AI Voice Booking Agent for Google Calendar

Phone bookings written straight into Google Calendar, checked against the same free and busy time your team already keeps there.

Your team's day already lives in Google Calendar, so phone bookings should land there too, not on a sticky note. This agent answers your booking line, checks free and busy time on the calendars you share, and creates, moves or cancels events as callers ask. Personal blocks and meetings are respected, and bookings go to the right person's calendar.

  • Creates, moves and cancels Google Calendar events by phone
  • Respects every meeting, block and travel time already booked
  • Routes each appointment type to the right person's calendar

What it is

AI Voice Booking Agent for Google Calendar answers your booking line and works directly inside Google Calendar. It reads availability on the calendars you share, creates an event for each new booking, moves the event when a caller reschedules and removes it on cancellation, all through an agreed field mapping.

Why businesses buy it

When phone bookings are copied into Google Calendar by hand, some get missed, some clash with meetings and some land on the wrong person. Each mistake costs an appointment or a customer's trust. This edition books directly against live free and busy time, so the slot a caller hears is really open. Your team sees the booking where they already plan their day. The Scope Card fixes the calendar access, field mapping, flows and second system before you order, so your Workspace admin knows exactly what is granted.

Problems this solves

Phone bookings get typed into Google Calendar by hand later

The agent creates a Google Calendar event for each new booking while the caller is still on the line. Fields follow the documented mapping, so every event looks the same.

Callers are offered times that are already taken

Availability is read live from the Google calendars you share with the agent. It only offers open times, which helps avoid double bookings across team members.

Rescheduled appointments leave stale events on the calendar

When a caller reschedules, the agent moves the existing event instead of adding a new one. Cancellations remove the event, so the calendar matches what was agreed by phone.

Sharing calendar passwords with outside vendors feels risky

Access is set up through user invites or keys you control, and nothing is sent by email. You can review or remove that access from your own Google account.

A good fit if

Your team already runs its days in Google Calendar, and anything booked anywhere else gets copied in by hand.
Staff block personal time, travel and meetings in Google Calendar, and phone bookings need to respect all of it.
Each person or room has its own Google calendar, and you want bookings to land on the right one.
Someone with Google Workspace admin rights can join a 30-minute setup call to grant calendar access.

Not the right fit if

Your diaries live in Microsoft 365. See AI Voice Booking Agent for Outlook Calendar, built on Microsoft Graph.
You book through Calendly event types rather than plain calendars. See AI Voice Booking Agent for Calendly.
Callers want opening hours, prices and directions as well as bookings. AI Voice Receptionist, covers both in one script.
Part of your team books in a second calendar tool. Add the Additional Calendar Integration, bought with this product.

How it works

  1. Access is granted once. Your Google admin approves OAuth with calendar scope on a 30-minute setup call, and we connect only the calendars named in the field mapping.
  2. Availability is read live. When a caller asks for a time, the agent checks free and busy time on the right calendar, so a dentist appointment someone added this morning is respected.
  3. A booking becomes an event. The agent creates it on the mapped calendar with the agreed fields, for example the caller's name, phone number and the reason for the visit.
  4. Changes move the existing event. A caller rescheduling is matched to their event, which is updated in place rather than duplicated, so the calendar stays clean.
  5. Cancellations free the slot. The event is removed or marked as cancelled, whichever your mapping says, and the time shows as open again for the next caller.
  6. One more system can be connected. Up to one further tool, such as your CRM, receives the call summary, alongside the transcript and outcome.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A telephony account in your name, such as Twilio, Vonage or Exotel, with the booking line's number to use, forward or port.
  • Google OAuth approval with calendar scope, granted by your Google Calendar admin on a 30-minute setup call.
  • The list of calendars the agent may read and write, and which appointment types belong on each.
  • Your booking rules: slot lengths, notice periods, buffers and working hours per calendar.
  • The fields each booking should carry, such as caller name, number and reason.
  • A transfer number for non-booking calls, your preferred voice, and your call-recording disclosure.
  • Access to the optional second system, never sent by email, and one approver for decisions.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • A documented field mapping between calls and Google Calendar events, plus up to one more system
  • Access set up through invites or keys held in your own accounts
  • A test report run on sandbox or test records, with transcripts of 50 test calls

Expected benefits and how to measure them

  • Bookings made by phone can appear in Google Calendar without anyone retyping them.
  • Double bookings become less likely because the agent reads live availability.
  • Your team keeps working in the calendar it already knows.
Bookings created by the agent
Filter Google Calendar events by the agent's creator account. Compare the weekly total with phone bookings your staff entered before launch.
Double-booking incidents
Keep a simple log of clashes found in the calendar for four weeks before and four weeks after go-live.
Unanswered booking calls
Use your phone provider's missed-call report for the booking number, across matching periods before and after launch.

Before you start: Note how many bookings arrive by phone each week and who enters them. Log any clashes or missed calls for a few weeks before work begins.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running costs are call minutes in your own accounts, roughly $0.13 to $0.31 per minute all in for the voice platform, AI model and telephony, plus number rental. Google Calendar stays on your existing Google plan, and any Google license or plan upgrade sits outside the build price.

AI usage during build and testing is billed to your accounts too.

Questions about this product

What does the voice agent need from our Google Workspace admin?

One 30-minute setup call. During it your admin approves Google OAuth with calendar scope, and we confirm which calendars the agent may read and write. Nothing beyond calendar access is requested. If your organization restricts third-party apps, the admin allows this connection during the same call.

Does AI Voice Booking Agent for Google Calendar see private events?

It needs free and busy time to avoid double booking, and the field mapping decides what else it reads. On most setups it only needs to know a slot is taken, not what the event is. Event details it creates itself, such as caller name and reason, are written in the fields agreed with you.

Can bookings go onto different people's Google calendars?

Yes. The mapping can route appointment types to specific calendars, for example consultations to one adviser and follow-ups to another, or a caller can ask for a named person. Each calendar's own working hours and blocked time are respected, and the routing rules are written into the documented mapping.

What happens if someone edits a booked event in Google Calendar by hand?

The agent reads the calendar live, so a moved or deleted event is reflected on the next call. If staff move a booking, the caller's next reschedule request finds the new time. Large manual changes to the agreed fields can break the match, so we cover safe editing in the handoff session.

How long until the Google Calendar booking line takes real calls?

The delivery panel on this page shows the timeline for each speed. The setup call with your Google Workspace admin is part of the intake, so booking it within 72 hours of ordering keeps the date. We then run fifty test calls against your shared calendars, checking new bookings, moves and cancellations, before any real caller is booked.

Why does the Google Calendar booking line cost more than the standard voice booking agent?

The extra covers the Google Calendar work itself: OAuth setup with your admin, per-calendar routing, a two-way field mapping and testing against your live calendars. Both prices are shown in the panel on each product page before you pay. Running costs are the same: call minutes of roughly $0.13 to $0.31 a minute in your own accounts, plus number rental.

Let callers book into the calendar you already trust.
