AI Ticket Routing for Freshdesk

Freshdesk tickets arrive already assigned, typed and prioritized, so agents start on the problem instead of sorting the queue.

Freshdesk agents should open tickets that are already theirs, not sort a shared queue first. This workflow reads every new ticket, looks at the requester's contact record, and assigns it to the right group or agent using the skills you define. It sets agreed properties such as type and priority, then adds a private note explaining the decision so your leads can check it.

  • Every Freshdesk ticket assigned to the right group or agent
  • Type and priority set from the content and contact record
  • A private note explains each routing decision

What it is

AI Ticket Routing for Freshdesk reads every new Freshdesk ticket and sends it to the right group or agent, using the ticket's content, the requester's contact record and the skills you define. It sets agreed properties such as type and priority, adds a private note with the reason, and runs in the background.

Why businesses buy it

When Freshdesk tickets arrive without a type, priority or owner, the first hour of every ticket is spent sorting rather than solving. Priority customers wait in the same line as everyone else. After launch, tickets reach the right agent with type and priority already set, so your team starts on the problem straight away. The Scope Card sets the groups, properties and fallback rules in writing before you order, so you know exactly which Freshdesk fields it will touch.

Problems this solves

Freshdesk tickets land in the default group and wait to be sorted

Every new Freshdesk ticket goes to the right group or agent. The workflow uses its content, the requester's contact record and your defined skills. Sorting happens before anyone opens the queue.

Ticket type and priority are set inconsistently by different agents

The workflow sets agreed properties such as type and priority on each ticket. SLA timers and reports then work from values set the same way every time.

Agents question routing decisions with no evidence either way

A private note records the reason for each assignment. Team leads can check each note against the ticket and refine the skills setup wherever routing falls short.

A good fit if

Freshdesk tickets come in through email, the portal and widgets, and all of them land unassigned for someone to sort.
Your ticket-creation automation rules match keywords and break whenever a customer phrases the problem differently.
Agents correct ticket type and priority by hand before they can start working on the issue.
Your Freshdesk admin can provide an API key with an admin role and give thirty minutes to a setup call.

Not the right fit if

You need topic, urgency and sentiment tags for reporting rather than assignment. See AI Ticket Classification.
You want customers answered directly from your solution articles. See AI Customer Support Agent for Freshdesk.
Agents need drafted replies after the ticket reaches them. See AI Support Copilot for Freshdesk.
Your solution articles are out of date and that is why tickets pile up. See AI Support Knowledge Agent for Freshdesk.

How it works

  1. The routing map is written with your support lead: Freshdesk groups, the agents in each, their skills, and which ticket types belong where.
  2. A thirty-minute call with your Freshdesk admin agrees the properties the router may set, such as group, agent, type, priority and any fields you name.
  3. Each new ticket is read together with the requester's contact record, so the company a customer belongs to can shape the route.
  4. One AI routing decision picks the group or agent, and the agreed properties are written back to the ticket.
  5. A private note records the reason. Tickets that fit no route go to a triage group rather than a guess.
  6. Your existing automation rules are reviewed at intake, so they and the router never act on the same ticket twice.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Freshdesk API key with an admin role, created by your admin.
  • Your Freshdesk admin for the thirty-minute mapping call.
  • A short recording or written description of how tickets are assigned now, including your automation rules.
  • Your groups, agent skills, priority rules and support hours.
  • Five to ten real tickets that show typical and tricky routing decisions.
  • Who receives alerts and errors, and access to the second system if you use one.
  • One person who signs off the routing map and property mapping.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Tickets can start their SLA clock in the right group.
  • Helps keep type and priority consistent for reporting.
  • Private notes give leads a clear trail for each routing choice.
Tickets moved between groups
Use Freshdesk reports to count group changes per ticket. Compare four weeks before and after launch.
First response SLA breaches
Compare first-response SLA breaches in Freshdesk for the month before and after launch.
Priority corrections
Sample tickets weekly where an agent changed the priority set by the workflow.

Before you start: Export a month of Freshdesk tickets with group changes, SLA breaches and priority edits before work begins.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running costs come to roughly $20 to $100 a month for the automation platform and AI usage, paid in your own accounts and driven mostly by ticket volume. Your Freshdesk plan does not change.

Usage during the twenty test runs is billed to your accounts as well.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a monthly health report and change hours for work such as a new group, a revised priority rule or a new ticket type. It starts after the post-launch support period, bills monthly and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Will AI Ticket Routing for Freshdesk conflict with our automation rules?

No, because the overlap is settled before the build. At intake we list your ticket-creation rules and agree which keep running, which are switched off and which the router replaces. Rules that send notifications or handle SLAs carry on as they are, so nothing changes for those.

Can the Freshdesk router set ticket type and priority as well as the group?

Yes, if those properties are in the agreed mapping. Type and priority are decided from the ticket content and the escalation rules you provide, then written back along with the group or agent. Any property you leave out of the mapping stays under your agents' control.

Does the router use information from the Freshdesk contact record?

Yes. It reads the requester's contact record, such as the company they belong to, before deciding. That lets you send a key account's tickets to the team that knows it, if the contact record identifies the account. Contact records are read only for routing and are not edited.

How long does the Freshdesk routing edition take, and what is the price?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. Every option includes twenty test runs on your past tickets, two rounds of changes and a recorded 45-minute handoff session.

What does Freshdesk ticket routing cost to run each month?

Roughly $20 to $100 a month, covering the automation platform and AI model usage, paid directly to those providers. Ticket volume is the main factor. There is no per-ticket fee from us, and your Freshdesk subscription stays exactly as it is.

Can we pause the Freshdesk router if something looks wrong?

Yes. The workflow runs in your own automation platform account, so it can be paused at any time, and new tickets then fall back to your remaining Freshdesk rules or the unassigned view. The admin guide from the recorded handoff shows how to pause and restart it.

Let agents open tickets that are already theirs.

Order the Freshdesk edition and new tickets are assigned to the right group or agent, with type and priority set and a private note explaining each choice.
