AI Website Chatbot for Education & Training

Prospective students and learners get admissions, course and enrollment answers at any hour, from your own published information.

Every intake brings the same questions about courses, fees, entry requirements and enrollment, often late at night when applicants are deciding. This chatbot answers them on your website from your prospectus, handbooks and policies. Anything personal, such as a specific application or a learner's circumstances, goes to your admissions or student services team. Your staff approve the content it uses.

  • Applicants get course, fee and entry answers at any hour
  • Personal and unusual cases go to admissions with context
  • Answers come only from your prospectus, handbooks and policies

What it is

AI Website Chatbot for Education & Training answers the admissions, course, enrollment and learner-help questions that arrive every term, using your prospectus pages, course handbooks and policies, and passes anything personal or unusual to your admissions or student services inbox. It includes the Education & Training workflow template. It answers prospective learners, current students and parents in plain language.

Why businesses buy it

Admissions and student services teams spend the busiest weeks of every term answering questions that are already published somewhere on the website. Applicants who wait too long for a reply often apply elsewhere. This chatbot handles the routine questions instantly, so your staff can focus on real applications and learners who need support. The written scope sets the content, questions and handoffs before you order, which makes the decision easy to explain to leadership.

Problems this solves

Admissions staff answer identical fee and entry questions every term

The chatbot answers course, fee and entry questions from your prospectus pages and course handbooks. During the busiest intake weeks, admissions staff can leave the repeats to it and focus on applicants.

Applicants miss enrollment steps because the process is unclear online

Using the Education & Training intent library, it explains enrollment steps to prospective learners and parents in plain language. Answers come from your published policies, so dates and steps match what you approved.

Current students email student services about routine policy questions

Learner-help questions about handbooks and policies are answered directly. Anything personal or unusual is passed to your admissions or student services inbox, so staff deal with individual cases.

A good fit if

Each intake brings a wave of the same questions about entry requirements, start dates, fees and how to apply.
Course pages, handbooks and policies already hold most answers, but people still email or call to ask.
Enrolled learners ask where to find materials, how to submit work or how certificates are issued.
Admissions and student services want only the questions that truly need a person to reach their inbox.

Not the right fit if

You want enrollment requests progressed and student records updated, not only questions answered. See AI Student Support Agent.
Learners need help with the course material itself, such as explaining topics. See AI Course Assistant.
You want prospective students booked into calls with admissions advisers. See AI Appointment Setter for Education & Training.
You want learners at risk of dropping out spotted early. See AI Churn Prevention for Education & Training.

How it works

  1. It is loaded with your published information. Prospectus and course pages, entry requirements, fee schedules, term dates, handbooks and learner policies, up to 100 documents or 200 pages.
  2. Five education intents are configured. Typically course enquiries, admissions and entry requirements, enrollment steps, learner help, and assessments and certificates.
  3. It answers in the words students use. Tuned with real enquiries so a question about a late start or a missing login lands on the right policy.
  4. Personal cases go to your team. A question about an individual application, grade or payment is handed to admissions or student services by email or helpdesk with the conversation.
  5. It does not speak for your academic staff. It explains published rules on assessments and certificates and leaves decisions about individual learners to people.
  6. It is checked on 40 test questions. Drawn from last term's enquiries and marked pass or fail before launch.

  • The admissions and student services inboxes, or helpdesk access, for handoffs.

  • A technical contact for review, and admin access and API keys for the handoff system, never sent by email.

Expected benefits and how to measure them

  • Can ease the pressure on admissions teams at the start of each term
  • Helps prospective learners and parents find answers in the evenings and at weekends
  • Makes it easier to give everyone the same answer on fees and entry
Admissions emails during intake
Count admissions inbox emails in the intake weeks after launch. Compare with the same weeks in the previous term.
Enquiry-to-application rate
Take applications and enquiries from your admissions system. Compare the rate for the intake before launch with the next intake.
Routine student services requests
Tag policy and handbook questions in the student services inbox. Compare monthly counts before and after launch.

Before you start: Count admissions and student services emails across your last intake period. Note the most common questions and your application numbers for that period.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running costs of roughly $30 to $150 a month for AI model usage and hosting are billed in your own accounts, with the higher end usually around enrollment peaks.

Usage during the build and testing is billed to you as well, so your provider accounts stay in your institution's name.

Custom requirements

Reading individual learner records from Moodle, Canvas or a student CRM, a second language for international applicants, or a sixth intent is outside this scope. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

We recommend monthly maintenance for this build. It covers monitoring, fixes and monthly hours for updating dates, fees and course details before each intake. Bigger changes, such as many programs changing each term, go through a Change Quote. Maintenance starts after the included support period and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can AI Website Chatbot for Education & Training check a student's own grades or application?

No. It answers from published information, not individual records, so questions about a specific application, grade or payment go to your admissions or student services team. Connecting it to Moodle, Canvas or a student CRM for personal data is outside the standard scope and would need a Change Quote.

How does it cope with the rush at the start of term?

It answers every visitor at once, whatever the volume, because it does not queue like a phone line. Running costs rise a little with usage, within roughly $30 to $150 a month. Your team only sees the conversations that need a person, which keeps the inbox manageable in the busiest weeks.

Will it give wrong entry requirements if our rules change?

It only repeats what your approved documents say, so the risk is out-of-date content, not invented rules. Update the source pages before each intake and the chatbot follows. Monthly maintenance can handle that reload for you within its change hours.

Can international applicants use it in another language?

The standard build covers one language. Add the Additional Language Pack to answer in a second language from the same content. The Localization QA Pass can then check translated answers before launch, which helps when entry rules use precise terms.

Can the education chatbot be live before our next intake opens?

Usually, yes. The standard, Express and Rush delivery times are shown in the price panel before you order, so pick the speed that leaves time for your own review. Sending your prospectus pages, handbooks and top questions within 72 hours of ordering is the best way to protect the launch date.

Can learners reach it on WhatsApp instead of the website?

Not in the base scope, which covers one channel such as your website widget. The WhatsApp Channel Add-on adds WhatsApp using the same content and intents, so learners get the same answers there. You provide and pay for the WhatsApp Business account in your own name.

Answer this term's questions once, not five hundred times.

Order AI Website Chatbot for Education & Training and applicants and learners start getting admissions, course and enrollment answers from your own content, with personal cases sent to your team.
