AI Voice Booking Agent for Outlook Calendar

Callers booked into Outlook Calendar by voice, through Microsoft Graph, so phone appointments sit beside every Teams meeting and internal invite.

Your advisers live in Outlook, and their weeks fill with Teams calls and internal meetings. Phone bookings typed in afterwards get missed or clash. This agent answers your booking line, reads free and busy time through Microsoft Graph, and creates, moves or cancels appointments on the right Outlook calendar. Only calendar access is requested, nothing from mailboxes, files or chats.

  • Books phone appointments straight into Outlook through Microsoft Graph
  • Fits bookings around Teams calls, meetings and focus time
  • Requests calendar access only, never mail, files or chats

What it is

AI Voice Booking Agent for Outlook Calendar takes booking calls and writes them into the Outlook calendars your team works from in Microsoft 365. Through a Microsoft Graph calendar permission it reads availability, creates the appointment, updates it when the caller reschedules and cancels it on request.

Why businesses buy it

In a Microsoft 365 office, a phone booking that never reaches Outlook simply does not exist. Advisers get double-booked, callers wait for callbacks and appointments slip. This edition takes the call, offers only genuinely free slots and writes the appointment onto the adviser's calendar, where it syncs to their phone like any other entry. Your IT team approves one limited permission. The Scope Card sets the calendars, mapping, flows and second system before you order, so security and operations both know exactly what they are agreeing to.

Problems this solves

Receptionists juggle the phone and several Outlook calendars at once

The agent checks availability across the Outlook calendars you grant through a Microsoft Graph calendar permission. It books the caller into a free slot without anyone switching between diaries.

Appointments agreed by phone never make it into Microsoft 365

Each booking is written into Outlook as an appointment during the call. The documented field mapping decides which details land in the subject, body and attendee fields.

Changes and cancellations by phone leave Outlook out of date

When a caller reschedules, the agent updates the existing Outlook appointment rather than creating a duplicate. A cancellation removes it, so your team's calendars reflect the latest call.

IT is wary of giving outsiders broad Microsoft 365 access

Access is set up through user invites or keys you control, with no keys sent by email. The permission covers calendars only, and your admin can withdraw it at any time.

A good fit if

Your organization runs on Microsoft 365 and every adviser's day already lives in Outlook.
Internal meetings and Teams calls fill much of the week, so phone bookings must fit around them exactly.
Phone appointments are currently typed into Outlook after the call, and some never make it in.
Your Microsoft 365 administrator can join a 30-minute setup call to approve the Graph calendar permission.

Not the right fit if

Your team schedules in Google Workspace. See AI Voice Booking Agent for Google Calendar.
Bookings go through Calendly event types and links. See AI Voice Booking Agent for Calendly.
You want to phone leads and book them in, rather than answer incoming calls. See AI Voice Appointment Setter.
Interested email replies, not phone calls, are what you need turned into meetings. See AI Meeting Booking Agent.

How it works

  1. Your administrator approves access. On a 30-minute call, the Microsoft Graph calendar permission is granted for the calendars in the agreed field mapping, and nothing wider.
  2. The agent checks Outlook while the caller waits. Free time is read from the right person's calendar, so an internal meeting or a Teams call booked that morning blocks the slot.
  3. The appointment is created in Outlook. It carries the fields agreed in the mapping, such as the caller's name, number and what the appointment is for, and appears like any other calendar item.
  4. Reschedules update the same item. The agent finds the caller's appointment and moves it, so the adviser does not end up with two entries for one person.
  5. Cancellations clear the time. The appointment is cancelled as your mapping specifies and the slot is offered to the next caller.
  6. A second system can receive the record. One more tool, often your CRM, gets the call summary next to the transcript and outcome.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A telephony account in your organization's name, such as Twilio, Vonage or Exotel, with the number to use, forward or port.
  • Microsoft Graph calendar permission, approved by your Outlook Calendar administrator on a 30-minute setup call.
  • The Outlook calendars the agent may use, and which appointment types belong to which person.
  • Booking rules per calendar: appointment length, notice, buffer time and the hours each person takes calls.
  • The details each appointment should record, and a transfer number for anything that is not a booking.
  • Your preferred voice and language, and your call-recording disclosure wording.
  • Access to the optional second system, never sent by email, and one person to approve decisions.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Appointments written by the agent
Count Outlook appointments created through the agent's connection each week, compared with manual phone bookings before launch.
Calendar corrections
Ask staff to log fixes to wrong or missing appointments for a month before and a month after go-live.
Missed booking calls
Pull missed-call totals for the booking number from your phone system for both periods.

Before you start: Record weekly phone bookings, missed calls and calendar fixes before work begins. Note which Outlook calendars take bookings today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay once for the build. Running it means call minutes in your own accounts, about $0.13 to $0.31 a minute all in for the voice platform, AI model and telephony, plus number rental. Your Microsoft 365 subscription is untouched, and any Outlook license or plan upgrade is outside the build price.

AI usage during build and testing is billed to your accounts as well.

Questions about this product

What permission does the Outlook voice booking agent need in Microsoft 365?

A Microsoft Graph calendar permission, approved by your administrator on a 30-minute setup call. It is limited to the calendars in the agreed field mapping. Mailbox contents, files and Teams chats are not requested. If your tenant needs a security review first, start it during the 72-hour intake window to keep the delivery date.

Will AI Voice Booking Agent for Outlook Calendar avoid our internal meetings?

Yes. It reads free and busy time from each mapped Outlook calendar during the call, so internal meetings, Teams calls and blocked focus time all count as unavailable. The caller is only offered slots that are genuinely free under your booking rules, including any buffer you set between appointments.

Can callers choose which adviser they see?

Yes, if you allow it. A caller can ask for a named person, and the agent checks only that person's Outlook calendar. Otherwise your rules decide, for example by appointment type or by whoever has the earliest open slot. The routing is written into the field mapping we hand over.

Do Outlook bookings show up for the adviser like normal appointments?

Yes. Each booking is created as an item on the adviser's Outlook calendar, with the fields agreed in the mapping, such as caller name, number and purpose. It syncs to their phone and desktop like any other entry. Reschedules update that same item instead of adding a second one.

How quickly can the Outlook booking line go live?

The delivery panel on this page shows the timeline for each speed. The Graph permission and the setup call are part of the intake, which is due within 72 hours of ordering, and a late intake pushes the date. If your tenant needs a security review, start it early. Fifty test calls against your mapped calendars then run before launch.

What does running an Outlook-connected phone line cost per month?

Call minutes in your own accounts, roughly $0.13 to $0.31 a minute all in, plus number rental. Microsoft 365 costs stay as they are today. We charge nothing per booking or per user. Monthly maintenance is optional. It covers monitoring, fixes and change hours for a new adviser's calendar, revised hours or a field added to the mapping.
