AI Employee Onboarding

New hires get accounts, equipment and a first-week schedule set up automatically from the moment they accept.

A new hire's first day says a lot about your company. When accounts are missing, the laptop has not arrived and nobody booked the welcome meeting, it says the wrong thing. This workflow runs your onboarding checklist the moment a start date is confirmed: access requested, equipment assigned, first-week meetings booked. If a step stalls, the person you named hears about it first.

  • Accounts and equipment requested as soon as a start date lands
  • First-week meetings with manager and buddy booked automatically
  • Failed or late steps flagged before the new hire notices

What it is

AI Employee Onboarding runs your new-hire setup process in the background: creating accounts, assigning equipment and scheduling first-week meetings, triggered the moment a start date is confirmed. It follows the steps your team already uses, with one AI step to draft or decide where you allow it, and alerts a named person if anything stalls.

Why businesses buy it

Onboarding is usually held together by one busy person and a spreadsheet. When that person is out or swamped, steps slip, and a new hire spends day one waiting for logins. That first impression is hard to undo. This workflow follows your own checklist every time, across the systems you already use, and raises an alert when something fails instead of letting it slide. Your Scope Card lists the trigger, the connected systems, every step and the alert contact up front, so you know exactly how each new start will be handled.

Problems this solves

New starters arrive to no laptop and no logins

Once a start date is confirmed, the workflow begins account creation and equipment assignment. Setup runs in the background, so day one is ready rather than rushed.

Onboarding steps live in one person's head

The workflow follows the steps your team already uses, written down as up to twelve steps. Onboarding no longer depends on who happens to be in that week.

First-week meetings are forgotten or booked late

First-week meetings are scheduled as part of the same workflow. The new hire and their manager can see the whole week planned well before the start date.

A stalled setup step is noticed only on the first morning

If any step stalls, a named person is alerted. Problems surface while there is still time to fix them, not when the new hire is waiting at reception.

A good fit if

You hire regularly enough that account creation, equipment requests and welcome scheduling eat into an HR person's week.
Your onboarding steps are already written down or easy to describe, even if some are still done by hand across a few systems.
You want the same checklist followed every time, so nothing gets missed when someone is busy or on leave.
You have someone who should be alerted if a step fails, such as an account not being created in time.

Not the right fit if

You need employees to ask questions during onboarding rather than follow a fixed checklist. See AI HR Assistant, which answers open questions in a chat channel.
You are looking for the reverse process, for when someone leaves. See AI Offboarding, which runs exit checklists and access removal instead.
You want new-hire job postings drafted too. Add AI Job Description Generator, which handles the hiring stage before onboarding starts.
You need more than 12 steps or more than 3 connected systems in a single workflow. Add a note at checkout and we quote the extra scope, or start from our Custom AI request form.

How it works

  1. A new hire's start date is confirmed in your ATS or HRIS, which triggers the workflow automatically.
  2. Accounts and access are requested across your connected systems, up to 3 in this build, such as your identity provider, HRIS and Slack.
  3. Equipment and setup tasks are assigned to the right people, following the steps in your current process, up to 12 steps in total.
  4. The one AI step drafts or decides where you allow it, such as writing a personalized welcome note or picking the right onboarding track based on role.
  5. A first-week schedule goes out. Meetings with a manager, a buddy and any required training are booked according to your rules.
  6. Errors and delays are flagged. If a step fails, such as an account not provisioning in time, the person you named gets an alert instead of the new hire arriving to a gap.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The list of systems involved in onboarding, with admin or API access for each.
  • A written description or screen recording of how your team runs onboarding today.
  • Five to ten real sample new-hire records so the workflow is tested on data like yours.
  • The name of who should receive alerts if a step fails or is delayed.
  • Your current onboarding checklist, welcome documents and first-week schedule template.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the workflow steps and keep the build moving.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can help new hires start work on their first day
  • Helps HR and IT stop chasing the same setup tasks
  • Makes onboarding the same for every new starter
New starters fully set up on day one
Ask each new starter's manager whether accounts and equipment were ready, and compare with recent hires before launch.
HR time per new hire
Log HR and IT time spent on setup for a few hires before launch and after.
Stall alerts per onboarding
Track alerts raised by the workflow to find steps that often need help.

Before you start: Ask managers of recent hires what was missing on day one. Estimate the HR and IT time each setup took.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it afterwards is billed in your own accounts and typically runs about $20 to $100 a month for the automation platform and AI model usage, depending on how many new hires you onboard.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes and change hours for new steps, a revised welcome schedule or an extra system connection. The hours scale with the build. Maintenance starts after the 30 days of included support, bills monthly, and can be canceled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does AI Employee Onboarding cost to launch and run?

The build is one fixed price, shown on this page before you buy, and express or rush delivery is available for a set extra cost if a hiring wave is close. Running it afterwards costs roughly $20 to $100 a month across your automation platform and AI usage, paid in your own accounts.

Does the onboarding workflow need employees to interact with it directly?

No. It runs in the background with no employee-facing channel; it creates accounts, assigns equipment and schedules meetings on the new hire's behalf. If you also want employees able to ask onboarding questions themselves, that is a separate build, such as AI HR Assistant, which answers questions in a chat channel.

What if a step fails, like an account not being created in time?

The person you name during intake receives an alert as soon as a step fails or stalls, with enough detail to fix it before the new hire's start date. This is built and tested during the 20 test runs on your sample data, so failure handling is verified before launch, not discovered afterward.

How much of our team's time does setting up AI Employee Onboarding take?

Expect to spend one to two hours describing their current onboarding process and gathering system access inside the 72-hour intake window. After that, expect around an hour reviewing the 20 test runs, plus the 45-minute recorded handoff session before launch.

Can we add more onboarding steps or systems later?

Small adjustments to existing steps fit inside the monthly change hours included with maintenance. Adding a fourth connected system or going past 12 steps is a defined add-on, quoted and agreed before that work starts, so you always know the cost first.

Is new-hire personal data handled securely during onboarding?

Yes. Access to each connected system is shared by adding our team as a user or creating a key you control, never by email, and the workflow only moves the fields your systems already store, such as name, role and start date. It does not create a separate copy of employee records outside your existing HRIS.

Who makes the actual hiring or role decisions in this workflow?

No one is hired or assigned by this workflow. It only runs the setup steps after a start date is already confirmed in your systems; the one AI step drafts content or picks a pre-approved onboarding track, and every account and equipment decision follows rules your team set.

What happens once the 30 days of onboarding-workflow support end?

You can move to monthly maintenance, or stop there with a fully working workflow and no ongoing commitment. Either way, the workflow configuration and system connections remain yours and keep running exactly as built and tested. Maintenance covers monitoring, fixes and change hours for new steps, a revised welcome schedule or an extra system connection.
