AI Offboarding

Access removal, equipment return and exit surveys run automatically the moment a last day is confirmed.

When someone leaves, the real risk is the access that stays open. Revoking logins across several systems is easy to forget when the team is busy. This workflow starts the moment a last day is confirmed: it removes access, tracks laptop and equipment return, and sends the exit survey. If any step fails or stalls, the person you named is told straight away.

  • System access removed on schedule when a last day is confirmed
  • Equipment return tracked until every item is back
  • Exit survey sent automatically, with failed steps flagged

What it is

AI Offboarding runs your exit process in the background: revoking system access, tracking equipment return and triggering the exit survey, from the moment a departing employee's last day is confirmed. It follows the steps your team already uses, with one AI step to draft or decide where allowed, and flags any failed step to a person.

Why businesses buy it

A forgotten login after someone leaves is a security gap, and a missing laptop is a cost that rarely gets recovered. Manual exit checklists slip most often when the team is stretched, which is exactly when departures pile up. This workflow follows your exact offboarding steps every time and raises an alert the moment something fails. You also get exit feedback more consistently. The Scope Card names the trigger, the systems, every step and the alert contact before you buy, so your security and HR teams can sign off together.

Problems this solves

Former staff still have system access weeks after leaving

Once a last day is confirmed, the workflow starts revoking system access as one of its steps. Access removal follows the same steps for every leaver.

Laptops and equipment never come back from leavers

Equipment return is tracked as part of the exit workflow, against the items you list. Missing items are flagged to a person, rather than noticed months later.

Exit surveys are sent late or not at all

The exit survey is triggered by the workflow at the point you choose in the process. You hear from leavers while their experience is still fresh.

An offboarding step fails and no one finds out

Any failed step in the exit workflow is flagged to a named person. The gap can be closed while it matters, instead of turning up at an audit.

A good fit if

You worry about access being left open after someone leaves, because revoking it across systems is a manual, easy-to-forget checklist.
Your exit process is already written down or easy to describe, even if parts of it are still done by hand.
You want equipment return and the exit survey triggered automatically, instead of relying on someone remembering.
You have someone who should be alerted if a step fails, such as access not being revoked on time.

Not the right fit if

You need the reverse process, for when someone joins rather than leaves. See AI Employee Onboarding, which runs new-hire setup instead.
You want employees able to ask HR questions about the exit process directly. See AI HR Assistant, which answers open questions in a chat channel.
You want exit survey responses analyzed for themes across many departures. See AI Employee Feedback, which is built for that kind of analysis.
You need more than 12 steps or more than 3 connected systems in a single workflow. Add a note at checkout and we quote the extra scope, or start from our Custom AI request form.

How it works

  1. A departing employee's last working day is confirmed in your HRIS, which triggers the workflow automatically.
  2. Access revocation requests go out across your connected systems, up to 3 in this build, such as your identity provider, HRIS and Slack.
  3. Equipment return is tracked against a checklist, following the steps in your current exit process, up to 12 steps in total.
  4. The one AI step drafts or decides where you allow it, such as generating a knowledge-transfer summary from the departing employee's recent work notes.
  5. The exit survey is sent automatically on the schedule you set, so feedback collection does not depend on someone remembering to send it.
  6. Errors and delays are flagged. If a step fails, such as access not being revoked in time, the person you named gets an alert instead of the gap going unnoticed.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The list of systems involved in offboarding, with admin or API access for each.
  • A written description or screen recording of how your team runs an exit today.
  • Five to ten real sample departure records so the workflow is tested on data like yours.
  • The name of who should receive alerts if access revocation or another step fails.
  • Your current exit checklist, equipment-return process and exit survey questions.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the workflow steps and keep the build moving.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Offboarding running in the background, triggered by a confirmed last day
  • One exit workflow of up to twelve steps, including one AI drafting or decision step
  • Connections to up to three systems, such as your HR, IT and survey tools
  • Test report from 20 test runs on your sample data
  • Admin guide and a recorded handoff session
  • 30 days of post-launch support

Expected benefits and how to measure them

  • Can close access for leavers promptly
  • Helps get company equipment back
  • Makes every exit follow the same checklist
Time from last day to access removed
Compare access removal dates in your IT logs with last days, for leavers before and after launch.
Equipment returned
Track returned versus outstanding items for leavers each quarter, before and after launch.
Exit survey responses
Compare the number of completed exit surveys per leaver before and after launch.

Before you start: Check recent leavers for accounts still active and equipment not returned. Note how many completed an exit survey.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it afterwards is billed in your own accounts and typically runs about $20 to $100 a month for automation platform and AI model usage, depending on how many departures you process each month.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Optional monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly change hours, enough for an updated checklist step or a new system connection swap. It starts after the 30 days of included support, bills monthly, and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does AI Offboarding cost to launch and run?

The build is one fixed price, shown on this page before you buy, with express and rush delivery available at a set extra cost. Running the workflow afterwards costs roughly $20 to $100 a month in automation platform and AI usage, paid directly in your own accounts. There is no per-user fee from us.

How fast is access actually revoked after a last day is set?

Revocation requests go out across your connected systems as soon as the last working day is confirmed in your HRIS, not on a delayed batch schedule. Exactly which systems and how quickly each responds depends on your own admin settings, which is why the setup includes 20 test runs to verify timing on your data before launch.

Is this the same as AI Employee Onboarding?

No. It is built for the opposite moment: when someone leaves rather than joins. The two share a similar workflow structure, up to 12 steps and 3 connected systems, but the steps themselves are different, covering access removal, equipment return and exit surveys instead of account creation and welcome scheduling.

How much of our team's time does setting up AI Offboarding take?

Expect to spend one to two hours describing their current exit process and gathering system access inside the 72-hour intake window. After that, expect around an hour reviewing the 20 test runs, plus the 45-minute recorded handoff session before launch.

Can we add more offboarding steps or systems later?

Small adjustments to existing steps fit inside the monthly change hours included with maintenance. Adding a fourth connected system or going past 12 steps is a defined add-on, quoted and agreed before that work starts, so the cost is known upfront.

Is departing employee data handled securely?

Yes. Access to each connected system is shared by adding our team as a user or creating a key you control, never by email, and the workflow only moves the fields your systems already store, such as name, role and last day. It does not create a separate copy of employee records outside your existing HRIS.

Does the exit survey get sent automatically?

Yes, on the schedule you set during intake, typically on or shortly after the last working day. The survey questions come from what you provide; the workflow only handles the sending and reminder logic, not the analysis of what comes back, which is a separate build if you need it.

What happens once the 30 days of offboarding-workflow support end?

You can move to optional monthly maintenance, or stop there with a fully working workflow and no ongoing commitment. Either way, the workflow configuration and system connections remain yours and keep running exactly as built and tested. Maintenance covers monitoring, fixes, a monthly health report and change hours for an updated checklist step or a system swap.

Never leave access open after someone leaves.

Order AI Offboarding and it starts running your exit checklist on a fixed delivery date, closing access the same careful way for every leaver. The scope above is what you get, in writing, before you pay.
