounds of changes. Nothing outside those limits is added later without a written Change Quote you accept first.

How is the Business Operations OS different from buying the individual products?

The individual Operations products each cover one area, such as announcements or one procedure. The OS connects several areas under one set of shared rules and one reporting layer, with 10 workflows and 80 end-to-end test scenarios instead of testing each area in isolation. It suits businesses that already need more than one piece.

How long does it take the Business Operations OS to launch?

Delivery time for each speed is shown in the panel on this page. The clock starts once your intake is fully submitted, including a process owner for each area, your documented procedures and access to every connected system. Because the OS spans several teams, naming those owners early is the single biggest help in keeping the date.

How is the OS different from the AI Operations Stack bundle?

The bundle delivers four separate products together: AI Daily Operations Agent, AI Weekly Business Review, AI SOP Generator and AI Report Automation. Each keeps its own Scope Card and works on its own. The OS is one connected system. Its workflows share rules, data and a reporting layer across up to four systems.

Do I need a process owner for every area?

Yes, each operational area the system covers needs a named process owner, plus one approver for the system overall. This is what keeps a connected system from becoming a single point of confusion: decisions in each area have a clear home, even as the workflows share rules and data.

Can workflows or systems be added after launch?

Yes. Changes to existing workflows, such as an updated approval rule or a new report field, fit inside the monthly change hours that come with maintenance, and that allowance scales with a system of this size. A genuinely new workflow beyond the ten included, or a fifth connected system, is scoped and quoted separately as an add-on or Change Quote.

What does running the OS cost each month?

Roughly $100 to $500 a month across the connected tools and AI usage, paid directly in your own accounts, scaling with how many workflows are active and how much data moves through the system. We do not add a markup on top, so you see the real cost of running it at your scale.

What support comes after launch, and for how long?

Because the OS spans more of your operations, it comes with 45 days of post-launch support rather than the standard 30, plus two recorded 60-minute handoff sessions instead of one. That covers fixing anything that does not match the Scope Card before monthly maintenance takes over.
